1 NAFSA: ASSOCIATION OF INTERNATIONAL EDUCATORS Region II: Arizona, Colorado, Kansas, Montana, Nebraska, New Mexico, Utah, Wyoming We would like to invite you to participate as an exhibitor/advertiser/sponsor in conjunction with the upcoming NAFSA: Association of International Educators Region II conference in Tucson, Arizona. We are expecting about 300 people at this year s conference, which will be held at the Marriott University Park in Tucson from October 14-17, Here in beautiful Region II, we experience the Rocky Mountains, Sonoran Desert, and Great Plains on a daily basis, during our commute and even on our campuses. Please help us continue the Region II theme of sustainability during the conference. We encourage you to offer environmentally friendly promotional material, reducing our use of materials, and participating in recycling efforts. We also enjoy visiting our Region II west in casual wear and especially jeans. The Exhibit Area will be in the Foyer of the Marriott Tucson University Park. This area connects the hotel lobby and restaurant with the primary meeting rooms used for break-out sessions. It is a main traffic corridor and excellent for exhibiting. Coffee breaks will be held in space immediately adjacent to the exhibit area to draw conference attendees into the space and to maximize exhibitor visibility. Please see the attached form for fees and ways for you to be involved. The Opening Reception is Tuesday evening, October 14, from 6:00-8:00p.m. Exhibitors may begin setting up at 4 p.m. on Tuesday, October 14. The exhibit area will be open to conference attendees from the morning of Wednesday, October 15 through late afternoon on Thursday, October 16. Some offsite events are planned for Wednesday and Thursday evening. Lunch on Thursday is on your own from noon to 1:45p.m. Sessions will resume at 2:15p.m. It will be your option to break down at noon or exhibit through the rest of Thursday. 2 For Your Information: Conference Registration: Registration is included for one exhibitor from your organization. Please do not fill out the regular conference registration form for this one person from your organization. Additional exhibitors must register separately for the conference. Registration forms will be available on-line beginning August 1, Registration and payment due by September 1, The NAFSA Region II conference will be held at the Marriott Tucson University Park. The last day to book a hotel room at the conference rate is September 11th or when the hotels sell out, whichever comes first. Unfortunately, the area will not be secured after hours. Wireless internet access is free and available throughout the hotel, including in the exhibit area. There is limited access to electrical outlets. The official exhibit opening will be Wednesday morning, October 15 at 8:00 a.m. (although exhibitors may set up as early as 4:00 p.m. on Tuesday afternoon. However, note that the exhibit space is not secured overnight). Coffee breaks will take place from 10:15-10:45 a.m. and 3:15-3:45 p.m. on Wednesday and from 10:15-10:45 a.m. and 3:30-3:45 p.m. on Thursday. 3 Advertising: All exhibitors receive a free 1/4 page ad in the 8.5 x 11 program book. This free ad may be upgraded to a larger ad by paying the difference above the $100 allowance for a 1/4 page ad.
