1 HR Management Infrmatin (HRS) Fact Sheet N 10. Managing Access t Claims Online T give access t ther departmental staff yu must be a Site Leader ie a Principal r Preschl Directr. If yu are nt a site leader yu will need t cntact them t give yu the apprpriate access. T give access t the claims nline mdule - G t the web address: Yu can add this address t yur brwser Favurites r create a shrtcut fr future ease f access. Enter yur username (yur 7 digit Emplyee ID fund n yur payslip) Enter yur passwrd, then click Lg On The Applicatin Prtal will then display. Click n the Menu Buttn, scrll dwn t Security, then Click Maintain Applicatin Access. Page 1 f 9

2 The Applicatin User Search Screen will pen. Fr the persn yu want t give access t, enter their emplyee ID number and click Search. If yu d nt knw their emplyee ID then yu can search using their first name and last name. This will then display the details fr the staff member. Nte if yu search using any ther criteria than the emplyee ID number yu will mst likely see multiple recrds. Yu will need t ensure yu have selected the crrect persn. Click n the apprpriate staff recrd. The Add/Mdify User Applicatin Privileges Screen will display. Page 2 f 9

3 The Applicatin Field (tp right hand crner) shuld default t HR Management Infrmatin. If it desn t select it frm the drp dwn list. Check that the Active field shws Yes Able t lgn t this applicatin. If nt select it frm the drp dwn list. In the bttm half f the screen there are a number f Applicatin Rles that yu can chse frm. Fr access t the Claims Online mdule the relevant Applicatin Rles are as fllws Site Assistant this gives the user access t all the mdules within HR Management Infrmatin (currently Bna Fides, MLR, Prfessinal Prfile, Prfessinal Develpment, HR Management Reprting, Maintain Certificates and Licences, and Claims Online). This rle gives the user access t perfrm mst functins in these mdules; hwever fr sme mdules it des nt give full access. Fr example in Bna Fides this rle des nt give access t certify bna fide certificates and in Claims Online it des nt give access t apprve claims. This rle is generally given t ancillary staff ie SSOs and can be given t mre than 1 persn at the schl. Site Manager this gives the user access t all the mdules within HR Management Infrmatin (currently Bna Fides, MLR, Prfessinal Prfile, Prfessinal Develpment, HR Management Reprting, Maintain Certificates and Licences, and Claims Online). This rle gives the user access t perfrm all the functins cntained within each mdule excluding system administratr functins. This rle is Page 3 f 9

4 nly t be given t the Site Leader (ie Principal r Preschl Directr). There may be an ccasin when it needs t be given t a persn in anther psitin. Fr example if the current Site Leader is n leave and smene is acting in their place r if a new Site Leader has been appinted t the site. Claims User this gives the user access t ONLY the Claims Online mdule within HR Management Infrmatin. It des nt allw the user t apprve claims as this can nly be dne by the Site Manager r Claims Apprver/Practicum Apprver rle. This rle des nt give the user access t any ther mdule like Bna Fides r MLR etc. This rle wuld nrmally be given t users wh are nly entering nline claims at the site. It can be given t mre than 1 persn at the site. Claims Apprver this gives the user access t the Claims Online mdule within HR Management Infrmatin. This rle gives the user access t perfrm all the functins (including apprving all types f nline claims) cntained within the mdule excluding system administratr functins. This rle wuld nrmally be given t a user wh has been delegated t perfrm the apprval f all types f claims fr the site by the site leader. Practicum Apprver this gives the user access t the Claims Online mdule (nly fr Practicum Claims) within HR Management Infrmatin. This rle gives the user access t perfrm all the functins (including apprving practicum claims) cntained within the mdule excluding system administratr functins. This rle wuld nrmally be given t a user wh has been delegated t perfrm the apprval f practicum claims fr the site by the site leader. Absence User this gives the user access t ONLY the absence screens within the HR Management Infrmatin system. It des nt give access t any nline claim screens and des nt give access t any ther mdule like Bna Fides r MLR etc. This rle wuld nrmally be given t users wh are nly recrding staff absences at the site. It can be given t mre than 1 persn at the site. Once yu have determined which rle is apprpriate fr the persn, click n the Applicatin Rle t select it. A blue ribbn shuld appear indicating yu have selected the Applicatin Rle recrd. Click Save. Page 4 f 9

5 Yu shuld then see the wrd Edit appear under the Edit Rle Permissins clumn. Click n the Edit link. The User Data Permissins Windw will then pen. Chse Site frm the Permissin Type drp dwn bx. In the Permissin Value field click n the Ellipsis buttn n the right hand side. The Sites Search Windw will then pen. Page 5 f 9

6 Enter the number f yur site in the ID field. If yu dn t knw the number, enter yur schl r preschl name in the Desc field. Click Find. Select yur site frm the grid by clicking n it. The site will nw be added t the Permissin Value field. Click Save. The site will nw appear in the User Data Permissins grid. If yu need t add anther site fr this persn, stay n this screen and click the Ellipsis buttn fr the Permissins Value field. Repeat the prcess fr the next site number. Once yu have added all relevant site permissins fr this user click Clse. The User Data Permissins windw will clse and yu will return t the Add/Mdify User Applicatin Privileges Screen. If yu have granted permissins fr the persn crrectly yu shuld nw see the site number r numbers that yu have granted access fr. Page 6 f 9

7 If permissins have nt been assigned t applicatin rles crrectly, then the user will nt be able t lg n. They will see the fllwing message and the applicatin rle that has nt been cnfigured prperly will display n the message. T remve a site permissin Yu may need t remve a site frm a persn s access because the persn is n lnger respnsible fr ding nline claims fr that site. T d this - Frm the Applicatin User Search screen find the persn yu wish t remve the site access fr. Click n the persn s recrd. Frm the Add/Mdify User Applicatin Privileges Screen click n the edit link fr the Applicatin Rle yu wish t mdify. Page 7 f 9

8 When the User Data Permissins Screen pens click n the recrd fr the site number yu wish t delete. This will put the details f the selected recrd in the bttm half f the screen. Click Delete. Click Clse t return t the Add/Mdify User Applicatin Privileges Screen. If the site number yu deleted was the nly access the persn had then yu shuld see the Applicatin Rle highlighted in blue but with n site number under the Permissins field. Nte in this case the persn will nt have access t any sites fr this particular Applicatin Rle. If the persn previusly had multiple permissins and yu have nw deleted all the ther permissins yu shuld see this change frm Multiple Permissins t a single site number. T remve an Applicatin Rle Yu may need t remve a persn s access t Claims Online because the persn is n lnger respnsible fr ding claims fr the site. T d this - Frm the Applicatin User Search screen find the persn yu wish t remve the applicatin rle fr. Click n the persns recrd. Frm the Add/Mdify User Applicatin Privileges Screen remve all the site/s access fr the Applicatin Rle yu wish t delete. Refer t instructins n previus pages. Page 8 f 9

9 Ensure the Applicatin Rle has n permissins and then click anywhere n the rw t deselect the blue highlight and then click Save. If the persn has left the site r n lnger needs t have access t any f the mdules within HR Management Infrmatin system then - Frm the Add/Mdify User Applicatin Privileges Screen change the Active field t N Nt able t lgn t this applicatin.
