4 What we do Notting Hill Housing is remarkable. We re a social business with commercial sense. We house people in need, help tenants become homeowners and use our profits to create communities that blossom and grow. A recent survey showed that, financially, we were the strongest Housing Association in London. Our annual turnover is 200 million and the Notting Hill Housing Group has an asset base of 2 billion. This financial strength means we can make a difference in society. We design and build homes that people want and offer them at a price they can afford. We also create and develop services that give people the opportunity to improve their lives. Currently we house about 25,000 households, in London and nearby. We work with 81 local authorities but most of the homes we look after are in North, South and West London. While our focus is on London our influence stretches much further. Our ideas have influenced housing and social policy and added momentum to national debates. We are looking for an HR Assistant to work alongside our HR Advisers, to cover across our Resourcing and Employee Relations teams and be part of the wider HR department. The success of our HR department is built on first-rate communication and excellent administration and you ll already be gifted at both. You have the energy to get things done, the intellect to know what needs doing, and the attention to detail to do it without cutting corners. You re also a confident communicator with experience of dealing with customers efficiently and sensitively. 8 Notting Hill Housing Human Resources and Training Post Responsible to HR Assistant HR Operations Manager Date April 2013 Job purpose Work in partnership with business managers and HR and L&D colleagues to provide an efficient, effective and consistent HR and L&D administration and support service. This will be achieved by working to the established processes and procedures laid down in the HR, Payroll and L&D manuals using and maintaining manual and computerised systems in an accurate and timely manner. Usually roles will cover work spanning either the Resourcing and Relations areas or Payroll and Systems and Learning and Development areas, however cross-team working is often required. Overall responsibilities all roles Undertake regular weekly and daily tasks as required (including distributing post, processing of invoices, setting up new employee files, assisting with bulk mail outs and other filing 1. duties, maintaining the HR confidential filing room, personal files, and other manual files and undertake periodic archiving and housekeeping duties) Action HR, Systems, Payroll and L&D changes, updating processes, manuals and letters under the direction of HR Advisers or HR Operations Produce purchase orders and manage invoicing and payment processes, both manually and through the finance system (Compleat) 4. Undertake project / research work and prepare reports as required. 5. Ensure compliance with internal HR controls, adhering at all times to NHH rules, policies and processes within the legislative/statutory requirements and financial regulations. Be responsible for your own continuing professional development and work in collaboration 6. with others in the HR team, to produce work to a high standard and to agreed timeframes, adhering to HR policy, employment law and best practice. Undertake any other duties necessary to this role as directed by HR Advisers/HR 7. Operations Managers. Additional responsibilities Employee resourcing Assist in coordinating recruitment campaigns (including creating recruitment packs, uploading recruitment adverts on to the Recruitment Management System (RMS) and other websites, working with external partners to ensure effective and efficient advertising of all vacancies, preparing for and attending job fairs and recruitment events) Continually update candidates and hiring managers as recruitment campaigns progress and ensure that all information on the RMS is kept up to date

9 Notting Hill Housing Human Resources and Training Arrange, conduct and mark/assess test administration (including technical, literacy and 10. psychometric testing and handling on the day arrangements) Manage the pre-employment process for successful applicants and the renewals 11. process for existing employees, conducting all necessary employment checks (including eligibility to work in the UK, referencing and CRB checks) 12. Accurately and efficiently prepare and produce ex employee references Additional Responsibilities Employee relations 13. Assist in the preparation of formal consultation documents 14. Assist in the collation of due diligence information Prepare formal document packs for grievance, disciplinary, ill health capability, 15. probation, performance management, bullying & harassment, tribunal and consultation procedures Additional Responsibilities Payroll and systems Ensure fortnightly staff expenses and care bank documents are input and processed in 16. an accurate and timely manner Assist in the distribution of paper-based payslips to staff following the monthly payroll 17. as well as the fortnightly care bank and expenses runs and support all staff to access their online payslips Provide advice and guidance to staff on the expenses and care bank pay runs and the 18. time and attendance system (Kronos) Assist in the production of third party payments (eg. pension, salary sacrifice schemes) 19. and season ticket and training loans 20. Assist in the payroll year end processes Assist in managing the security of the HR systems including users and 21. permissions/access controls. Additional Responsibilities Learning and Development 22. Publicise courses and events in a timely way, using a range of media Book staff on internal and external L&D courses providing invitations and course 23. information in a timely, accurate and customer friendly manner, maintaining course waiting lists as required Manage the administration of the corporate induction, lunch n learns, bite size 24. learning and other L&D programmes (including arranging the L&D calendar, overseeing administrative arrangements, arranging venues and equipment) Assist in Course of Study and CIH processes and monitor changes to arrangements 25. throughout the year of study 26. Assist in the administration of Care and Support programmes where necessary

12 Salary We pay people on the 28th day of the month. Pay may be reviewed each year in April. Healthcare Cashplan Healthcare cash plan provided to you through SimplyHealth or BUPA which include allowances for optical, dental and other treatments (e.g. physiotherapy). Both schemes include a confidential counselling and advice service (Employee Assistance Programme) Leave Annual leave is 25 days with pay (rising to 27 days after 2 years service). Additional holiday may also be granted over the Christmas period when we re closed. Life Assurance During your employment, you will be covered by NHH s non-contributory life assurance provision, with a payment of four times your basic annual salary. Maternity We offer additional maternity pay, when someone has worked with us for over 2 years. Additional maternity pay (including Statutory Maternity Pay, SMP) is 14 weeks full pay, 15 weeks half pay and 10 weeks at the SMP rate Paternity We offer ten days paternity leave on full pay after qualifying period. Pension NHH offers a Defined Contribution (DC) Benefit Structure through SHPS (Social Housing Pension Scheme) which is administered by The Pensions Trust. NHH will contribute an amount equal to one and a half times your monthly contribution. Providing you contribute a minimum of 3% of your monthly basic salary, NHH will contribute a minimum of 4.5% of your monthly basic salary. The maximum amount NHH will contribute is 13.5% of your monthly basic salary. Performance We monitor how people perform annually between 1 April and 31 March. We set people objectives for the year and assess their achievements against these objectives and the competencies for the role. Permanent Health Insurance (PHI) You could get up to half pay for up to three years if you are eligible for PHI and have been off work continuously for over six months with a serious illness. Probation There is normally a six month probation period for new starters. Season Ticket Loan Interest free season ticket loans are available to staff for their journey to/from work Sickness Absence Should you be unable to attend work due to illness, you are entitled to receive up to 5 days at sickness absence during your first six months of employment/probation, increasing up to 30 days entitlement in a rolling twelve month period after this time. Smoking policy People are not allowed to smoke in any of our offices and smoking breaks can only be taken in someone s own time.
