1 NWOCA Cnference 2012 PwerSchl Quick Exprt & Excel Sandy Huck Hw t Use Quick Exprt Basic Exprt f Student Data: 1. On the start page, search fr and select a grup f students. The Student Selectin page appears. 2. Chse Quick Exprt frm the Select a functin fr this grup f student pp-up menu. In mst cases, yu will nt need t change the default ptins n the Exprt Students page, in which case yu can skip the next step. T change the selectins, prceed t the next step. Nte: Alternatively, if yu have a current selectin fr students, yu can access this page by chsing Special Functins > Grup Functins. 3. Use the fllwing table t enter infrmatin in fields: Field Exprt the [#] selected students Descriptin Enter the fields t be included n the exprted spreadsheet. Enter as many fields as needed. Only enter ne field per line. Separate multiple fields with a hard return. If yu need help remembering field names, click Fields at the bttm f the page. Field Delimiter A field delimiter separates fields (r "clumns") in the exprted data. Use the pp-up menu t chse hw yu want the system t separate each field in the exprt file: Tab Cmma Nne Other: Enter the delimiter in the blank field. Recrd Delimiter A recrd delimiter separates recrds (r "rws") in the exprted data. Use the pp-up menu t chse hw yu want the system t separate each recrd in the exprt file: CR: Carriage return CRLF: Carriage return and line feed LF: Line feed Other: Enter the delimiter in the blank field. 2 Surrund Fields Clumn titles n 1st rw Exprt DCID Select the checkbx t surrund the fields in the exprted data with qutatin marks. Select the checkbx t include clumn titles n the first rw f the exprted data. Select the checkbx t exprt the Student table's unique identifier. 4. Click Submit. The exprted data appears. 5. Chse File > Save As t save the file. Open the saved file using a spreadsheet applicatin, such as Excel r Ltus Frmat, print, and save it as any ther spreadsheet dcument. Default extensin f quick exprts ID: 7890 NOTE: The default extensin fr a quick exprt file is.text. PwerSchl des nt prvide the ptin t change the default extensin f a quick exprt file. If the brwser has nt assciated.text files with any applicatins, the user will be prmpted t save the file r pen the file in an applicatin. When chsing t save the quick exprt file t the client cmputer, the file can be renamed and the extensin can be changed. Page 2 f 12

3 Quick Exprt - Birthdays Birthday List Example 1: Select Student/s Select Quick Exprt frm the Select a functin fr this grup f students drp dwn menu. Click Submit Save the file as a.txt file. Open in Excel. Save and pen in excel using Tab and Other - / as the delimiters. After yu have the data in Excel frmat, yu can manipulate the data as needed. Yu may need t add clumn header names. 4 In Excel Ajusting Clumns and Rws Individual rw r clumn: Place yur cursr n the line between tw rws r clumns. Ntice the cursr changes in appearance. Hld dwn the left muse buttn and drag the clumn r rw t the desired size. r Simply Duble Click n the line. Entire spreadsheet: Click in the upper left crner bx. Duble Click any line between 2 clumns. Using Data Srt Click the upper left crner bx t highlight the entire spreadsheet. Click the Data tab n the tp ribbn. Click the Srt buttn in the Data tab ribbn. In the Srt bx that cmes up, click the Add Level buttn twice. Chse t d the srt by Grade Level, Mnth and Day. Click OK Page 4 f 12

5 Birthday List Example 2: Use a Data Access Tag in the Quick Exprt. ^(db;datefrmat=mm/dd) Or ^(db;datefrmat=mm) ^(db;datefrmat=dd) ^(db;datefrmat=yyyy) Data Access Tags Additinal Dcuments (DATs) PwerSchl Data Access Tags, r DATs are used t include infrmatin in utputs such as frm letters, reprt cards, and the HTML f custm screens. 6 Quick Exprt Student s Age & Gender Select Student/s Select Quick Exprt frm the Select a functin fr this grup f students drp dwn menu. Data Access Tags t use: Age ^(age) Will display the student s age in mnths and years. ^(age;lng) Will display the student s age in years, mnths and days. 8 In Excel Using the Srt & Filter Functin Use the Srt & Filter Buttn t turn n the Filter Clumns will have arrw bxes pinting dwn. Use these bxes t Srt r Filter data. Srt Highlight the entire spreadsheet t keep data tgether. Click the dwn arrw in the Days Absent clumn and srt Largest t Smallest Filter Highlight the entire spreadsheet t keep data tgether. Click the dwn arrw in the Grade Level clumn t select nly ne grade level. Ntice the arrw buttns lk different n the srted and filtered clumns. Page 8 f 12

9 Quick Exprt Fees Balances Get a list f students with a fee balance. Select Students *fee_balance.balance>0 (The abve search cmmand, will result in a selectin f students with a fee balance.) Select Quick Exprt frm the Select a functin fr this grup f students drp dwn menu. Fee Example 1: Fee Example 2: Expand t a list f student with a fee balance, but, indicatr f senirs: Use the Data Access Tag ^(decde;^(grade_level);12;senir;other) Using the abve DAT/Decde Operatin will cause the Quick Exprt t have anther clumn added with Senir printed fr all students in grade 12, while all ther students will have Other in that clumn.
