3 Setting Up a Cnference Call When yu are ready t setup yur audi cnference, fllw these simple steps: 1. If this is yur first Level 3 SM Ready-Access cnference, familiarize yurself with the cntrls and capabilities f the standard Ready-Access cnference cmmands. 2. Infrm all participants f the date and time f the cnference. 3. Give all participants yur Ready-Access phne number and access cde. 4. When it is time fr yur cnference, dial in n the Ready-Access phne number, enter yur access cde, then listen t the prmpts t enter yur Chairpersn Passcde t begin the cnference. 5. Cnference participants dial the Ready-Access number at the designated time, enter the access cde, and the cnference is underway. Ready-Access Cntrls and Cmmands As the cnference Chairpersn, yu can cntrl the access t yur cnference, as well as wh can speak r just listen. T keep yur cnference well rganized, the fllwing cmmands are available t yu at any time during the cnference. They can be activated thrugh the tuch-tne phne that yu used t initiate the cnference, r thrugh yur cmputer via Level 3 SM Web Meeting. Chairpersn Cmmands and Features Participant Optins and Cmmands 3

4 Ready-Access Accunt Optins Change the chairpersn passcde peridically t help ensure security. Recrd participant name (n/ff) when set t n, yu can use the rll call feature during a meeting and use the name annunce ptin. Set cnference entry/exit annuncement (chse ne): tnes, silence, name annunce. T change these settings, dial in t Ready-Access; enter yur access cde fllwed by yur passcde; press t change accunt ptins; then just fllw the vice prmpts. These ptins can be changed as ften as yu like. Helpful Hints fr Using Ready-Access The maximum number f participants that can jin the cnference (including the Chairpersn) is based n yur individual subscriptin. Anyne trying t jin the cnference nce the maximum number f participants has been reached will nt be able t jin. If participants dial in befre the Chairpersn, they will be placed n music hld until the Chairpersn jins the cnference. When the Chairpersn hangs up, the cnference call will end. T allw the cnference t cntinue after the Chairpersn leaves, he r she shuld press * 8 early in the cnference in case f an inadvertent discnnectin. The Aut Cntinuatin feature allws all cnferences t cntinue after the Chairpersn discnnects withut any additinal tuch-tne cmmands. When a participant jins r leaves, the cnference tne is nrmally heard. Sme Ready-Access subscriptins are cnfigured t recrd and annunce the names f participants as they enter r leave the cnference (entry/exit annuncement ptins). When this feature is enabled, a Chairpersn r participant can press * 9 t receive a rll call f everyne n the cnference. TIP: Dwnlad the Level 3 Cnnect Outlk Add-In t autmatically include yur Ready-Access and Web Meeting subscriptin infrmatin in yur meeting invites. Keeping Yur Cnference Secure Change yur Chairpersn passcde number frequently. Fllw these steps: 1. Dial yur Ready-Access phne number 2. Enter yur 7-digit access cde 3. Press the # key 4. Enter yur current Chairpersn passcde 5. Select Optin 2 6. Fllw the prmpts t create a new Chairpersn passcde (4-9 digits) Assign an additinal security passcde (4-9 digits) t sensitive cnferences. Be sure t infrm all participants f the security passcde befre yu begin the cnference. After yu have entered yur access cde at the start f yur cnference, yu will be prmpted t enter the security passcde fr that cnference. If yu enter this passcde, everyne that dials int this cnference must als enter the same passcde after entering the usual access cde. Fr maximum security, use the lck cnference feature; * 4 t lck, * 5 t unlck. 4

