JOB ADVERT Internship People services/hr Systems (Temporary placement for 9 months) GRADE 1: salary 12,715 pro rata 37 HOURS PER WEEK We are looking for an intern/student placement suitable for CIPD student or similar. May suit recent graduate or someone retraining or getting back into the workplace. Paid placement at per annum (pro rata) from approx September to April. An understanding of working in an HR team is essential as are excellent IT skills. Experience of HR systems would be an advantage along with previous work experience in an admin/office environment KEY TASKS: To undertake HR administration To undertake systems work including data entry, transfer of system data etc. To support the work of the wider team including H&S, L&D, Payroll To help in project administration & management for the systems project. To learn about all aspects of the People Services team and public sector people management practices PERSONAL ATTRIBUTES: To fulfil the role effectively, you will have excellent interpersonal, IT and organisational skills. You should take pride in work produced paying close attention to detail and being highly accurate. You should be able to demonstrate ownership of a query and show willingness to see it through to a successful conclusion. In addition to having strong Microsoft Word and Excel skills, you will have an excellent telephone manner, be proactive and keen to learn. We require an individual who can work both on their own initiative and as part of a busy team within a confidential environment. Experience of working in a human resources environment would be a significant advantage. The successful candidate will need to demonstrate that they can make an immediate impact and will be expected to hit the ground running. JOB DESCRIPTION Boston Borough Council Job Description Directorate CEX Service HR & Transformation Job Title Student placement/intern People Services/HR Systems project (Temporary for 9 months) Post no Grade 1 Reports to K Nundy/R Gardner Responsible FOR N/A A Purpose of job: To support the work of the wider People Services team To support the HR systems project To undertake work to support learning & career development within an HR function B Main responsibilities, tasks and duties To undertake HR administration To undertake systems work including data entry, transfer of system data etc. To support the work of the wider team including H&S, L&D, Payroll To help in project administration & management for the systems project. To learn about all aspects of the People Services team and public sector people management practices

5 C Knowledge and skills 1 Knowledge Ideally practical but could be theoretical understanding of work of an HR team and HR management practices. 2 Interpersonal Skills Ability to work across teams and develop relationships quickly and be able to develop confidence to work with managers at all levels. Good telephone manner Good admin skills 3 Mental Skills Good communication skills, verbal, written and oral. Meticulous with detail. Able to work with complex calculations 4 Physical Skills Strong keyboard skills used for data entry, work on excel spreadsheets etc. D RESPONSIBILITIES 1 For supervision Must be able to work as part of a team and ensure collective & individual tasks are undertaken. 2 For people An understanding of the responsibility for safeguarding and promoting the welfare of children is required Must be prepared to undertake safeguarding, disability, equality and diversity training.

6 3 For financial resources Some responsibility associated with payroll work. 4 For physical resources Responsibility for data on HR & Payroll system and migration of this handling and processing of HR data E Work environment and demands 1 Work demands Ability to handle employees & managers on a diplomatic manner. Ability to prioritise, multitask and co-ordinate workloads and work under pressure in order to meet deadlines. Ability to work unsupervised and under own initiative. Flexible hours. Some evening work may be required. 2 Physical Demands Mainly office based and sedentary. Sitting at desk for periods for data entry. Dexterity required for data entry. 3 Working conditions Mostly office based. F Other 1 The duties and responsibilities in this job description are not exhaustive. The post holder may be required to undertake other duties that may be required from time to time within the general scope of the post. Duties and responsibilities outside of the general scope of this grade of post will be with the consent of the post holder with the exception of those required at such a time when the Emergency or Business Continuity Plan is invoked during a genuine emergency situation where staff may be required to undertake work outside of their normal duties without prior consultation.

In particular they must: Carry out all work in the prescribed manner and ensure that they follow training, information and instruction provided Use equipment correctly at all times Wear or use personal protective equipment provided Report all unsafe acts, conditions, accidents or near misses Suggest methods of eliminating hazards and reducing potential risks Co-operate in the investigation of accidents with the objective of introducing methods to prevent a reoccurrence Take part in risk assessments, workplace inspections, safety tours and audits when necessary Observe safe systems and methods of working at all times, avoid taking short cuts or improvising which may give rise to unnecessary risks 4 Conduct The public are entitled to expect the highest standards of conduct from all employees who work for Local Government and that their conduct should never be influenced by improper motives. Employees should always remember the responsibilities to the community they serve and ensure courteous, efficient and impartial service to all groups and individuals within the community. Employees should be aware of the content of the Code of Conduct and ensure that they act within the Code at all times 5 Information security & data protection Employees should ensure that confidential material including material about individuals is handled in accordance with the law. Employees are individually responsible for any information in their care whether computerised or manual.

8 All Council policies on these issues should be adhered to. 6 Safeguarding Employees have a responsibility to safeguard and promote the well-being of all vulnerable adults, children and young people who participate in our services or whom they come into contact with through discharging various functions. This includes situations where the Council works directly with adult, service users who have care of children. TERMS AND CONDITIONS OF SERVICE Terms and conditions of service for Boston Borough Council employees are set out in the collective agreements negotiated from time to time by the National Joint Council for Local Government Services Administrative, Professional, Technical & Clerical Services (APT & C), with the exception of those conditions affecting salary, which are subject to a locally negotiated salary structure. Other Terms and Conditions may be implemented following collective agreements negotiated and agreed with the Trade Unions recognised by Boston Borough Council for collective local bargaining purposes. The Principal conditions are set out below:- Grade: 1 Salary: 12,715 Hours: 37 hours per week Notice period: 1 Months notice. Probationary Period: The appointment of every new entrant to the Local Government Service with this Authority is subject to a term of probation which, at the moment, is six months. Subject to satisfactory service, the employee is transferred to the established staff at the end of the period of probation. During the probationary service the employee will be expected to establish his/her suitability for the post. Sickness Payments: The Council operate a locally agreed scheme that provides for varying periods of sickness absence on full pay, followed by half pay, according to the length of recognised Local Government Service. Annual Leave: For full time posts the annual leave entitlement is 28 working days rising annually by 1 additional day to a maximum of 30 days per annum for continuous Local Authority service, plus eight public holidays. For part time posts the entitlement is pro rata. Flexi- time Scheme: A flexi-time scheme operates within Boston Borough Council. Driving for work: The Council has a pool of cars for business travel. Where a pool car is not available employees needing to travel will be required to use their own vehicle as an alternative. Employees authorised to use their own car for official purposes will be paid appropriate rates designated by the HMRC (currently 45p per mile for the first 1 to 10,000 miles) in line with the Travel & Subsistence Policy (HR015). Please note that all offers of appointment are subject to: Satisfactory references; satisfactory medical clearance; proof of academic or other relevant qualifications; and evidence that you are eligible to work in the UK. In some instances, offers of employment may also be subject to Disclosure and Barring Service checks. Please note that terms and conditions of employment for Boston Borough Council employees are currently under review and may therefore differ to the terms set out above.
