1 ecurriculum 2.0 Building a Curse Fr Undergraduate r Graduate Curses As f: 1/19/2016 Intrductin This manual explains hw t build r mdify a curse. This is either fr a cmpletely new curse number, r a mdificatin t an existing curse. After a curse number is apprved at all levels in ecurriculum, it is transmitted int the university s Student Infrmatin System, Catalyst. The Catalyst system is then used t create class sectin rders using curse numbers. Each curse built in ecurriculum must be apprved at multiple levels. Each reviewer shuld carefully check infrmatin, make apprpriate edits, and/r send back t previus levels with questins r suggestins. Access QA Envirnment (fr testing/training): Yur username has a different passwrd fr the QA envirnment. Fr this particular exercise, yur access rles shuld include the Curse Submitter rle. Once yu are ready t wrk n real curses and transmit t the Catalyst system, then yu will need access t the actual system. Fr access t ecurriculum:

3 Page 3 Viewing Curses 1. After lgging in, click Curses at the tp f yur screen. 2. Chse any existing curse. Fr example, we might use ENGL1001, under hme cllege f McMicken Cllege f Arts & Sciences. Select the Organizatin (hme cllege) f the curse yu wish t view. 3. Type the subject (i.e. ENGL) in the bx labeled Enter number r subject. If yu recall the full curse number (i.e. ENGL1001) then yu might type that. 4. Find the curse n the list, and click the blue Edit buttn. 5. Yu will nw see a list f tabs n the left side f yur screen. Each tab takes yu t a screen with infrmatin abut the curse. Pick ne f the tabs n the left, such as Descriptin s that yu can see its cntent.

4 Page 4 Create a New Curse Number 6. Nw that yu ve seen an existing curse, let s build a new ne. Click Curses at the tp f yur screen. 7. Instead f searching fr an existing curse, click the green + Add Curse buttn. 8. Select the Organizatin (hme cllege) f this curse. This refers t the primary wner f the curse, and authr f its cntent. Nte: this des nt prevent ther clleges frm teaching the curse. We ll get t select the teaching cllege(s) in just a few mre steps. Fr nw, just pick the mst lgical wner. 9. Select the Subject (i.e. ENGL English, PSYC Psychlgy, BIOL Bilgy, etc.) If yu dn t knw the subject cde, just type in the name r a keywrd t see chices. Ntes: This subject determines the 3 r 4 letters within the curse number itself. The subject als determines wh will review yur curse fr apprval. After yu have finished, smene in the cllege serving as the Prgram Directr fr this subject will receive the curse t review, fllwed by the Unit Head fr this subject, and s n. This is the parent subject. It will be pssible t add mre subjects as crss-listings in just a few mre steps. 10. Carefully cnsider the best 4-digit number fr this curse. This curse number will cmbine with the subject yu have chsen and cnstitute the permanent curse number. See ntes n next page...

5 Page 5 Create a New Curse Number (cntinued) Ntes: 1000-level shuld be used fr first-year curses, 2000-level fr sphmre, and s n. Cnsider whether yur department r cllege might have its wn practice fr curse numbering. Fr example: 5000 might be the level fr capstne curses in this subject. Undergraduate curses with a number f 4000 r higher cannt carry a GenEd BK cde. Effective fr Fall 2016 and beynd, the secnd digit must be either 0 r 1. If yu type a number that is nt permitted, yu will get this errr message with reminder. 11. Lab Cmpnent If this is a stand-alne labratry curse, select Labratry. If this is a cmbined lecture / lab curse, select Cmbined. If this curse des nt have a lab cmpnent, select Nne. Ntes: This selectin will add a letter t the curse number: L fr Labratry, r C fr Cmbined. This selectin is permanent and cannt be mdified withut building a new curse number. If a curse has a separate lecture curse number and labratry curse number, then they shuld share the same subject and 4-digit number, i.e. CHEM1040 & CHEM1040L. 12. Career (credit level) Select the Career level (credit level) fr this curse. This determines the type f credit students will earn by taking this curse. Nte: the career level determines the available curse numbers. Fr example: a selectin f the Graduate Career requires the curse t carry a number f 6000 r greater. 13. Review yur selectins and cnsider any changes. Keep in mind that these selectins cannt be mdified after the curse has been apprved. If yu need t change any f these features, yu will need t build a new curse number. Click Save.