5 Level 3 Cnferencing Prtal Overview The Level 3 Cnferencing Prtal allws yu t manage yur Ready-Access subscriptin and features cnveniently frm an nline website. Additinally, if yu are an administratr, yu can manage users and Ready-Access accunts n behalf f yur cmpany r acrss many cmpanies. Key Benefits and Functinality Manage Yur Ready-Access Experience View yur user infrmatin and Ready-Access accunt infrmatin, such as cnference details and dial in phne numbers. View Hw T infrmatin t help yu use yur Ready-Access accunt. Mdify yur Ready-Access and web cnferencing accunt ptins. Simple Click-t-Access Web Start r manage Web Meeting cnferences r access recrdings frm within the Level 3 Cnferencing Prtal. Manage Users, Accunts, and Cmpanies (ADMIN nly) Manage Users: Search fr users, view an edit their details and add new users. Manage Ready-Access Accunts: Search fr accunts, view and edit accunts, and add r delete accunts. Manage Cmpanies: Search fr cmpanies, view and edit cmpany details and add new cmpanies. System & Accunt Requirements System Requirements The Level 3 Cnferencing Prtal has been certified with the fllwing perating systems: Micrsft Windws XP Windws 7 (64 bit) Accunt Requirements The cnferencing prtal allws yu t view yur user infrmatin and Ready-Access accunt infrmatin. Yu must be set up as a user befre a Ready-Access accunt can be prvisined fr yu. Yu can lg int the cnferencing prtal using yur Ready-Access accunt infrmatin if ne has been assigned t yu. Alternatively, yu can use a predefined username and passwrd. These can be setup by yur cnferencing administratr. Cnferencing administratrs can als manage users, Ready-Access accunts and cmpanies. Administrative functinality must be assigned by yur sales/accunt team. 5

6 Accessing the Cnferencing Prtal Lg in using yur Ready-Access credentials: Visit Enter yur Ready-Access accunt infrmatin: yur Ready-Access phne number, access cde, and chairpersn passcde. If yu d nt knw this infrmatin, please cntact yur cnference administratr r Custmer Care. Lg in using yur username and passwrd: Visit Enter yur username and passwrd. Click the Lgin buttn. If yu dn t knw this infrmatin, please cntact yur cnference administratr r custmer care. Setup Username and Passwrd using My User Prfile Lg int the cnferencing prtal using yur Ready- Access credentials. Click n My User Prfile in the left navigatin. Click Edit. Establish yur passwrd. Must be an address in a valid frmat such as: xxx@xxx.xxx Enter yur passwrd. Must cntain at least eight digits, ne f thse must be capitalized and tw must be numerical. Re-enter yur passwrd. Click Save. 6

My User Prfile View and change yur user infrmatin including cntact infrmatin and username and passwrd. Changes View recent and upcming changes scheduled fr the Cnferencing Prtal. Ready-Access View and change yur Ready-Access accunt ptins, view cnference infrmatin and Hw T tips, dwnlad tls and view glbal dial-in numbers fr yur accunt. Web Services Start r manage Web Meeting cnferences r audi and Web Meeting recrdings. Help View help cntent fr navigating the prtal. Cntact Us View glbal custmer care cntact phne numbers. Lgut Lg ut f the cnferencing prtal. Hme The hme screen displays everything yu need t manage yur accunt. My User Prfile View yur user details. All ntificatins will nly shw if yur cmpany has chsen t enable. Click Edit t mdify yur user details. Yu can edit all fields with the exceptin f yur name. T make a name change, please cntact yur cnference administratr r custmer care. Username and passwrd must be in a specific frmat. Please see hw t Setup Yur Username and Passwrd sectin f this user guide fr mre infrmatin. Changing yur address will nt impact yur username. Changes Click n Changes t view recent changes made t the cnferencing prtal, r view the changes yu can expect in a future release. Ready-Access Cnferences Review cnference details fr call yu have cnducted and enter accunt cdes. Hw T Learn hw t use yur Ready-Access accunt and features assciated with it. Dwnlad vcard Get an electrnic cnference card right t yur cntacts that includes all f yur cnference infrmatin, s yu always have it with yu. 7

