2 ACCOUNT ACTIVATION AND DATA MIGRATION ASSISTED CLOUD MIGRATION Fr mre cmplex migratin prjects, ur Prfessinal Services persnnel migrate yur rganizatin s mailbx data (including , calendars, and cntacts) securely and affrdably t yur new Hsted Exchange accunt using an advanced Clud Migratin slutin. The majr activities custmers will have t cmplete include: Crdinating DNS recrds change Establishing new mailbx accunts and Outlk prfiles fr each user Custmers will need the fllwing t cmplete the migratin: Name f Dmain Registratin (DNS) prvider and accunt infrmatin Access t legacy Mailbx accunt, including access fr checking mail via a Web interface Credentials t access Cntrl Panel (created when signing up fr service) Name and addresses fr all users Administrative rights t all migrating mailbx accunts Refer t the Hsted Exchange and Assciated Services Quick Start Guide fr detailed instructins Fllwing are the wide range f platfrms the slutin can migrate users and data frm: Micrsft Exchange in- huse r hsted slutin Nvell GrupWise Ggle Apps/Gmail VMware Zimbra IMB Ltus Ntes Webmail/IMAP r POP system Fllwing ur tested best practices, we recmmend the accunt activatin and data migratin be cmpleted ver a tw- week perid. We use the first week fr planning, establishing user accunts and mailbxes, cnfiguratin, and testing. We generally cnduct the actual migratin during the secnd week. The prcess timeline varies depending n the number f mailbxes t be created, the vlume f data t be migrated, and the netwrk speed.

3 ASSISTED CLOUD MIGRATION PROCESS Assisted Clud Migratin fllws a three- phase prcess that includes the fllwing steps with the Custmer s respnsibilities highlighted. WELCOME AND PLANNING 1. Welcme 2. Once yur accunt has been established, yu will receive bth a welcme which includes set up and cnfiguratin instructins, and a URL t the administrative Cntrl Panel, within which user accunts are created and managed. 3. Planning call with Implementatin Team 4. A member f ur team will cntact yu t discuss the migratin prcess, utline the respnsibilities f each party, develp and apprve the plan, and establish timelines t set expectatins. SET UP AND CONFIGURATION 1. Prvider Create user accunts and set up Mailbxes (Optinal Active Directry Synchrnizatin) Once yu have prvided an Imprt spreadsheet listing users and addresses, we will imprt the list t create user accunts and mailbxes adding additinal services. Optinal Active Directry Synchrnizatin Alternatively, if yu have subscribed t the AD Sync feature, we will crdinate a remte sessin with yu t implement a utility that prvides a ne- way sync frm yur Active Directry t ur hsted envirnment s Active Directry. The utility can als aut assign mailbxes and services fr yur users. 2. Custmer Create new Outlk Prfiles Create new Outlk Prfiles assciated t the newly established Hsted Exchange mailbxes fr all users being migrated. D nt delete r remve users legacy Prfiles. We recmmend users upgrade t Outlk 2010 fr best results. 3. Prvider Create Mailbx Frwards We will create a Frwards rule that directs a cpy f all new s int the newly established Exchange mailbx while maintaining mail flw int the legacy system. 4. Prvider Clud Migratin Cnfiguratin We will cnfigure and test a secure cnnectr between the legacy system and the new mailbxes fr data migratin.

4 MIGRATION 1. Prvider Bulk Migratin Once the mailbx accunts and cnnectr are established, we will begin t migrate mailbx data int the new accunts. 2. Custmer Change DNS Recrds Prir t migratin*, cntact yur DNS prvider t have yur DNS Recrds (MX, CNAME, and TXT) pinted t the Hsted Exchange server recrds the specific server recrds will be included in yur welcme letter. At this pint, we will remve the Frwards rules. *It may take up t 72 hurs fr DNS prpagatin. 3. Prvider Mailbx Cut Over Once the DNS changes have prpagated and begins t flw int the new Exchange accunts, users will nw switch t their new Hsted Exchange mailbxes. 4. Prvider Delta Migratin We will cnduct a final migratin sweep t imprt any remaining data t the new Exchange platfrm. PROCESS DETAIL Create an Outlk Prfile fr New Mailbx Step 1: Select Start then Cntrl Panel. Step 2: Select Mail. Step 3: Select Shw Prfiles. Step 4: Select Add. Type in yur new prfile name. Select OK. Select OK again. Step 5: On the Aut Accunt Setup screen enter yur name, address, and yur passwrd tw times. Then select Next. Step 6: Outlk will nw create yur prfile. Yu may be prmpted t re- enter yur passwrd. When yur accunt is set up yu will receive the Cngratulatins screen. Select Finish. Step 7: Yu will be brught back t the Mail screen. Yu can chse t have Outlk prmpt yu fr a prfile t use r set yur new prfile t Always be used when starting Outlk. Step 8: Select OK. Exprt Legacy Mailbx t a PST Outlk 2010 Step 1: Open Outlk Step 2: Select File. Step 3: Select Open. Step 4: Select Imprt. Step 5: Select Exprt t a file and then Next. Step 6: Select Outlk Data File (.pst) and then select Next. Step 7: Select the mailbx (tp line) and then select Next. Step 8: Brwse t the lcatin yu wuld like t save the file, and then click Finish.

5 Exprt Legacy Mailbx t a PST Outlk 2007 Step 1: Open Outlk Step 2: Click File. Step 3: Click Imprt and Exprt. Step 4: Select Exprt t File and then click Next. Step 5: Select Persnal Flder File (.pst) and then click Next. Step 6: Select the flder yu want t exprt (tp level mailbx), and then click Next. Step 7: Click Brwse. Step 8: Brwse t the lcatin yu wuld like t save the file, and then click OK. Step 9: Click Finish. Imprt PST t New Mailbx Outlk 2010 Step 1: Open Outlk Step 2: Select File. Step 3: Select Open. Step 4: Select Imprt. Step 5: Select Imprt frm anther prgram r file and then click Next. Step 6: Select Outlk Data File (.pst) and then click Next. Step 7: Brwse t the file that yu want t imprt, and then click Open. Step 8: Click Next. Step 9: Include Subflders shuld be checked. The radi buttn Imprt items int the same flder in: shuld als be selected. Click Finish. Imprt PST t New Mailbx Outlk 2007 Step 1: Open Outlk Step 2: Click File. Step 3: Click Imprt and Exprt. Step 4: Select Imprt frm anther prgram r file, and then click next. Step 5: Select Persnal Flder File (.pst) and then click Next. Step 6: Click Brwse. Step 7: Brwse t the file that yu want t imprt, and then click Open. Step 8: Make sure that the Replace duplicates with items imprted radi buttn is NOT selected t avid accidently verriding data and then Click Next. Step 9: Click Finish.