6 Page 6 Clleges & Crss Listings 14. Yu will nw see the list f tabs n the left side f yur screen. Frm here, yu can g frm ne tab t anther and enter cntent abut the curse. After adding a new curse number, the first tab is Clleges & Crss Listings. 15. Teaching Clleges Cnsider each cllege that needs t rder class sectins and teach this curse. Ntes: Yu previusly selected the primary Organizatin hme cllege f this curse. That cllege is usually a teaching cllege, althugh there are sme exceptins. Yur selectins als determine which cllege(s) will receive the curse fr review in the curse apprval prcess. In additin t the hme cllege, any ther teaching cllege(s) will need t apprve the curse. 16. Click the green Save buttn. In general, be sure t click the Save buttn ften, s that yu avid lsing any cntent yu have wrked n. 17. Crss-Listings Cnsider any additinal subject that needs t rder class sectins and teach this curse. Yu already selected a parent subject, i.e. ENGL. If any additinal subject must use this curse fr its wn class sectins, then yu need a Crss Listing. If yu d nt need any ther subject, then skip t step # If yu d need any ther subject(s), then click the blue + Add Crss Listing buttn.

Crss-Listing: Organizatin (teaching cllege) If yu are adding a Crss Listing, then yu must select the Organizatin (teaching cllege) f the crss-listed subject. Cnsider which cllege will be rdering class sectins using the crss-listed number nly. 19. Crss-Listing: Subject Select the Subject fr this Crss Listing. This is the subject that needs t use this curse number fr its wn class sectin rders. 20. Crss-Listing: Curse Number (4 Digits) Carefully cnsider the Crss Listed curse number. If pssible, this shuld be identical t the 4- digit curse number yu selected earlier n step #10. Nte: if the crss-listed subject has already used the 4-digit number fr a different curse, then it will nt be available. In that case, yu might cnsider ging back t step #10 and picking a different number fr the parent curse. Ideally, all crss-listed curses shuld share the same number. 21. Cnsider whether any additinal Crss Listings are needed. If s, click the blue + Add Crss Listing buttn and repeat step #16. Ntes: Each crss-listed Organizatin (cllege) and Subject will need t review and apprve this curse. This can add time t the curse apprval prcess, as mre peple must review. It will never be pssible t mdify the parent curse withut als mdifying the crss-listed curse. Crss-listings can be added t existing apprved curses. If it is nt yet certain that a crsslisting will be needed, then yu might g ahead and apprve the parent curse nw. Be cautius when creating Crss Listings. Click the red Remve buttn fr any unnecessary Crss-Listings befre yu apprve. 22. Click Save.

8 Page 8 Credit Hurs 23. Prceed t the next tab, Credit Hurs. 24. On the Credit Hurs screen, carefully cnsider the number f credit hurs students will earn when they take this curse. If the curse will always be taught fr the same number f credits, i.e. 3, then the curse is fr traditinal fixed credit. Yu nly need t type the number f credit hurs int the Minimum Credit Hurs bx. If students might earn a variable number f credits, i.e. 3 t 4, then the curse is fr Variable credit. Type a number fr the Minimum Credit Hurs, and a greater number fr the Maximum Credit Hurs. 25. Click Save. Nte: Variable credit might mean that each student picks their wn number f credit hurs t earn in this curse. Or, it might mean that sectin 001 is fr 3 credits, and sectin 002 is fr 4 credits. This distinctin is made in when the class sectin is created in Catalyst fr a particular semester. Remember t save ften!

