This document does not form part of the terms and conditions, but aims to give you more information about the role, its context and an outline of the work you could be involved with. Background to The Scout Association s Headquarters The UK headquarters of The Scout Association is based at Gilwell Park, Chingford, London, and is operationally divided into four directorates: Outline of Role: To contribute to the Marketing and Fundraising team by supporting the Fundraising Manager deliver activities to achieve income targets. 4 Job Description: Fundraising Coordinator JOB TITLE: Fundraising Co-ordinator DIRECTORATE: Marketing and Communications REPORTS TO: Fundraising Manager LOCATION: Gilwell Park NUMBER OF JOB HOLDERS: 1 DIRECT REPORTS: 0 DATE OF JOB DESCRIPTION: May 11 TSA RANGE: Band B COMPETENCY LEVEL: 4 1. PURPOSE OF THE JOB To contribute to the Marketing and Fundraising team by supporting the Fundraising Manager deliver activities to achieve income targets. 2. DIRECTORATE/DEPARTMENTAL OVERVIEW Support the Fundraising Manager to: Meet the objectives, plans and targets across Trusts and Foundations, online giving, Legacies and UK Fellows. Increase the voluntary income (i.e. fundraised) to Scouting nationally and locally and increase the ROI, in line with the fundraising strategy Ensure voluntary funders are regularly communicated with; that their requirements for outcomes and reporting are met; that they perceive they gained value from their support; and that they are inclined to support again in the future Create campaigns to bring in funds for local and national Scouting Provide support for local Scouting undertaking fundraising, including advice and training to provide a greater chance of success in raising levels of income Increase the opportunities for youth Members of all ages to represent Scouting externally including at fundraising events. General Office Administration Provide a warm and professional first point of contact for telephone callers and visitors. Act as gatekeeper and distribute calls and correspondence appropriately. Recording and replying to donors Banking donations Handle requests for information and queries by phone, letter and . Process daily incoming and outgoing post. Order stationery, office supplies and other goods and services and to take responsibility for petty cash expenditure and its administration and record. Organise meetings, including booking venues and distributing papers. Prepare draft agendas for meetings and take minutes of team and other staff related meetings. Write appropriate letters and s to support the requirements of the role, e.g. thank you letters to supporters and letters of confirmation re meetings. Arrange the maintenance of office equipment liaising. Supervise and work alongside/team lead volunteers as required.

5 Office Systems Ensure maintenance of Database systems and upkeep of accurate records. Ensure accurate record-keeping i.e. fundraising entries to electronic filing systems & databases and hard copy records. Process donation reminder letters and administer payments. Routinely update shared lists and documents. Maintain resource shelves in good order. Maintain and develop effective office filing systems both electronic and hard copy. To ensure the Association complies with the Data Protection Act. Personal Assistance to the Fundraising Manager To offer personal assistance and administrative support as required, to members of the Fundraising, Marketing and Corporate Partnerships staff. To liaise with external agencies and internal members as required, particularly in the arrangement of meetings and conferences, including telephone conferences To prepare, collate and distribute of papers, management reports and planning documents. Event Management and Group Support To assist in the preparation and co-ordination of events throughout the country. To attend such events and assist in the organisation on the day To provide follow up administrative assistance post event. Maintain, promote and support the Justgiving scheme as required, to Members of the Movement. Support matched giving schemes ensuring nominated recipients receive donations in a timely manner. To support the Fundraising Manager in the administration, maintenance and promotion of additional Group Support activities, as and when required. General To take personal responsibility for own development and skills acquisition as appropriate to the emerging needs of the role. To ensure the maintenance of confidentiality in respect of staff, volunteer and client records and all privileged information relating to the services of the charity, its clients, staff and volunteers and particularly of the area for which directly responsible. To undertake any other duties required by the Fundraising Manager and Assistant Director, Fundraising and Marketing. To deal with confidential matters relating to donors 3. PRINCIPAL RESPONSIBILITIES PRINCIPAL ACCOUNTABILITIES Management of donations and contact from/with donors % of time spent (Non - managerial) 40

D EXPERIENCE Extensive experience of co-ordinating large events and meetings. E Experience of working in, and supporting, a fundraising team. HD Extensive experience of Database Systems. E Experience of providing administration of online giving websites. D SKILLS Able to work systematically. E Able to respond to enquiries from prospect donors. E Ability to manage office administration systems. E Can co-ordinate and provide support to the work of the team. E Able to work on own initiative and part of a team. E Ability to manage a diverse workload and reach targets that are set. E Ability to produce own reports and correspondence using IT efficiently. E Able to provide a PA/Secretarial Service. E Can maintain diaries of team members and co-ordinate their activities. E

8 What s in it for me? Annual Salary: 16,575 per annum plus OLW Band and Level: Band B, Level 1 Salaries are paid monthly by direct transfer on or about the 20 th of the month. Overtime is not paid although time of in lieu may be authorised. Hours of Work: 35 Location: Gilwell Park, Chingford, London, E4 7QW Holiday Entitlement: 23 days per year plus bank holidays. This increases after two years service to 26 days and after five years to 30 days. Probationary Period: This post is subject to a 6 month probationary period. 9 Food and Drink Free lunch is provided to all employees when they are working at Gilwell Park, between Monday and Friday. Alternative arrangements are in place for staff at our Scout Activity Centres. Free beverages are available at all sites. This benefit is available immediately upon taking up employment. Looking after your future Pension For all employees, the Association has a Group Personal Pension Plan. This plan allows employees to contribute a minimum of 1.5% of their gross salary up to the maximum allowed within HMRC limits. The Association will contribute twice the employee s contribution, up to a maximum of 10% of gross salary. Life Assurance All employees are covered by a scheme which pays two times the basic salary in the event of death in service. Getting to and from work Interest free season ticket loan Employees may apply for a loan to assist with the purchase of a travel season ticket. The loan will be paid back monthly by automatic deduction from salary. Car parking All sites offer free car parking to employees Cycle to Work scheme This scheme is a form of salary sacrifice which enables employees to purchase a bicycle through the Government s Cycle to Work Scheme and can save you up to 50% on the retail value (depending on the employees tax bracket). Minibus Service (Gilwell Park) A minibus service is provided which collects colleagues at 08:40 and 08:50 from Chingford Station and drops off to the same location at 17:00 hours. 10 Start and finish time Employees can apply for some flexibility on their start and finish times of work. Restaurant discount card This discount card is in conjunction with TasteCard and allows a range of discounts (up to 50%) on a range of restaurants across the UK.
