2 Overview The PS+ Assurance app gives users a visible check t ensure the prject is cmpliant. There are checks fr issues and risks and als checks fr the plan status. The app is cnfigurable t allw the system Administratrs t custmize the usage, this includes the ptins t be able t set an initial prject filter, the custm field used fr gruping and the baseline number t use. 3 Getting Started Firstly the Site Cllectin Administratr will need t add the Assurance app t the Prject Web App site cllectin, then cnfigure the app. T cnfigure the app, a Prject Web App Administratr will need t access the app nce they have a license assigned. When accessing the app, the Administratr will see the fllwing: Only Prject Web App Administratrs will see, and have access t the Cnfigure buttn. The cnfigure page has cnfiguratin ptins t enable the Administratr t cnfigure the Assurance app t meet the rganizatins requirements. The cnfiguratin f the app is intuitive, but t aid the cnfiguratin, each element has a descriptive title. The settings are detailed belw: Select which prject custm field is t be used t select which prjects t display: This defaults t Nne but allws a Prject level custm field that is based n a lk up table t be set. When this is set t Nne the Assurance reprt prject filter will nly allw up 100 prjects t be selected: When a prject field is set an additinal filter will appear n the Assurance app reprt: In this example a custm field called Prgramme was set. Selecting a Prgramme value r values will filter the prjects. The prjects can then be de-selected / selected Page 3

4 as required. Fr a better user experience, it is recmmended t set a custm field fr this setting. Select which prject custm field is t be used t set the gruping: This defaults t Enterprise Prject Type, but allws a Prject level custm field that is based n a lk up table t be set. Select which baseline t use fr the baseline checks: This defaults t 0, but can be updated t cntrl what baseline number is used fr the baseline checks. Enable chart exprting ptins: This is disabled by default, but can be enabled t allw exprting t PDF, PNG r JPG frmats. If this is disabled, nly the Print ptin will be visible, this wuld allw printing t ther frmats such as PDF r XPS etc. but this depends n the users client machine. Once the Prject Web App Administratr has cnfigured the app, r they have decided t leave the default cnfiguratin ptins and the Administratr has assigned yu a license, yu will be able t fllw the steps belw: The Assurance app can be accessed frm the Prject Center Prjects ribbn: Click the Assurance buttn and yu will be directed t the Assurance app page, yu might be prmpted fr credentials depending n the brwser settings. Once laded the fllwing will appear: Wrth nting, the Cnfigure buttn will nly be visible if yu are the Prject Web App Administratr. Click the Assurance tile and yu will see the reprt filters: Page 4

5 Anther pint wrth nting, yu might either see just the Select the Prjects t display filter, r a different prject level field fr the first filter, depending n what yur Prject Web App Administratr cnfigured. In this example the Administratr has set Prgramme fr the Select which prject custm field is t be used t select which prjects t display setting. Select the values required frm the first filter and then the prjects with thse values will autmatically select in the secnd filter: Prjects can then be de-selected if required: Click the Apply buttn nce the filters are set. The Assurance app will then prcess the selected prjects and perfrm the varius checks. The SharePint wrking n it pp up will be displayed whilst the checks are being perfrmed: Page 5

6 Once cmpleted the Assurance app will display the results as seen belw: The prjects are gruped by Enterprise Prject Type by default, but in this example the Administratr has set the prjects t be gruped by a prject level field called Phase. Each prject has fur Cntrl checks and three Plan Status checks and the results are indicated by a Red square, Green circle r a white hyphen in a grey bx. The checks are detailed belw. Summary This is an verall summary fr the Cntrls and Plan Status checks. It displays the wrst case value. Fr example, if there is a Red square in the Cntrl checks and all Green circles in the Plan Status checks the Summary check will be red. Cntrl checks: Cntrl This is a summary fr the Cntrl checks, it displays the wrst case value. Fr example, if there is ne Red square frm the fur Cntrl checks and three Green circles, the Cntrl summary check will be red. Issues lgged This checks t see if the prject has any issues n the Issue list Red = N Issue items n the assciated Prject Site Issues list Green = Issue items n the assciated Prject Site Issues list Page 6

7 Overdue This checks t see if the prject has any active Issues that are verdue based n the Due Date: Red = An active issue that is verdue Green = N active issues that are verdue Grey with White hyphen = There are n issues n the Issues list. Risks Lgged This checks t see if the prject has any risks n the Risk list Red = N Risk items n the assciated Prject Site Risks list Green = Risk items n the assciated Prject Site Risks list. Overdue This checks t see if the prject has any active Risks that are verdue based n the Due Date: Red = An active risk that is verdue Green = N active risks that are verdue Grey with White hyphen = There are n risks n the Risks list. Wrth nting, active issues / risks are checked using the default (1) Active value frm the Status clumn. Plan Status checks: Plan Status This is a summary fr the Plan Status checks, it displays the wrst case value. S fr example, if there is ne Red square frm the three Plan Status checks and tw Green circles, the Plan Status summary check will be red. Baselined: 0 This checks t see if the prject has a baseline value fr the Assurance app baseline setting. The Assurance app baseline setting in indicated by the number, this this case it is baseline 0. Red = Prject has nt been baselined Green = Prject has been baselined Weekly Update This checks t see if the prject has been saved in the last 7 days, this als requires a publish fr the last saved date t be crrect. Red = Prject has nt been saved / published in the last 7 days Green = Prject has been saved / published in the last 7 days Page 7

8 Overdue This checks t see if the prject has slipped based n the prject baseline finish date. Red = Prject Baseline Finish date is earlier than the Prject Finish date Green = Prject Baseline Finish date is later than the Prject Finish date Grey with White hyphen = There is n baseline set fr the Assurance app baseline setting The Printing buttn allws yu t print the chart, while the dwnlad ptins enable yu t cnvert the chart t PDF, PNG r JPG.