9 Page 9 Credit Hurs (cntinued) 26. Under Hw many times can students take this curse? carefully cnsider whether students can repeat this curse, and earn additinal credit hurs. An example f a repeatable curse might be an academic internship, r a special tpics curse. Nte: Technically all curses culd be retaken, perhaps t use a grade replacement. Repeatable curses in this cntext are thse which earn additinal credit hurs twards the student s degree requirements when the same curse number is cmpleted multiple times. Repeatable curses indicate that a different learning experience has ccurred in the subsequent enrllments, resulting in further prgress twards a degree. 27. If this is a repeatable curse, yu must enter the ttal number f credits permissible t earn using this curse number. This is the ttal number f hurs a student culd apply twards their degree requirement, i.e. within an undergraduate student s 120 ttal credit hurs. 28. If the curse is repeatable, cnsider whether a student shuld be autmatically permitted t take the same curse twice within a single semester. If s, then check the bx t allw simultaneus registratin. Nte: Typically, if a student is enrlled in CRSE and attempts t add CRSE in the same semester, they will receive a message denying their request t add a separate sectin f a duplicate curse. This check bx will prevent that message frm ccurring. 29. Click Save.

10 Page 10 Learning Outcmes 30. Click n the Learning Outcmes tab. Cnsider the learning utcmes fr this curse. Smetimes called gals and/r bjectives, the phrase student learning utcmes in this cntext refers t knwledge, skills, abilities, r attitudes that students shuld have achieved by the end f the curse r a frmal educatinal experience, nes that are bth bservable and measurable. Strng SLOs are clear, measurable/bservable, and specific in terms f what yu want yur student t be able t d r understand fllwing the cmpletin f yur curse r prgram. The emphasis f student learning utcmes is n what students can d with what they have learned, resulting in a prduct that can be evaluated. CET&L prvides materials including sample learning utcmes in numerus disciplines. Visit this webpage fr help: After yu have carefully cnsidered the student learning utcmes fr yur curse, begin adding them ne at a time. Type int the text bx, and then click the blue + Add Learning Outcme buttn. 32. Cntinue typing and arranging yur learning utcmes. Be sure t click the green Save buttn. Ntes: The student learning utcmes will remain visible in ecurriculum t all users at the university. They are critical fr reviewers t cnsider during the curse apprval prcess. Learning utcmes culd be extracted frm ecurriculum and published by a department r ther ffice at the university. Curse syllabi typically include the learning utcmes. The learning utcmes in ecurriculum shuld be accurate, clear, and strng. 33. Click Save. Remember t save ften!

11 Page 11 Descriptin 34. Title Click n the Descriptin tab. Nw that yu have articulated the learning utcmes f the curse, describe its academic cntent. Type the full curse title. 35. Abbreviated Curse Title The academic transcript will display a shrter iteratin f this curse title in all caps. Cnsidering the full title abve, select a lgical shrt versin. Fr example, the wrd Intrductin is typically shrtened t INTRO. The Abbreviated Curse Title is limited t a ttal f 30 characters, including spaces. Nte: this abbreviated title is permanent. It cannt be mdified fr this curse number. If the nature f the curse changes in the future and the abbreviated title must change, then a new curse number will be created. 36. Allw Alternate Title Cnsider whether the curse title shuld change frm ne semester t the next. Fr example, a curse might have the title Internatinal Business Internship. Each semester s ffering will take place at a new lcatin, which shuld be reflected n the particular student s transcript. An alternate title allws yu t edit the wrding f this curse number s title frm ne semester t the next. If this curse will need an alternate title, check the Allw Alternate Title bx. Ntes: The alternate title ptin shuld be used cautiusly fr unique curses, such as a special tpics curse number. Reviewers shuld cnsider whether the alternate title is apprpriate. A curse with an articulated TAG r OTM agreement is nt apprpriate fr an alternate title. Only thse curses with a valid ratinale shuld be apprved fr the alternate title. Fr example, a curse might have the title Internatinal Business Internship. Each semester s ffering will take place at a new lcatin, which shuld be reflected n the particular student s transcript. An alternate title allws yu t edit the wrding f this curse number s title frm ne semester t the next. 37. Click Save.

