First f all, yu have t cnsider what d yu want t achieve and whm d yu want t reach. It shuld be a tpic that is relevant t AEGEE members and preferably t current scietal issues. Example: Organising a NWM in cperatin with EnWG abut the imprtance f Sustainability. The bjectives f ur event are:
3 - T encurage the debate regarding the situatin f yung peple and emplyment nwadays and raise awareness f the participants n the current slutins prpsed n plitical level - T prvide participants with useful tips fr writing a gd CV and preparing a jb interview. 3. What kind f ACTIVITIES are yu planning t rganise t achieve yur bjectives reflected in the CONTENT? * - Fr all types f events. Specific activities fr each bjective can bring the best result. Grup wrks, wrkshps and interactive sessins are always a gd way t engage yur audience and enhance the learning experience. In rder t reach ur bjectives, we will rganise the fllwing activities: - Debate with pliticians, researchers and yung peple - wrkshp abut the situatin f emplyment in the EU - Writting CV wrkshps 4. What kind f METHODOLOGY are yu planning t use during the event and why? * Fr all types f events except type 1 Use Nn Frmal Educatin methds t reach yur aim and t enable yur participants t learn by different means; think abut sme games, grup wrk, brainstrming sessins. Engage participants t share their ideas, t cnfrnt pint f views and listen t their feedback! Different kind f methdlgies will be prpsed t the participants, in rder t address different learning styles. In general, all methdlgies will be interractive. Presentatin Brainstrm Grup wrk Case studies 5. Hw will yu make sure the necessary RESOURCES are prvided and available during the event? * - Fr all types f events. By these, we mean bth material and human resurces. Create checklists, set and keep deadlines fr arranging lgistics and fd etc., and create a schedule fr rganisers and helpers t make sure respnsibilities during the event are clear. Example: Smene specifically respnsible fr arranging and taking care f all the technical tls fr presentatins during the NWM.
4 The necessary resurces (flip-charts, pens, prjectr, cmputer etc) will be available at the venue during the NWM, and a persn (name) frm the rganizatinal team will be respnsible fr the technical equipment bth in the preparatin and during the event. 6. Be SUSTAINABLE! In what way are yu ging t ensure yur event will be Green? * - Fr all types f events Yu can reduce the csts f the event if yu cnsider: what are the things yu can brrw? D yu still have sme materials left frm yur previus event? Hw can yur participants get t the event by green travelling? Are yu ging t separate yur garbage during the event? Well, yu shuld! ;) The rganizers will prepare a dcument suggesting cheaper, mre sustainable ways t get t the place f the event, which will be sent t the participants when infrmed abut the selectin. Mrever, during the event, we will implement ur be sustainable plan: separate the garbage, 1 shwer a day maximum, using the same cup during the whle event QUALITY INDICATORS - Part II. Hld n! Only a few mre questins left! 7. Trainers/Facilitatrs/Cntent-respnsibles need t have the necessary COMPETENCES! Hw are yu ging t select them? * Fr all types f events except type 1 Make sure that they d by chsing peple wh have prved experience r skills n the tpic, by having a selectin prcess fr the persn respnsible fr the cntent, r by cperating with a thematic bdy which can prvide yu with reliable persns. Example: cnsult with the AEGEE Academy abut the selectin the the trainer and check his/her previus trainings/wrkshps! Fr this cnference n Yuth UnEmplyment, we will be in cntact witht the prject Yuth UnEmplyment. One member f their team will be in charge f the cntent and will attend the cnference as expert. We believe that, being bard member f the YuE prject, the trainer will have enugh cmpetences and knwledge n the matter. Mreever, we will als cntact lcal yuth rganisatin wrking in this issue and we will invite them ti hld wrkshps.
5 8. Trainers/Facilitatrs/Organisers need t be PREPARED! Hw are yu ging t ensure everything is prepared n time?* Fr all types f events except type 1 While having the right skills and experience is ne thing, every event needs its wn preparatin phase. The cntent respnsible f yur event shuld be in cnstant cntact with the trainers t have everything ready n time (presentatin material, rm fr WS, technical needs etc.) The main respnsible frm ur lcal will be in tuch with the cntent team and will cmmunicate: - the lgistical situatin - will make sure tha gather the material needed by the trainer at least ne week in advance - we will make sure that the cntent f the event is prepared at least ne week in advancem and that the cntent respnsible have enugh meeting taking place t prepare quality cntent. 9. Hw are yu ging t manage the effective COMMUNICATION befre and during the event? * - Fr all types f events Clarify the means f cmmunicatin t keep everyne updated and infrmed abut the rganisatin. List everyne wh is invlved and decide n the language everyne is OK with. Mailing list, Skype meetings, live meetings and an nline dcument n the prgress wuld be f gd use t everyne! Dn't let miscmmunicatin and frustratin ruin yur event! There will be a persn (name) respnsible fr managing cmmunicatin, creating the necessary nline dcuments, setting the time fr the meetings etc. Mailing list will be the main surce f infrmatin. We will have Skype meetings with the trainers every tw week. The minutes f the meeting will be available in the nline dc t update thse wh were nt able t attend. 10. Are yur LEARNERS aware f their learning experience? * Fr all types f events except type 1 If yur event is cntent-fcused and/r a training event, yu have t keep in mind yur participants' needs and their expectatins. Is the methdlgy wrking? Are the participants satisfied with the learning experience? Can yu be flexible and adapt t changes if the participants have requests?
6 In the begining f the event the participants will be invited t set learning expectatins fr the event. They will have an pprtunity t reflect n them and their prgress during the event, which will be taken int cnsideratin by the trainers/cntent-respnsibles and the prgramme will be pssibly adjusted. At the end f the event, we will prvide participants with an evaluatin frm which will enable them t reflect n their learning. 11. EVALUATION - yur event is ver, but what are the results and hw are yu ging t evaluate them? * - Fr all types f events Evaluatin is imprtant because: this is the time t thank everyne wh has wrked n the event, time t learn frm the mistakes and imprve by the next event, and time t evaluate if yur event has reached its bjectives. Evaluatin frm will be created fr participants t fill in in the end the event. Ii will be analysed during the final meeting f the rganizatinal team. Difficulties and bstacles that arse during the event will be dicussed and evaluated. The Quality Assurance Evaluatin frm will be filled in accrdingly. Mreever, we will als have an evaluatin meeting with the YuE prject team, in rder t assess whether the bjectives we have set have been reached. Quality Assurance Evaluatin After yur event is ver, yu will be cntacted t send the Evaluatin Frm f yur event. Please then, attach 3-4 pictures f yur event (discussins, study grups etc.) s yur event can gain enugh visibility within the Netwrk! Yu will have 1 week after yur event t fill in the frm and send us yur pictures. Thank yu in advance and gd luck with yur event!
