2 The West Virginia Health Care Association presents the Annual Convention and Trade Show at the Waterfront Place Hotel and the new 30,000 square foot Morgantown Event Center on Monday, May 2 - Wednesday, May 4, The Morgantown Event Center adjoins the Waterfront Place Hotel. Call for hotel reservations and say you are with the WVHCA. The room block rate arranged with the hotel is $119 for single occupancy per night plus tax. Deadline for receiving convention hotel rates is April 5, The WVHCA Trade Show will take place at the Morgantown Event Center on Monday, May 2 from 5:00 p.m. to 8:00 p.m. The Morgantown Event Center and Stetson Convention Services will provide support to assist exhibitors in advance and process exhibitor s requests and orders for services related to their individual requirements. Stetson Exhibit Services will send a manual to registered exhibitors. It includes pricing for additional banquet side chairs, skirted tables, risers, carpeting and more. Payment may be made in advance or onsite by company check or credit card. Staff will be present to provide all the necessary equipment and rental furnishings, production and service desk personnel to supervise, direct and control the setup and removal of the show. They will staff an Exhibitor s Service Center to coordinate all service details. 2 West Virginia Health Care Association Booth numbers assigned by WVHCA must be on all shipping labels to ensure proper placement in the Trade Show. Exhibitors may ship their equipment no earlier than one week prior to the conference. 3 The convention brochure reaches every nursing facility and assisted living community in West Virginia. Convention attendance is usually Exhibitors who complete the company profile information found on the Exhibitor Contract (included) will find their company information in the on-site convention brochure and exhibitor directory. The exhibitor directory will serve as a reference guide for our members and attendees at the convention. To increase your company s visibility and traffic to your booth, upon your request, an electronic mailing list of convention participants will be made available one week prior to the convention and immediately following. Please contact Joseph Grispino at , ext. 201 or jgrispino@wvhca. org. Exclusive show hours and decision makers attending are the hallmarks of the WVHCA Trade Show. No convention education sessions, social events or other distractions will compete against the three hours of exclusive exhibit time. Serving dinner and awarding prizes during the course of the show should prove beneficial to your exhibit time. We believe you will find this schedule to your advantage and entertaining to your potential and existing clients. You may wish to provide a prize to be given away during the Trade Show. Prizes will be announced throughout the show by the DJ. Attendees must be present to win WVHCA intermittent prizes, as well as the Grand Prize which is offered during the last half hour of the show. Exhibit sheets initialed by a majority of the exhibitors placed in a drawing box are drawn for the Grand Prize culminating the show. Trade Show exhibitors may earn Continuing Education credits by registering for the convention. Exhibitors receive a 15% discount on full convention registration or single day registrations. Registration forms will be available in the convention brochure which will be available on the Association s website. Interested in attending Tuesday evening s Awards Banquet? This is a ticketed event. Registration forms are included in the convention brochure which will be mailed to all registered exhibitors and will be available on the website www. wvcha.org in early What is included in the booth space? Booth sizes will be 10 x 10. Included in the booth space is one 8 covered and skirted display table, two side chairs and one wastebasket. The Event Center will decorate all booths with pipe and drape. Furnishing rates include delivery to the space, rental for the entire show period and removal. The cost of standard electrical service at your booth is $40.00 and will be handled by the Event Center. The Event Center offers complete material handling of the exhibitor booth once shipped to the hotel or arriving by exhibitor to their respective location on the exhibit floor. Basic drayage to the exhibitor s booth under 200 pounds is included in the price. The hotel will assist exhibitors with return How much is booth space? WVHCA offers an attractive rate for booth space at our well-attended Trade Show. Associate Members receive priority in selection of booth space at the single, regular booth rate. Prices below include 6% WV sales tax. WVHCA Associate Members Single Booth $795 Double Booth $1,590 Non-Members $1,272 $2,544 Booth assignments are made in the order in which exhibitor contracts with payments are received at the Association. However, Associate Members receive priority in booth assignments and a Partnership Row booth location may be purchased by Associate Members who achieve a $2,500 investment level during 2011 calendar year Trade Show 3

4 shipping. Forms for shipping with FedEx or UPS will be available and pick up will be arranged. Wireless internet service, available throughout the hotel and event center, is complimentary. What is in the contract for space and cancellation policy? Deadline for registration is April 15. The application for exhibit space, regulations enumerated herein giving notice of a space assignment by WVHCA, and the full payment of booth space, constitute a contract for the right to use the space. No booth space will be reserved without full payment. All cancellations must be received in writing. A refund will be issued for cancellations received by March 18th less 25% processing fee. There is no refund for cancellations received after March 18, What are the exhibit restrictions and liabilities? Each exhibit shall be installed so as not to obstruct the view of, or interfere with, the exhibit of others. No solid exhibit construction will be permitted which may obstruct or interfere with others. All displays must be within the 10 x 10 space and not encroach upon the aisles. The exhibitor agrees to protect, indemnify, defend and hold harmless WVHCA and the Event Center and the affiliates and subsidiaries of each, and the officers, directors, agents, partners, and employees of each against all claims, losses, and damages to persons or property, governmental 4 West Virginia Health Care Association charges or fines, and attorney s fees arising out of our cause by exhibitor s installation, removal, maintenance, occupancy, or use of the exhibition premises or a part thereof. The WVHCA, its agents and employees, will not be held liable for failure to hold the exhibits as scheduled. In that event, payments for booth space will be returned, except for any expenses incurred in connection with the exhibit which will be deducted if the exhibit is cancelled on or after March 18, 2011 because of fire or any act of God, or the public enemy, or strike or epidemic, or any law or regulations of public authority, which makes it impossible to hold the exhibit. Why should I become an Associate Member of the West Virginia Health Care Association? An immediate benefit is priority in selection of booth space at member rates. As a member, your Trade Show single booth savings will more than cover half of your $500 membership! WVHCA is the voice of long term care in West Virginia currently representing 136 member facilities that include the majority of nursing homes, skilled nursing units in hospitals and assisted living communities in West Virginia. The WVHCA Associate Membership program is designed for the following reasons: To allow providers of goods and services the opportunity to aid their clients through support of WVHCA. To provide Associate Members with information and services enabling them to better serve their nursing home and assisted living clients.