12 Page 12 Descriptin (cntinued) 38. Descriptin The curse descriptin will be visible t all students and the general public. It shuld: ffer an explanatin fr hw learning utcmes will be achieved prvide an explanatin f cntent t ther institutins which might need t determine what credit yur students have earned advertise the curse effectively t attract students, and give them an idea what t expect in the curse Type the curse descriptin int the Descriptin bx. 39. Additinal Infrmatin Abut this Curse (ptinal, des nt display publicly) Optinally, yu culd add mre infrmatin abut the curse in the Additinal Infrmatin Abut this Curse bx. This culd be t explain hw the curse meets certain learning utcmes, satisfies a BK cde s definitin, r ther cmmentary abut the curse. This cntent is nly visible t ecurriculum users and nt t students. This bx is just an ptinal way t speak mre abut the curse t its reviewers. 40. Subsidy Level Cnsider the mst accurate Subsidy Level fr this curse based n its cntent and level. Chices fr Subsidy levels will vary based n the Career Level. Fr undergraduate curses, use General Studies fr intrductry curses, and thse taken by nn-majrs. Use Baccalaureate fr mid-cllegiate r upper-divisin curses typically taken by majrs. T read the definitins f each Subsidy Level, click the page infrmatin icn. 41. Click Save.

13 Page 13 General Educatin Breadth f Knwledge (GenEd BK) 42. This tab is nly present fr Undergraduate curses belw 4000-level. If the tab des nt appear, but this curse must carry a GenEd BK cde, then yu will need t begin with a new curse number. 43. Fundatin Curse Cnsider whether this is a Fundatin curse. A fundatin curse shuld be viewed as either a GenEd BK; an intrductin t a field, discipline, r prfessin; an intrductin t cllege; r a curse with a Transfer Assurance Guideline (TAG) r ne that is part f the Ohi Transfer Mdule (OTM). If the curse is a cmmn prerequisite, it can als be cnsidered fundatinal. If the curse meets this definitin, check the Is Fundatin Curse bx. Nte: this bx must be checked t assign any BK cde. 44. General Educatin Breadth f Knwledge Cnsider if any f the BK cdes are applicable. If the student learning utcmes and curse descriptin indicate that this curse des meet the definitin f a BK cde, click and mve that cde frm Available t Selected. The General Educatin Breadth f Knwledge (BK) cdes are critically imprtant fr Undergraduate curses. Be very careful making the best selectin(s). The BK cde determines if this curse can fulfill the graduatin requirement. Students and advisrs will see the BK cdes when registering fr classes. 14 Page 14 GenEd Cmpetencies (Undergraduate Curses Only) 46. This tab is present nly fr Undergraduate curses. 47. Cmpetency Cnsider the General Educatin prgram s cre cmpetencies. If the student learning utcmes and curse descriptin indicate that this curse des meet the definitin f a Cmpetency, check its bx. 48. Prgress Fr any checked bx, indicate the level t which it is addressed (Intrduced, Develped, r Assessed). Curses meeting the Effective Cmmunicatin definitin must als indicate the extent f the curse s writing cmpnent. Reference: T read the definitins f each Cmpetency, click the page infrmatin icn. Or, visit Click Save.

15 Page 15 GenEd Tuchpints (Undergraduate Curses Only) 50. This tab is present nly fr Undergraduate curses. 51. Classificatin Cnsider the General Educatin prgram s cre cmpetencies. Specifically, cnsider the academic prgram requirements fr students taking this curse. If the student learning utcmes and curse descriptin indicate that this curse meets the definitin f a Tuchpint Classificatin, select it frm the list. 52. Mid-Cllegiate Fr Mid-Cllegiate Experience curses nly, indicate the type f experience(s). Reference: T read the definitins f each Cmpetency, click the page infrmatin icn. Or, visit Click Save.

