1 HEW 7 Position Title Reports to Organisational Unit Position Statement/Purpose Organisational Context and Relationships Location/Campus Position Number Digital Repositories Coordinator Manager, Digital and Student Computing Services Library The position is responsible for managing and coordinating university repository developments, including the Victoria University Institutional Repository and the library s contribution to data management repositories, research output collections (ERA/HERDC) and learning object repositories. The position ensures effective repository services through sourcing inputs, designing and coordinating workflows while providing high quality metadata to maximize discoverability of repository contents and open access impact of University Research. Within the University the position: Works closely with Office of Research, ITS, Centre for Teaching & Learning and research staff within the Colleges and Research Institutes. The position is managed by the Manager, Digital and Student Computing Services. Outside the University the position liaises with the Council of Australian University Librarians, repository user groups and relevant software service providers. The position is currently located at the St Albans Campus of the University. The position and incumbent may be relocated to any other existing or future University work locations where it conducts its operations G POSITION DESCRIPTION Typical Activities/Indicative Tasks Designs and coordinates efficient workflows for repository operations that maximizes the amount of text, open access material publications and datasets that are available. Collects, organizes and makes accessible repository data to support university research publication collection processes such as HERDC and ERA Assess metadata and repository content functions to ensure they meet relevant international standards and protocols. Manages and participates in projects and initiatives related to e-research data management platforms and coordinates their curation in relation to metadata and harvesting workflows. Sources and manages digitization projects to expand the reach of university print research collections by making them available on open access. In consultation with the Manager, Digital and Student Computer Services, manage the casual 1

Liaises with the Office of Research and university researchers to ensure effective interfaces and consistency of data between library repositories and research systems. Provides support and expert advice for all library digital services operations and provides advice and assistance for technology related matters in order to ensure library information services operate efficiently. Scope of the Role Designs and coordinates the Victoria University Institutional Repository (VUIR) and library contribution to the learning management system and open access data repository. Applies specialist knowledge of the design and technical requirements of repositories, metadata schemes, and relevant international standards and protocols. Provides high level advice for Library developments in support of research through repository services for research outputs, data and university learning objects. Maintains current and up to date knowledge of digital repository developments to assess future requirements and provide a development path for university repository services. Contributes to the planning and development process in Library Digital and Student Computing Services including participating in projects and working groups as specified by the Manager Digital and Student Computing Services. Level of Supervision Operates under broad direction from Manager, Digital and Student Computing Services and will be required to manage casual staffing pool who support research publication collections and digitization projects on an annual basis. Judgement, Independence and Problem Solving Assesses, generates and applies ideas that improve the provision of repository services to support teaching, learning and research. Creates and coordinates workflows that integrate a range of research, publication and data systems required to develop university repositories. Requires a depth of expertise developed through extensive relevant experience and application. Achieves objectives while operating within a framework of University policy, either as a member of a team or independently. Reviews current practice and delivery to ensure ongoing relevance and achieve continuous improvement/excellence. Works collaboratively and prioritises work demands to respond to emerging requirements. 2
3 POSITION DESCRIPTION Responsibilities Responsible for being the principal resource person for repository developments who provides leadership across the University for digital repositories including the Victoria University Institutional Repository and coordinating the library s contribution to data management repositories and learning object repositories. Responsible for achievement of position objectives of all research activities and collections within agreed time frames and within agreed budget. Must comply with all University governance and relevant legislative requirements. Professional and Organisational Knowledge Maintains up-to-date specialist knowledge of and experience in university repository developments, learning object repositories and data management developments in a tertiary environment. Project management knowledge and the capability to plan, develop and implement programs and projects. Knowledge of Federal and State government legislation and policies related to the tertiary education sector and its impact in their area of responsibility. Knowledge of University operations, governance and decision making processes, including quality assurance policies and procedures and other relevant legislative requirements. Multi-sector perspective and understanding of key issues in post-secondary education. Specialist knowledge of national and international standards, protocols and codes of practice related to repositories and research data management. Interpersonal Skills Highly developed written, oral communication and interpersonal skills including negotiation, influencing and problem solving skills. High level organisational skills. Demonstrated capacity to work positively, effectively and collaboratively with a range of people at different levels within the University. Work with and contribute positively to the larger work unit by leading, coaching and motivating staff. High levels of integrity, commitment and judgement, including the ability to deal with complex issues with sensitivity and confidentiality. Ability to work independently and prioritise work demands. Qualifications and/or Equivalence 1. A degree with 4 years subsequent relevant experience, or 2. Extensive experience and management expertise in technical or administrative fields, or 3. 4 Key Selection Criteria Essential: 1. Knowledge or Training equivalent to a degree with 4 years subsequent relevant experience or extensive experience and management expertise, or an equivalent combination of relevant experience and/or education/training. 2. Demonstrated knowledge of the design and technical requirements of repositories, metadata schemes, relevant international standards and protocols. 3. Demonstrated capacity to acquire and apply the skills necessary to develop collections and datasets within the software environment of repositories. 4. Demonstrated understanding of university research developments and trends including research data management, scholarly communication and publishing and relevant copyright legislation and agreements. 5. Well demonstrated project management skills and the capacity to work on multiple projects simultaneously and be able to deliver results determined by critical dates in an organisational environment. 6. Extensive interpersonal, communication and report writing skills and the ability to manage confidential and sensitive information relevant to an academic environment. 7. Demonstrated ability to exercise initiative, judgement and decision making, and generate and operationalise ideas to improve workplace practice. 8. Demonstrated capacity to understand and comply with employer policy and practices in all aspects of work and conduct, including OHS and Anti-Discrimination responsibilities and complete/attend relevant training. 9.
