2 On behalf of the French Buiatrics Association, we would like to invite your organization to become actively involved in the 4th European Buiatrics Forum to be held in Rome, Italy, from 14th October to 16 October The congress includes national and international guest speakers and delegates, and is expected to attract between 600 delegates from 30 different countries. The two days and a half congress will provide an excellent environment to exchange ideas, meet new people and form new business relations. Grand Hotel Parco Dei Principi Via Gerolamo Frescobaldi, 5 Rome, Italy A privileged location in one of the most refined areas of Rome, overlooking the Villa Borghese gardens. It is only few minutes away from Via Veneto, Spanish Steps, Trevi Fountain and the world famous Via Condotti. The congress centre is modern and equipped for meetings, events and banquets for up to 800 people thanks to the modular rooms and independent entrance. 4 The commercial exhibition will take place from October 14th to 16th, 2015 in the Parco Dei Principi Hotel and Congress centre, Rome, Italy. This trade exhibition will be an ideal showcase for your company and will provide you with the opportunity to promote your products at an European event attended by veterinarians and specialists in bovine practice from around the world. Coffee breaks, and poster sessions will be held in the exhibition area, offering greater visibility for your exhibit. Your company is invited to exhibit and to show the know-how and last results of its research works to the main European buiatrics operators. You will have the opportunity to promote your products, instruments, equipments and services to attending veterinarians and other operators in an atmosphere of interest and appreciation. Exhibition space allocation Booth space will be assigned to the companies by the organizer by beginning of September Additional space allocation Sponsorship packages: unfurnished trade show area Eur 350 +VAT per m² Outside of exhibitors packages: unfurnished trade show area, beyond 9 m² Eur 400 +VAT per m² Exhibitors badges Sponsors will receive exhibitors badges according to the package booked Exhibitors will receive 3 free exhibitor badges per 9 m 2 booth. Additional exhibitor badge request will be charged Eur 190 +VAT per badge. Exhibitor badges will grant access to meals during the conference (coffee breaks and lunches). Exhibition visitor badge The visitor badge will be issued to the operators having not applied for a booth. It will be given at the congress welcome desk after registration and payment (Eur 300 +VAT). The visitor will be entitled to visit the exhibition and participate in the coffee breaks. Exhibitors manual The Exhibitors manual and official suppliers order forms will be mailed to all exhibitors by mid may 2015.The manual will also contain the final set-up, exhibition and dismantling time table. 5 Rates and financial terms All rates are quoted in Euros and do not include VAT, actual rate is 20%. All rates does NOT include electricity or internet. These items will have to be ordered directly from the on-site AV company. More information will be sent to you. Please mind that invoices issued in France are VAT included and after full invoice settlement the company has the possibility to apply for VAT refunding. Why you should participate! 7 Sponsorship terms and conditions GENERAL RULES 1. Conditions of participation Participation requests - acceptance Participation requests will only be taken into consideration :. if they are completed on the requested forms duly filled and signed. if the requested payment is attached to the form(s) The application will be confirmed on receipt of the booking form(s). The acceptance will be notified by writing. The Parties shall not transfer or assign this Agreement without the prior written consent of the other Party, except that the Agreement's signatory company may assign this Agreement to an affiliate or in connection with the merger, consolidation or sale of all or substantially all of its assets. 2. Obligations and rights of the sponsor Any registration involves the acceptance unreservedly of the exhibition rules. Any infraction of the law can lead to the immediate revocation of the right to participate to the exhibition, without any indemnity or refund of the amount already paid and without prejudice of the legal proceedings that could be started against the exhibitor. By his appliance, the exhibitor promises definitely and irrevocably to occupy the alloted booth and to keep the structure till date and hour of dismantling. The exhibitor will be allowed to present on his booth only the material, products or services described in his application form. He will not be entitled to make any kind of advertisement for not exhibiting companies or to give or rent all or part of his alloted Booth. 3. Obligations and rights of the organiser The organiser undertakes to allocate exhibition space as far as possible on the basis of the preferences expressed by applicants. In case of full necessity, the organiser reserves the right to change the setting up floor plan but the exhibitor will not be liable to claim any compensation. 4. Payment Terms of settlement for sponsorship packages: 50% from the moment of signing 30 % on May 31, 2015 at the latest Balance on September 1, 2015 at the latest Terms of settlement for sponsorship opportunities: 100% from the moment of signing Payments methods: Payment by check, please make check payable on a French bank to «ALL IS EVENT / EBF» Payment by Bank Transfer, pease make drafts payable to «ALL IS EVENT / EBF» Bank: CCM VENCE / 14 AVENUE DE LA RESISTANCE / VENCE / FR (CCM VENCE) IBAN: FR BIC: CMCIFR2A 5. Cancellation conditions For any cancellation by the exhibitor before May 31, 2015, 50 % of the total amount due will be applied. For any cancellation by the exhibitor within 60 days before the beginning of the exhibition, the total amount due will have to be paid. If for any reason beyond the control of the organiser, it is not possible to use the premises on the day and at the time specified or the periods of hire are reduced or the dates of the exhibition changed, or in the event of force majeure the organiser will only be bound to refund money paid after deduction for costs incurred in preparing the exhibition. In case of cancellation by the organizer for any other reason, the total amount paid by the exhibitor will be refunded. 6. Dispute juridiction In the event of dispute, the Courts of Nice shall entertain jurisdiction: on the one hand the text of the general regulations in the French language approved by the Minister of Commerce (Decree of April 7, 1970) the specific regulations here to on the other shall apply. [Comment: We cannot contractually submit to regulations which we do not know. 8 EXHIBITION RULES 1. Exhibitor file A Technical Manual will be sent to every exhibitor on May This Manual will provide full details concerning the exhibition set up, dismantling and order forms concerning service supplies. 2. Occupation Exhibitors will be informed through the technical manual of the date when stands will be made available. Equipment installed and products exhibited must be removed before the end of the period specified for dismantling. Otherwise the Organiser will arrange for their removal at the exhibitor s risk and expenses. Stands must remain open throughout the exhibition opening hours. 3. Surveillance The Conference Centre is kept under constant surveillance by the its own security staff. However, the latter cannot in any circumstances be held liable for any accident, damage or, in particular, theft which may occur. During the exhibition period no materials may be removed from or taken into the Centre without prior authorization from the organiser. Exhibitors are responsible for individual supervision of their stands. Access to the exhibition is authorised on presentation of a badge/pass or invitation card issued by the Organiser. Exhibitor s badges will be distributed at the exhibition welcome desk. 4. Security Exhibitors are under obligation to comply with security measures laid down by the authorities. Details will be in the Technical Manual. 5. Space occupation damages The exhibitors must return the premises in the same conditions as they found them. Any damage will involve the responsibility of the exhibitor who will bear the cost of the repairs. 6. Insurance The exhibitor must take an insurance covering risks to exhibited and installed material and their own liability with respect both to their own staff and third parties. Each exhibitor must produce a third party claims waiver issued by his/her insurance company. 7. Signing - decoration sound Any decoration or special equipment must be approved by the Organiser. Sound or noisy demonstrations are forbidden in the exhibition Hall. 8. Storage The parcels forwarded by the exhibitor before the opening of an exhibition cannot be accepted by the Congress center unless the name of the exhibition or convention, the company concerned, its representative and its stand number clearly appear on the parcels. The parcels can t stay in storage more than 2 days. 9. Photographs Only the approved photographer is entitled to take pictures on the event areas Cleaning The Organiser insures the cleaning of aisles and common areas.