16 Page 16 Attributes 54. Cnsider UC s curse attributes. Specifically cnsider whether yu wish t reprt yur curse as meeting the definitin fr ne r mre f the frms f Experiential Learning tracked with an attribute. 55. Attribute If anyne teaching this curse will meet an attribute definitin in their class sectin, then check the applicable bx. This ften means that sme class sectins will meet the attribute definitin, but thers will nt (i.e. sme sectins f this curse are Hnrs, but thers are nt). Nte: when an attribute is apprved fr a curse in ecurriculum, it becmes pssible fr staff t assign that attribute t its individual class sectins in the SIS, Catalyst. 56. Descriptin It is strngly recmmended t write a brief explanatin f hw the curse will meet any curse attribute. This explanatin shuld address the specific attribute definitin, and explain what students in this particular curse will d t meet the definitin. 57. Thematic Areas Fr the Hnrs Curse attribute nly, select the Thematic Area(s) 58. Apply T All Sectins Cnsider whether this attribute applies t all class sectins. If n class sectins will ever be taught withut meeting the definitin f this attribute, then check the All Sectins bx. Nte: this will help staff identify that all class fferings shuld carry the attribute. Reference: T read the definitins f each Attribute, click the page infrmatin icn. 59. Click Save.

17 Page 17 Instructin Methds 60. Primary Graded Cmpnent Cnsider the single mst applicable type f instructin fr all sectins f this curse. 61. Additinal cmpnent(s) needed fr class sectin rdering Cnsider whether yur curse will require multiple time blcks fr class sectin rdering. Fr example, if yur curse has a lecture tw days a week, and breakut recitatin anther day f the week, then yu might need an additinal cmpnent fr class sectin rdering. Select the mst applicable type f instructin fr each additinal time blck that yu need. Nte: Only use make selectins in this bx if yu will need t create mre than ne time blck fr class sectin rdering. Mst curses d nt have any additinal cmpnent(s), and shuld leave this bx blank. Yu might cnsult with staff in yur department t determine whether r nt they need any additinal cmpnent(s) fr class sectin rdering. Individual class sectins are rdered using the SIS, Catalyst. 62. Additinal teaching methd(s) used fr reprting n pedaggies fr this curse Cnsider if the cmpnents yu have selected s far accurately reflect all types f teaching in this curse. If yu wish t reprt any additinal teaching methd(s), select them nw. Reference: T read the definitins f each Teaching Methd, click the page infrmatin icn. Nte: Please be very careful when making selectins n this page. Yur selectins will directly affect whether r nt it is pssible t ffer multiple time blcks each semester. 18 Page 18 Grading Plicy 64. Click n the Grading Plicy tab. 65. Grading Plicy Select the Grading Plicy ptin needed fr this curse. Yur chices will vary depending n the Credit Level. Ntes: Nrmal Grading Optins is the mst cmmn selectin and des nt prevent all students frm taking the curse fr Pass/Fail credit. If yu are nt sure the best ptin, then seek help frm a clleague in yur cllege ffice, r the Office f the Registrar. Reference: T read the definitins f each Grading Plicy, click the page infrmatin icn. 66. Click Save.

19 Page 19 Delivery Intentin 67. Cnsider hw best t advertise the intentins fr delivering this curse. 68. Online Delivery Intentin Never taught nline, if there is n intentin ever t teach this curse nline. Smetimes taught nline, if sme class sectins will be taught nline, r partially nline. Always taught nline, if all class sectins will be taught exclusively nline. Nte: this infrmatin helps reviewers cnsider this curse during the apprval prcess, and fr reprting n curse titles which culd be delivered nline. This selectin might be helpful t staff fr reference when creating class sectin rders in the SIS, Catalyst. 69. Frequency f Offering Occasinally if yu d nt knw when it will be taught, and/r it will vary each year. Annually if the curse will be taught each year. Even Years Only if the curse will be taught every ther year in even numbers. Odd Years Only if the curse will be taught every ther year in dd numbers. 70. Semesters Offered Select each semester in which the curse will be taught. Nte: This infrmatin will be displayed t students and advisrs in the nline Curse Planning Guide. It will nt autmate class sectin rdering, but will be used by students and advisrs fr planning degree cmpletin. Be sure it is accurate t avid misleading students. 71. Click Save.

