2 2016 World Massage Festival EXHIBITOR INFORMATION LOCATION Harrah s Waterfront Conference Center, Atlantic City, New Jersey LODGING $ taxes, per night August 5-12, 2016 All guests will make their reservations directly with Harrahs. Please call to make reservations. Our group code is SH08WM6. Each individual is required to provide a major credit card for first night s room and tax deposit, which will be charged in order to guarantee accommodations. Reservation requests received after the 7/6/16, will be confirmed on a space available basis at the prevailing rate. 3 2016 World Massage Festival EXHIBITOR INFORMATION EXHIBITOR CHECK IN DESK HOURS Sunday, August 7-10:00 AM to 6:00 PM Check in will be available during these hours ONLY. Be sure to keep this in mind as you make your travel plans. You will NOT be able to check in after 6pm, so be sure to arrive early, or make plans to stay in a motel along the way, so that you can schedule your arrival during check-in times. EXHIBIT HOURS Sunday - Vendor set up 7:00 AM-10:00 AM on Sunday Sunday - Vendor exhibits open 10:00 AM - 6:00 PM Monday and Tuesday - Vendor exhibits open 10:00AM - 7:00PM Wednesday - Vendor exhitibs open 10:00AM - 2:00 PM BOOTH ASSIGNMENTS Booth locations will be determined by WMF based on separating like businesses for maximum exposure for all. Each 10 x10 booth will be provided with 1 6 x30 Table, & 2 chairs. No pipe and drape. Tables will be covered and skirted. Free standing signs or attached to table only. PAYMENT If registering online, you may make payment in 2 payments. The initial payment of $350 and the remaining balance one month later. After January 1, 2016, full payment must be made at registration. If paying by check, you must make payment in full when contract is submitted. PROMOTION The WMF Vendor/Exhibit attendees are promoted on our website, at other events we attend, in advertising, in s to potential attendees and will be listed in our Festival program, The Bridge Builder. WMF EXHIBITOR POLICIES The WMF Vendor/Exhibit policies including liability, cancellation and eligibility are all detailed on the Vendor/Exhibitor Contract which is attached. The Exhibitor is responsible for shipping to and from this site. The World Massage Festival is not responsible for loss or damage to Exhibitor property nor personal injury to any Exhibitor or individual representing the Exhibitor. You MUST notify us prior to shipment of the date and approx. time shipment will arrive at Harrah s Waterfront Conference Center The World Massage Festival reserves the right to limit company and/or product representation. No minors are allowed in booths. The World Massage Festival reserves the right to refuse to sell a booth to a vendor, assign and/or reassign an exhibit booth. The World Massage Festival will exercise reasonable care for the protection of Exhibitors materials and displays. In the event of a cancellation due to disaster, fire, labor strike, Act Of God or any other cause the World Massage Festival & staff are not liable. Exhibitor Information & Memorandum of Understanding REGISTRATION: The person named on the Application/Contract is the person considered by the World Massage Festival as the official contact of the participating entity for all purposes related to the program. The official contact person is responsible for providing on-site representative(s) with time schedules and other pertinent information. World Massage Festival shall have sole control over all admissions policies. Person(s) working in a booth must be registered and wear an official identification badge at all times while in the vending hall. The official contact person will receive a confirmation letter upon receipt of payment and signed contracts. Your representative(s) will need to sign in at the World Massage Festival registration desk (where they will receive their name badges and complete Festival scheduling information). EXHIBIT HOURS: You agree to abide by the vending hours as noted above. BOOTHS: All booths are approximately 10 ft. x 10 ft. One table & 2 chairs will be provided. Tables will be skirted. No pipe and drape. Signs or other features may NOT obstruct or interfere with walkways or other vendor spaces. EXHIBITS & PUBLIC POLICY: Each exhibitor is charged with knowledge of all laws, ordinances and regulations pertaining to health, fire prevention and public safety, while participating in the World Massage Festival. Should an exhibitor have any questions as to the application of such laws, ordinances, and regulations, the World Massage Festival will endeavor to answer them or to direct the exhibitor to the best source of information. ELIGIBILITY FOR EXHIBITING: All products and services must be germane to the practice of Massage Therapy or be approved in advance by the

10 World Massage Festival. Content of the exhibits is subject to approval. The World Massage Festival reserves the right to refuse entrance/set-up to any person and/or company, solely at their discretion. Exhibitors may not assign, sublet or share any portion of their space. Exhibitors may not enter another exhibitor s booth/space without permission. SALES TAXES: In accordance with New Jersey s Tax Statute, exhibitors must collect a 7.00% sales tax on sales of tangible personal property. Consult your attorney or the New Jersey Department of Revenue to determine tax exemptions if no sales are made within the state. All exhibitors are personally responsible for adherence to New Jersey Sales Tax laws and for payment of sales tax due the State of New Jersey. ASSIGNMENTS: World Massage Festival reserves the right to relocate or reassign exhibit booths at any time for the benefit of the program. LIABILITY: All property of the exhibitor remains under his/her control in transit to and from the Venue location and while it is in the confines of the Venue. Neither the World Massage, their service contractors, the management of Harrah s Waterfront Conference Center, Caesar s Entertainment nor any officers, staff members or directors of any of the same are responsible for the safety of the property of exhibitors from theft, damage by fire, accident, vandalism, or other causes, and the exhibitor expressly waives and releases any claim or demand he may have against any of them by reason of any damage to or loss of any property of the exhibitor. The World Massage Festival will exercise reasonable care for the protection of exhibitor s materials and displays. The World Massage Festival, staff & volunteers will not be liable for the safety of the exhibitor s property. RESPONSIBILITY CLAUSE: Exhibitor assumes responsibility and agrees to indemnify and defend the World Massage Festival and Harrah s Waterfront Conference Center, Caesar s Entertainment and its respective owners, employees and agents against any claims and expenses arising out of the use of the Venue location Exhibitor understands that neither the World Massage Festival nor Harrah s Waterfront Conference Center Caesar s Entertainment, maintains insurance covering the Exhibitor s property, and it is the sole responsibility of the Exhibitor to obtain such insurance. CANCELLATIONS: Any cancellations MUST be in writing. No telephone cancellations are accepted. All cancellations must be in writing and if post marked by February 1, 2015, 70% of total costs are refunded. There are absolutely no refunds after February 1, 2015 and no refunds for no-shows. In the event the World Massage Festival is canceled due to fire, strikes, government regulations, acts of God, or any causes beyond the control of the World Massage Festival, the World Massage Festival shall not be held liable for failure to hold the Festival as scheduled.
