2 Welcome to Convene 2016 By Stu Freeman Convene 2016 is the annual kick-start for the business events community in New Zealand, showcasing the best of the industry in the North Island. This is the business forum where business event suppliers from Wellington to Northland meet highly qualified corporate meeting planners, association executives and professional conference and incentive organisers from Auckland and beyond. Exhibitors who regard Convene as an essential part of their marketing and promotions strategy include stand alone venues, hotels, speakers and entertainers, audio visual suppliers, theme companies, caterers, convention bureaux, and transport operators. As usual, Convene 2016 will be all about business - connecting the right buyers with you the seller. This is where organisers really drill down to the detail of their business events and source everything from table settings to conference rooms. In 2016 Convene will be reaching out to the local market as well as buyers from Wellington, Christchurch and other parts of New Zealand. We will also target selected Australian organisers of conferences, meetings and incentives. 5 YOUR CHANCE to connect Who Attends Convene As Buyers? Convene is a tradeshow aimed predominantly at the business sector. All buyers are qualified proven event organisers who are responsible for planning, organising and executing events. Visitors to the show include event organisers who are/from: > Administrative professionals > Association executives > Corporates > Education Sector > Executive Assistants > Government Sector > Professional Conference & Incentive Organisers > Wedding Organisers Local Buyers (Non-Hosted) Local buyers are predominantly from the wider Auckland region or are making their own travel arrangements to get to and from the event. Local buyers have the option to participate in the pre-scheduled appointment programme they may choose to schedule as few or as many appointments as they wish. Local buyers may choose to request privacy meaning that we withhold their contact details from the final buyer contact list. Hosted Buyers Hosted Buyers come from around New Zealand and Australia with the vast majority coming from Wellington and Christchurch. All Hosted Buyers are proven to have business to book scheduled for the next 6-24 months ahead. As a Hosted Buyer the cost of their flights, accommodation and transfers is cover by the Event Organisers. All have agreed to participate in a full schedule of appointments throughout the exhibition and have their contact details released post the event. 4

7 Shared stands: > Please refer to the above stand options for details of how many companies can share each stand size. > If you have advised us you are sharing a stand with another company each will be presumed to have their own appointment stream unless advised otherwise. > You will be invoiced for your own share of the stand unless otherwise stated. > If you book a shared stand it is of your own responsibility to find another company to share with. Notes: > Tickets to the Welcome Function are in addition to stand prices > Welcome Function tickets are available for NZ$60 excl. GST > Additional stand delegate registrations will cost NZ$100 excl. GST > Prices do not change if you are booking space only > Mini stands cannot be shared > All prices are subject to change in the lead up to the event including Welcome Function tickets and additional stand delegate registrations > All payments must be received in full by March 20, 2016 Appointment Programme Hosted buyers have agreed to participate in a full day of face to face appointments (23 appointments, 15 minute duration). We ask each exhibitor to complete an online profile which includes a 700 character bio. This then becomes a reference buyers use to aid their selection process. All of the appointments will be buyer driven - meaning that the buyers on your appointment schedule have requested to see you. All local buyers are given the option to participate in the appointment programme however the majority tends to walk through the show on a free flow basis. About one month out we send all buyers their appointment selection form. On average across our tradeshows of this style, exhibitors can expect between 7-10 appointments. A tentative appointment schedule will be ed to the exhibitors approximately one week prior to Convene and a final version will be made available to collect from registration during pack-in. Exhibitor Profiles All exhibiting companies receive a listing on the Convene website accessible to buyers, including a 100 character company profile. In addition you will also receive a listing in the exhibition preview published in the March issue of Meeting Newz magazine and a contact listing in the Exhibition Guide distributed to buyers on the exhibition day. Contact Database Within one week after the exhibition, every exhibitor will be sent a list of buyers with contact details, excluding day buyers who have requested privacy. Note: If you have any stand payments outstanding this list will not be sent until final payment is received. 6

Website Exhibitors can offer special promotions, prize draws and other incentives on their stand please advise the Event Team to ensure we publish this on our website. Social Media We encourage all our exhibitors to engage in social media activity promoting their involvement in Convene remember to advise the Event Team so we can share your social media posts and tweets to ensure maximum leverage. Convene Preview Published in Meeting Newz magazine As an exhibitor, you re invited to advertise in the official preview, which will feature in the March/ April issue of Meeting Newz. This is a perfect opportunity to reach the market and generate interest before the expo happens. We ll include editorial on your latest developments, show offers etc. including an image.
