3 ShreTel Vice Mail Quick Reference VOICE MAIL OPERATIONS (Instructins fr Vice Mail wners) New Vice Mail Indicatrs Yur vice mailbx cntains unplayed messages if: n Yu hear a stutter tne n the handset. OR n The phne s message waiting light flashes. Checking Vice Mail T check vice mail frm yur extensin 1 Press Vice Mail r lift the handset and press #. 2 At the prmpt, use the dial pad t enter yur passwrd. (If yu have nt been assigned a passwrd, use the default passwrd, 1234.) 3 Press #. NOTE If yu are lgging in fr the first time, the system prmpts yu fr a new passwrd and asks yu t recrd yur name. T check vice mail frm anther extensin 1 Press # twice. 2 Enter yur extensin. 3 Enter yur passwrd. 4 Press #. T check vice mail frm an external phne 1 Dial yur vice mail access number. 2 Enter yur extensin. 3 Enter yur passwrd. 4 Press #. Listening T Messages At the Main Menu prmpt, press 1. The vice mail system plays urgent messages first, then newly arrived messages. The system gives the delivery date and time fr each message. (Yu can disable this feature frm the Mailbx Optins Menu.) Managing Messages After listening t a message, yu can replay it, send a reply t the persn wh left the message, frward it t smene else, replay the date and time infrmatin, save it, r delete it. T replay all f yur saved messages n Press 3 at the Main Menu prmpt. As a safeguard against accidental erasures, the system retains deleted messages fr a few hurs. T listen t yur deleted messages 1 Press 7 at the Main Menu prmpt. 2 Press 7. Vice mail plays all the deleted messages still available t the system. During playback, yu can manage deleted messages as if they were newly arrived messages. T restre a deleted message n Press 2. T send a recrded message frm vice mail After recrding a message, vice mail asks yu t supply an address. 1 Address the message t individual recipients by entering their extensin numbers. 2 Specify grups f recipients by entering a distributin list number. T identify a recipient by name, specify a persnal distributin list, r bradcast t all extensins, press 0 and fllw the prmpts. T mark a message as urgent n After addressing the message and cnfirming the addressee(s), press 1. T frward the message yu're reviewing 1 Press 4 and fllw the recrded prmpts. T reply t the message yu're reviewing 1 Press 5 and fllw the recrded prmpts. 2 Press 1 t reply with a vice mail, press 2 t reply with a call back, r press 3 t reply t all with a vice message. Changing Mailbx Optins Persnalize yur vice mail by changing yur name, passwrd, r persnal greeting. T change persnal settings frm the Main Menu, press 7 and fllw the recrded prmpts. Enabling Office Anywhere (On-Net) If yu have the prper permissin, yu can assign yur extensin t any phne n the system. 1 Lg in t vice mail frm the target phne an extensin ther than yur wn. 2 At the Main Menu prmpt, press 7. 3 Press 3 t re-assign the extensin. n Press 1 t assign the extensin. n Press 2 t un-assign the extensin. (The phne reverts t its riginal extensin.) (Off-Net Extensin Re-assignment cannt be cnfigured thrugh the vic system and must be cnfigured thrugh PCM. Refer t the Administratin Guide fr details.) Setting Call Handling and Frwarding NOTE Use ShreWare Call Manager t cnfigure the mdes with different call frwarding destinatins and persnal greetings. Yu can set ne f five distinct call handling mdes fr yur extensin. When yu recrd a persnal greeting, it is linked t the active call handling mde. T enable ne f the five distinct call handling mdes: n Press 7 at the Main Menu prmpt. n Press 2, then fllw the prmpts. Changing Ntificatin Optins T select a ntificatin prfile fr the Escalatin Ntificatin feature: n Press 7 at the Main Menu prmpt. n Press 9 fr additinal mailbx ptins. n Press 2, then fllw the prmpts. NOTE Yu must have ntificatin prfiles previusly cnfigured befre a ntificatin prfile can be activated. Enabling FindMe T enable r disable FindMe Frwarding s that callers can frward their calls t yur destinatin: n Press 7 at the Main Menu prmpt. n Press 9 fr additinal mailbx ptins. n Press 5, then fllw the prmpts. LEAVING A MESSAGE (Vice mail ptins when in mailbx) Trubleshting If the number f messages in yur mailbx exceeds the limit, the system ntifies callers that yur mailbx is full and unable t accept new messages. (Recently deleted messages remain in the mailbx and are included in the ttal cunt.) If yur mailbx is full, first purge any backlg f deleted messages. T purge deleted messages 1 At the Main Menu prmpt, press 7. 2 Press 8 t remve deleted messages. 3 Press 1 t cnfirm deletin r * t cancel. Leave Message When dialing int a ShreTel system, if the persn yu are trying t reach des nt answer, yur call will be sent t a mailbx and yu will hear a standard greeting.