8 Scheduler Plug-In The scheduler is a plug-in that allws yu t generate Ready-Access nly r Ready-Access and Web Meeting invitatins frm Micrsft Outlk. GOS Access yur dial-in phne numbers t use yur cnference accunt frm lcatins arund the wrld. My Accunt View yur Ready-Access accunt infrmatin. Cnferences The Cnferences screen displays calls cnducted n yur accunt in the past six mnths. Within the Cnferences screen, yu can enter Accunt Cdes. These are reference numbers fr Chairpersns t use fr cst accunting purpses. A Chairpersn may enter an accunt cde via tuchtne cmmands befre starting a cnference call r via the cnferencing prtal after a cnference call has ended. An accunt cde may be added via the prtal fr cnferences that have yet t be inviced. The cde may be 20 characters in length. Hw T T learn hw t use yur cnferencing accunt, click n Hw T. Yu will nly see tips fr services yu have access t. Dwnlad vcard Click n Dwnlad vcard t get an electrnic cnference card saved t yur cntacts that include all f yur cnference infrmatin. After yu have dwnladed the vcard, yu can add accunt infrmatin int the Ntes sectin, such as yur access cde, frequently used glbal dial-in numbers, r cnference phne cmmands (DTMF cdes) 8

9 Scheduler Plug-In (Level 3 Cnnect Outlk Add-In) The Scheduler Plug-In allws yu t generate Ready-Access and Web Meeting invitatins frm Micrsft Outlk. Please refer t Level 3 Cnnect Slutins fr mre infrmatin f the plug-in. Glbal Originatin Service (GOS) Glbal Originatin Service displays the glbal dial-in phne numbers fr yur accunt. Yu can als view helpful tls such as user guides and any dial-in r access restrictins. Participants wh are attending yur cnference can als lg int the cnference prtal using yur cnference access number and access passcde t view glbal dial-in numbers by clicking n GOS. My Accunt My Accunt allws yu t view yur Ready-Access infrmatin and mdify yur accunt settings. Yu may als be able t add a Ready-Access accunt, an accunt cnfirmatin r edit yur Ready-Access accunt ptins, depending n yur cmpany settings. View Ready-Access Accunt Infrmatin If yu have a Ready-Access accunt assigned t yu, yu will see the accunt infrmatin listed when yu click n My Accunt. This will include yur Access Phne Number, Access Cde, Chairpersn Passcde and the number f Maximum Cnnectins assigned t yur accunt. Yu can edit yur subscriptin by clicking Edit Accunt. Yu may als see an ptin t send an Cnfirmatin that will include yur Ready-Access accunt infrmatin. Fr mre infrmatin see the Send Accunt Cnfirmatin sectin in this user guide. If yu d nt see Ready-Access accunt infrmatin listed, yu d nt have an accunt assigned t yu. T get a Ready-Access accunt, cntact yur cnference administratr. Yu may als have the ptin t setup the accunt yurself. If s, select t add a Ready-Access Accunt. This ptin will nly appear if it has been enabled by yur cnferencing administratr. Add a Ready-Access Accunt nce yu re an established as a user, yu may be able t add a Ready-Access accunt by clicking n the Add a Ready-Access Accunt link. This must be enabled by yur cnference administratr. Step 1: Accunt Setup User details will be displayed and are nt editable frm this screen. If yu wish t edit the user details, visit the My User Prfile sectin f this user guide. An Access Number will be displayed. If there is mre than ne access number available, yu can select the apprpriate number frm the drp dwn menu. The Access Cde will be displayed. If nt, yu can enter yur wn access cde r click t generate a randm Access Cde. 9

