1 SPONSORSHIP FRAMEWORK (ratified by RCPCH Cuncil April 2015) Fr the purpses f this dcument, spnsrship is defined as incme t the Cllege generated thrugh agreement with a cmmercial entity, nn-prfit making rganisatin, institutin, charitable trust r ther rganisatin, and individuals, where that agreement prvides fr acknwledgement and publicising f such spnsrship thrugh specific Cllege activities and utputs. 1. KEY PRINCIPLES GENERAL The practice f a prfessin must be gverned by its ethical standards. It is ne f the functins f the Ryal Cllege t ffer guidance t its members and fellws as t what these standards shuld be. A guiding ethical principle f the Cllege is its cmmitment t the welfare f children wrldwide. Any relatinship with an external crpratin, institutin, r individual needs t cncur with the missin, visin and values f the RCPCH, and its psitin statements n issues f research, plicy and educatin. All dealings with external parties shuld be undertaken with transparency and prfessinalism It is acknwledged that the Cllege needs, and actively seeks, spnsrship as a methd f funding its wrk r reducing the csts f its services t the benefit f its members. It als recgnises that any ptential cmmercial spnsr and certain nt fr prfit rganisatins will have their wn cmmercial and ther business interests which they seek t develp thrugh their spnsrship SPECIFIC All spnsrship activity will be subject t frmal cntract which will include a binding cde f cnduct All spnsrship activity must fit with the Cllege s public benefit aims In all spnsrship relatinships the RCPCH will retain cntrl f title, educatinal and/r specific cntent f any Cllege activity and the level and frm f advertising r acknwledgement Acceptance f spnsrship r dnatin frm any cmmercial r nt fr prfit rganisatin, statutry institutin, r individual, must never imply, r be represented as implying, an endrsement by the RCPCH f their prducts, services, plicies r beliefs Any use f the Cllege lg in any cntext is in the cntrl f, and subject t authrisatin by, the RCPCH A full declaratin f interests will be expected frm any individuals wh have a relatinship with the Cllege and wh may be invlved r assciated with cmmercial, nt fr prfit, r statutry rganisatins 1 f 5

SPONSOR CATEGORIES There are three brad categries f spnsr r dnr: NO-GO r BLACKLIST Any cmpany that prduces tbacc Any cmpany that manufactures arms Any cmpany that prduces alchlic drinks Any cmpany that engages in explitative labur practices, as defined by the Internatinal Labr Organisatin Any individual whse dnatin has been derived frm illicit dealings r frm dealings which are cnsidered nt t meet the ethical standards f the Cllege Any plitical r vertly plitical campaigning rganisatin ACCEPTABLE CONDITIONAL Any cmpany r rganisatin which has clse ties t the activities and utputs f the Cllege, but is likely t be subject t specific cnditins: Pharmaceutical cmpanies and assciatins Substitute r frmula milk manufacturers Manufacturers/marketers f children s prducts related t health Organisatins cncerned with children s welfare There shuld be an ptin t request that a ptential spnsr cmpletes a declaratin f cmpliance with ethical plicies cncerning the welfare f children; e.g. the UN cnventin n the rights f a child ACCEPTABLE Any cmpany r rganisatin whse aims and bjectives supprt the Cllege s visin and missin and des nt seek t gain business advantage by direct assciatin with the Cllege nr specific influence ver the Cllege s plicies r utputs: Manufacturers/marketers f children s prducts unrelated t health Nt fr prfit rganisatins funding child health imprvement prgrammes Fundatins and private charitable trusts supprting child health imprvement Statutry rganisatins Any rganisatin whse supprt r dnatin is whlly philanthrpic Fundatins, charitable trusts, private trusts whse aims and bjectives d nt cnflict with thse f the Cllege 2 f 5