20 Page 20 Apprve & Submit 72. When yu are cmpletely finished with all tabs, then yu are ready t submit the curse fr apprval. Click n the Apprve & Submit tab. 73. Effective Term Select an Effective Term, i.e. Fall Sem This is when the change will take effect. Nte: Select the earliest pssible semester when this curse might be taught. It is n prblem if the curse actually will nt be taught in that semester. Be very careful making this selectin! Once apprved, it is impssible t mdify a curse and make this selectin cme earlier in time. Fr example, if a curse is apprved with an effective term f Fall 2017, then it cannt be used fr class sectin rders in Summer 2017 r any previus semester. 74. Cmment Cnsider typing cmments int the Cmment bx regarding this curse prpsal. 75. Apprve After yu are sure everything is finished, click the green Apprve buttn. Cngratulatins! Yu have cmpleted wrk n the curse, and submitted it fr apprval. When yu click the green Apprve buttn, an is autmatically sent t the Prgram Directr(s) fr this curse s cllege and subject. This begins the curse apprval prcess. Yu can check back t see when ther levels have apprved, and will receive an autmated ntificatin upn final apprval f the curse. A list f all apprval steps appears at the end f this manual.

21 Curse Apprval Wrkflw Page Depending n yur rle, yu might receive an ntificatin abut a curse ready fr yur review and apprval. Or, if yu submitted yur curse fr apprval, yu might be interested in checking t see where it is in the curse apprval prcess. T pen a curse, click n the Curses ptin at the tp f yur screen. 77. Select the Organizatin (hme cllege) and enter the curse number. 78. Find the curse n the list, and click the blue Edit buttn. 79. T see which step in the apprval prcess this curse is n, click n the Apprve & Submit tab. 80. Wrkflw Histry Yu can nw view the Wrkflw Histry, including any apprvals, requests fr edits, and cmments. If yu are the in the rle f the Current Step, then yu will have the ptin t Apprve the curse, r send back with a request fr edit.

22 Page 22 Curse Apprval Tips Cmments Be sure t write a cmment if yu are sending a curse back t a previus step. This will be particularly imprtant when yu might send an actual curse prpsal back t anther user functining at an earlier step in the curse apprval prcess. Transparency All curse infrmatin and cmments are visible t all users f the ecurriculum system. Faculty and staff can view all saved cmments and curse infrmatin regardless f their rle. Timeline The curse apprval prcess can take days, r weeks, depending n hw quickly each reviewer pens the curse and makes a decisin. If the curse is a new idea and has nt yet been fully discussed r cnsidered, then this prcess might take several weeks r even mnths. BK cdes Because they determine graduatin requirements fr students in all undergraduate clleges, the additin f a BK cde adds several cnsideratins t the curse apprval prcess. This can add time t the prcess, since further discussin culd be required. Ntificatins If yu are set as the apprver, then yu will receive an each time a curse is available fr yur review and apprval. Mre than ne reviewer When multiple users share the same rle, then any ne f them can apprve the curse. Fr example, tw users might share the Unit Head rle. Bth receive an when the curse is ready fr Unit Head review. One apprves the curse first. By the time the secnd pens the curse, she/he cannt apprve because it is nw at the Cllege Curriculum Cmmittee level.

23 Page 23 Curse Apprval Rles Nte: When multiple users share the same rle, then any ne f them can apprve the curse. Curse Submitter The Curse Submitter can create a new curse, r mdify an existing curse. They are the first t begin the curse apprval prcess. Prgram Directr The Prgram Directr will receive any curse submitted by a Curse Submitter. The Prgram Directr will nly receive a curse within their Organizatin (teaching cllege) and subject.