10 Enter a 4 9 digit Chairpersn Passcde. The Chairpersn Passcde shuld nt cntain sequential digits (1234), cnsecutive digits (1111), r passcdes matching the last 5-20 digits f the Access Cde. These passcdes are cnsidered high risk fr fraudulent attacks and will be restricted by the Ready- Access bridge. The user will be prmpted t change it when dialing int their cnference. Next yu have tw ptins t prceed: 1. Click Next t prceed t Step 1a: Accunt Optins. This allws yu t view all accunt ptins and edit them, r 2. Click Create Accunt using Default Optins t create the Ready-Access accunt with yur cmpany s default settings. Yu will skip ver Step 1a: Accunt ptins and prceed t Step 1b: Web Cnferencing and Recrding Optins. Yu can always g back t Step 1a if yu need t make mdificatins t the accunt ptins. Step 1a: Accunt Optins Several accunt ptins are listed. Pre-selected items are the default values that are cnfigured as part f yur cmpany prfile. T read a descriptin f the feature, click n the blue questin mark. Select/Unselect the feature t turn it ff/n r select a value frm a drp dwn menu. If the feature is listed but yu are unable t select it, the feature is nt enabled fr yur cmpany. Cntact yur cnferencing administratr fr mre details. Click Next t prceed t Step 1b: Web Cnferencing and Recrding Optins. Step 1b: Web Cnferencing and Recrding Optins A list f web cnferencing and recrding ptins are listed. Any pre-selected items are the default values which are cnfigured as part f yur cmpany prfile. T read a descriptin f a feature, click n the blue questin mark. Select/Unselect the feature t turn it ff/n r select a value frm a drp dwn menu. If yur cmpany has chsen t disable a feature, it s pssible yu may nt see it listed, r the feature might be listed but yu are unable t select it. Cntact yur cnferencing administratr fr mre details. Click Next t g t Step 2: Cnfirm Accunt Details. Step 2: Cnfirm Accunt Details Review yur accunt selectins. Yu may edit any sectin again by clicking Edit. Click Submit at the bttm f the page when yu have finished. Step 3: Cnfirmatin f Accunt Creatin Yu will receive a cngratulatins message cnfirming yur new accunt has been created. Yu can start using yur accunt immediately. Yu have three ptins frm this screen (if enabled fr yur cmpany): 1. Accunt Cnfirmatin Send an electrnic Ready-Access cnfirmatin that includes everything yu need t start using the accunt. 2. Create anther Ready-Access accunt. 3. Edit this accunt. 10

11 Ready-Access Accunt Cnfirmatin The Accunt Cnfirmatin ptin appears when yu are viewing Ready-Access accunt infrmatin, r when yu have edited the accunt and are at the cnfirmatin page. When selected, yu can send a cnfirmatin t the user r t anyne else by entering their address. Yu can als view a preview f the that will be sent ut. Click Send t send the cnfirmatin. Edit Ready-Access Accunt Infrmatin Yu can mdify yur Ready-Access accunt ptins by selecting Edit Accunt when Ready-Access accunt details are listed. The fllwing sectin will be displayed. Accunt Details these are the user details f the accunt. These details can be edited by accessing My User Prfile. Please see the My User Prfile sectin in this user guide fr mre infrmatin. Accunt Setup this is the Ready-Access accunt infrmatin. Accunt Optins these are Ready-Access accunt ptins that can be turned n/ff fr the accunt. Web Cnferencing and Recrding Optins these are the web cnferencing and recrding ptins that are available fr the accunt. Click n the Edit buttn in the sectin yu wish t edit. When yu have cmpleted yur edits, click n the Next buttn t cnfirm yur edits and update the accunt. 11

12 Administratin As an administratr, yu have the ability t manage users and Ready-Access accunts acrss yur cmpany thrugh the cnferencing prtal. In additin, if yu are a reseller yu can manage multiple cmpanies cnveniently thrugh the cnferencing prtal. Administrative rights must be prvisined by Level 3 Cmmunicatins, LLC. There is n ability t prvisin administrative rights thrugh the cnferencing prtal even if yu are an administratr. Cntact yur cnferencing administratr r sales/accunt team fr assistance. This sectin will explain first hw t manage users and Ready-Access accunts, and then cver hw t manage cmpanies. Managing Users and Accunts T manage a user accunt, the user must be created befre a Ready-Access accunt can be prvisined. Managing Users Yu can search fr users, view r edit user details r add new users. Yu are nt able t delete users thrugh the cnferencing prtal. If yu wish t d s, please cntact yur sales/accunt team. Search Users By clicking n Users and Accunts yu have the ability t search fr users r add new nes. It is highly recmmended that yu search fr a user befre adding them t prevent duplicate users. 12