COLLEGE ACTIVITIES The Cllege s activities can bradly be gruped int tw areas: Meetings Cnferences and Events Internal and external Mstly, but nt exclusively, member led Ptentially utward-facing and drawing n external resurces and persnnel Brad range f tpics and subject matter Smetimes incrprating educatinal/training activities Educatin and training curses, research prjects, reviews Activity which is central t the Cllege s cre functins f assessment, training, CPD and examinatin Research prjects which are part f the Cllege s cre activity Includes invited reviews Almst exclusively internal, member led Subject matter smetimes f interest t certain areas f cmmerce 4. CRITERIA FOR SPONSORSHIP OF COLLEGE ACTIVITIES MEETINGS, CONFERENCES AND EVENTS Any spnsrship credits will be agreed and authrised by the RCPCH All uses f the RCPCH lg, design wrk fr publicatins and accmpanying marketing utput will be authrised by the RCPCH Any spnsrs prducts, display materials, prmtinal items will be cnfined t stands/ exhibitin spaces which will be clearly delineated frm any educatinal/ cre activity The meeting prgramme will cntain standard wrding which clarifies that the Cllege des nt endrse any prduct r service prvided by a spnsr(s) The spnsrs cde f cnduct will nt allw cmpany representatives t practively market their prducts, services r plicies Offers f spnsrship f any hspitality will nt be accepted All advertising specificatins will be agreed and authrised by the RCPCH Spnsrs gifts and prmtinal items will be limited in value in accrdance with recmmendatins frm the Charity Cmmissin Speakers at cnferences, meetings etc. must declare any persnal r prfessinal relatinship with any spnsr invlved EDUCATION AND TRAINING COURSES, RESEARCH PROJECTS, REVIEWS Spnsrship f educatin and training curses is acceptable under the fllwing cnditins: The spnsrship is relevant t the cntent f the curse/activity 3 f 5

4 The spnsr plays n part whatsever in the cntent r cnstructin f the curse/ activity It is passive i.e. there is a static presence nly The spnsr is nt part f the presentatin f the curse/activity The spnsrship is f benefit t the members attending the curse and the Cllege as a whle Other criteria as abve Spnsrship f research prjects by cmmercial rganisatins is subject t the fllwing: The Chair f the apprpriate cmmittee, and where relevant the Vice President f Research shuld authrise all arrangements fr any cmmercially funded research All research undertaken shuld be whlly independent f the spnsr: the methdlgy, results and cnclusins must nt be influenced by the spnsr The purpse f the funding shuld be t prmte genuine scientific research There shuld be a clear acknwledgement f the spnsr s invlvement and a full declaratin f interest as necessary 5. SPONSOR/DONOR EVALUATION Befre a spnsrship relatinship is established and an agreement is signed the Cllege shuld undertake an evaluatin ( due diligence ) f the prspective spnsr s credentials in respect f ethical psitining, trading plicies and ther relevant qualifying characteristics in relatin t the Cllege s visin, missin and values. The Cllege shuld be satisfied that any relatinship with any funding rganisatin shuld ideally enhance the Cllege s standing and in any event shuld nt be t the detriment f the Cllege r be seen t be undermining its values. This is particularly imprtant in respect f multi-natinal cmpanies with cmplex rganisatinal structures where subsidiaries and cnnected cmpanies need t be included in the evaluatin. It is envisaged that this prcess shuld be undertaken in apprpriate cases by a small grup f members and staff n an as needs basis. It is recgnised that sme evaluatins will be very straight frward and will nt require significant evaluatin. 4 f 5

5 7. MANAGEMENT The respnsibility fr spnsrship and the generatin f dnatin incme as a whle rests with the Directr f Business Develpment and the Business Develpment Divisin. The day t day management f spnsrship f an event r activity will rest with the lead manager f that event r activity, r a delegated event manager Ntwithstanding the surce f the riginal spnsrship cntact, all discussins and negtiatins with spnsrs shuld be verseen by the Business Develpment Manager in cnjunctin with the manager f the related activity/event A template spnsrship agreement will be established which will be designed t cater fr the majrity f spnsrship requirements Any variances t this template will need t be specifically agreed by the lead manager f the activity/event and the Directr f Business Develpment Any spnsrship/funding agreement will need authrisatin frm the fllwing: Lead manager f activity/event Business Develpment Manager Directr f Business Develpment In the case f a cntrversial issue, the Directr f Business Develpment will refer authrisatin t the Chief Executive Officer, and as necessary the relevant Officer There will be a regular update reprt submitted t Executive Cmmittee n all spnsrship agreements entered int, including activities and financial impact. 5 f 5
