JOB PURPOSE: T prvide high quality administratin supprt services and assist in the prvisin f maintenance services t internal and external clients T deliver high standard f services within the guidelines f IRT s plicies, prcedures and philsphy and t wrk as an effective member f the multidisciplinary team T ensure the achievement f the aims and bjectives f IRT as they relate t cmmunicatin with residents/clients, IRT emplyees and the general public. 2 JOB SPECIFIC RESPONSIBILITIES: (under supervisin) Infrmatin Handling: Receive and distribute incming mail Receive and dispatch utging mail Cllate and dispatch dcuments fr bulk mailing File and retrieve dcuments using manual and electrnic systems Cmmunicatin: Receive and relay verbal and written messages Cmplete rganisatinal frms and assciated dcumentatin Ensure effective cmmunicatin thrugh verbal and electrnic means Enterprise: Identify key functins and persnnel Apply ffice prcedures Technlgy: Operate ffice equipment and infrmatin technlgy systems and sftware apprpriate t the tasks t be cmpleted Open, retrieve, cpy and clse data files Use cmmunicatin sftware such as Windws, Outlk, Wrd and Excel Organisatinal: Plan and rganise persnal daily wrk rutine Custmer Service: Team: Ensure a high level f custmer service, aligned t IRT s Custmer Service Charter and Values Cmplete allcated tasks Business Financial: Recrd petty cash transactins Prepare business surce dcuments Use f IRT vehicles, prperty and equipment Mnitr traffic and vehicle cnditins t allw safe peratin Drive IRT vehicles Cmplete relevant dcumentatin in an accurate and timely manner Other duties as required by the manager/supervisr nt incnsistent with the rle. 4 IRT plicies and prcedures will guide decisins and recmmendatins and influence the develpment f new plicies and prcedures. The incumbent will clarify and reslve prblems using current plicies, prcedures and legislatin. Prblem reslutin is the respnsibility f the psitin incumbent, but may be escalated where the issue exceeds the delegatin r scpe f practice.