13 Yu can use the fllwing criteria t search fr a user: Access Cde: This is the access cde fr the user s Ready-Access accunt. Yu must enter the entire access cde t find a match; n partial matches are detected. SP Unique ID: This is a custmer-defined field and can be custmized with a label yur rganizatin has chsen. If yur cmpany has elected t use this field, yu may be able t search using these details. Last Name: Yu can search by the first few letters f the last name r enter any part f the user s last name t search fr a match. Yu must enter at least tw characters fr the search. By clicking n Advanced Search Optins, yu can search by: Billing Accunt Name: Yu can chse t search by the first few letters f the billing accunt name r enter any part f the billing accunt name t search fr a match. Yu must enter at least tw characters fr the search. Billing Accunt Number: Yu must enter the entire billing accunt number t find a match; n partials are detected. The billing accunt number is lcated n yur invice in the upper right hand crner under Invice. All users wh match yur search criteria will be displayed. If there are mre than 25 matches, yu can see additinal matches by selecting the Next 25 link at the bttm f the screen. Yu can srt by any f the clumn headers (Full Name, Phne, , etc) by simply clicking n that clumn header. Yu can search fr users, view r edit user details r add new users. Yu are nt able t delete users thrugh the cnferencing prtal. If yu wish t d s, please cntact yur sales/accunt team. View User Details Once yu have fund the user, click n their name t view their details. Any Ready-Access accunts setup fr this user will be displayed here. If yur cmpany has it enabled, there will be an ptin t add a Ready-Access accunt fr the user. Yu can search fr users, view r edit user details r add new users. Yu are nt able t delete users thrugh the cnferencing prtal. If yu wish t d s, please cntact yur sales/accunt team. Edit User Details All fields can be edited with the exceptin f the user s name, billing accunt, and sub accunt if they apply. T make a name change, please cntact yur sales/accunt team r Custmer Care. When entering the address and ther fields, use nly letters and numbers. The system des nt accept special characters including perids, dashes, and cmmas. Username and Passwrd must be in a specific frmat. Please see the Hw t Setup Yur Username and Passwrd sectin f this user guide fr mre infrmatin. Changing the addresses will nt impact the username. Click Save when yur edits are cmplete. 13

14 Add a User By clicking n User and Accunts yu have the ability t search fr users r add new nes. It is highly recmmended that yu search fr a user befre adding them t prevent duplicate users. Please see the Search Users sectin f this user guide fr additinal details. Click n the Add a New User link. If yu have subaccunts, yu will be prmpted t select a subaccunt r create a new ne. A drp dwn list is prvided if there is mre than ne. Yu can als create a subaccunt by entering the number. If subaccunts are nt required, yu may see these ptins but can skip them. 14

15 Next enter the rest f the user s infrmatin. Required fields will be nted with a star *. Click n Create User when yu are finished. A cnfirmatin page will appear after yu have successfully created a user. Frm this page, if enabled fr yur cmpany, yu can: Select Edit user t make changes t the newly created user infrmatin. Select Create new Ready-Access accunt fr this user t set up the Ready-Access accunt r Create anther user. 15

16 Managing Accunts Yu can search fr user s Ready-Access accunts, view and edit accunt details, add r delete accunts and send cnfirmatins. Search Accunts & View Accunt Details Yu can search fr a user s Ready-Access accunt by clicking n Users and Accunts under Administratin. Enter the 7-digit Access Cde in the Access Cde sectin. Yu can als search fr the user. Their Ready-Access accunt(s) will be listed with their user infrmatin. If there is an accunt that matches the access cde, it will be displayed. Click n the user s name t view their accunt details. Edit Accunt Details T learn hw t edit a Ready-Access accunt, visit the Edit Ready-Access Accunt Details sectin in this user guide. Add an Accunt T learn hw t add a new accunt visit the Add a Ready-Access Accunt sectin in this user guide. 16

17 Delete a Ready-Access Accunt When yu have a Ready-Access accunt yu want t delete, find the user r accunt using any f the searching ptins frm the main Users and Accunts page. The user s Ready-Access accunt infrmatin will be listed. Identify which subscriptin yu wuld like t delete and select Delete Accunt. The Accunt Details will be displayed. Chse t Delete r Cancel at the bttm f the page. Yu can cnfirm if the accunt has been deleted by either searching fr the access cde r the user. Send Cnfirmatins T learn hw t send cnfirmatins, please see the Accunt Cnfirmatin sectin in this user guide. 17

18 Managing Cmpanies In additin t managing users and accunts fr a cmpany, yu can als manage multiple cmpanies. With these privileges, yu can search cmpanies, view r edit cmpany details and add a new cmpany. Yu d nt have the ability t delete a cmpany thrugh the cnferencing prtal. If yu wish t delete a cmpany, please cntact yur sales/accunt team r custmer care. Search fr a Cmpany T search fr a cmpany, click n Cmpanies under Administratin. All f yur cmpanies will be displayed up t 40 cmpanies. If yu have 41 cmpanies r mre, yu can search fr a cmpany by Accunt Number r Cmpany Name. T search fr a cmpany by name yu must enter at least tw characters (either starting with r cntaining the characters). All cmpanies that match yur search criteria will be displayed. If there are greater than 25 matches, yu can see additinal matches by selecting the Next 25 link at the bttm f the screen. Yu can srt by any f the clumn headers (Cmpany Name, Accunt Number, and Cmpany Cntact) by simply clicking n that clumn header. Yu can als search by Billing Accunt number: the Accunt Number listed n yur invice. The number must be the exact number; the prtal will nt detect any partial numbers. 18

19 View a Cmpany Once yu have fund the cmpany, click n the name t view the details. Frm this screen yu can edit the cmpany details r view and create users and accunts fr the cmpany. Edit a Cmpany Click n Edit when viewing the cmpany details. All fields are editable. Click n Submit nce yu have made yur edits. Yur new cmpany has been created. Add a Cmpany Please nte it s highly recmmended that yu search fr a cmpany befre adding a new ne t prevent creating a duplicate. Click n Cmpanies under Administratin. Click n the Add a new Cmpany link. Enter all infrmatin. When entering the address and ther fields, use nly letters and numbers. The system des nt accept special characters including perids, dashes, and cmmas. Click Submit. Yur new cmpany has been created. Select a cut t see its start and end times. Click n the Und buttn t restre an individual cut. Click n the Revert t Original buttn t restre all cuts and g back t the riginal recrding. Restring cuts may take a few minutes. When yu are dne editing yur recrding, click the Exit buttn t clse the Recrding Editr windw. The Pdcast Feed Settings link is where yu can setup yur archived recrdings t autmatically distribute as pdcasts. Manage Cntacts: Where yu can add and delete cntacts in yur phnebk. Yu can use yur phnebk t dial ut t cntacts. Integrated with Micrsft Outlk; yu can have up t 2,000 cntacts in yur phnebk. 19

Accessing Level 3 Cnnect Slutins helps take yur mbility t a new level. With Level 3 SM Cnnect Desktp, Cnnect Mbile, Cnnect Add-in fr Outlk, and Cnnect Ggle Calendar Gadget, managing yur meetings is made as simple as pssible. Level 3 SM Cnnect Desktp Yu can cntrl yur entire meeting right frm yur desktp with Level 3 SM Cnnect Desktp. Yu can view all yur scheduled meetings with a simplified calendar, and with ne click yu can jin yur meetings with Click-t-Jin. Click here fr mre infrmatin and t dwnlad nw. Level 3 SM Cnnect Mbile Cmpatible with Apple, Andrid and BlackBerry devices, this applicatin displays a simplified view f all yur calendars with all yur current and upcming meetings that include valid Ready-Access audi cnferencing credentials n yur mbile device.
