O n behalf of the executive, I would like to advise you that sponsorship opportunities are soon to be available for the ASIEQ Conference, to be held on Tuesday, March 24, 2015, at the Brisbane Convention and Exhibition Centre. This conference is already generating interest and will attract some of the largest employers in Queensland and in Australia. We would like to invite your organisation to be involved as a sponsor in Queensland s largest event for self-insured employers. After much deliberation, the ASIEQ executive has decided to take an inclusive approach to sponsorship, and to do our best to find a place for everyone that wishes to be involved. We believe there is a place for everyone. As such, for this conference there will be (3) sponsorship options: major sponsor, friend or one off sponsor for selected items such as the lanyards, lunch and the conference bags. We will look to limit the major sponsors to (2) per industry type. We have endeavoured to keep some flexibility with packaging the major sponsor s packages to reflect the reality that there are differences in requirements for trade displays and ticket preferences. We have to find a way to allocate the one off sponsorship options (such as lanyards and bags) that follow, and will do this on a first paid gets first allocation basis, starting 10am on Friday, August 1, 2014. For the first (2) weeks it will be one item per organisation and then, after (2) weeks this will be reviewed. We consider the relationship we have to all our sponsors, friends and members to be crucial so please let me know if there is anything we can do to make your involvement in the conference more beneficial to you. This option will likely be limited to two major sponsors per industry type. Your company will receive considerable exposure and recognition before, during and after the Conference, with your company banner being placed on the stage for the duration of the conference. Your company will also be presented with the option of an exhibitor booth and (2) tickets or a double booth (best positions on a first to pay basis) and lunch and teas for (2) booth staff. In the event you are not interested in a trade display additional tickets can be negotiated. Your organisation will be acknowledged during specific marketing campaigns and on email blasts. You will receive a full list (subject to Privacy legislation) of all conference delegates and can place advertising within the bags of delegates. As the friend, your organisation will be affiliated with most aspects of this conference. A (60) minute lunch will be provided during the conference to all delegates in a room adjacent to the Trade Exhibition area. As the Luncheon Sponsor, your organisation will be acknowledged by the Conference MC or a brief announcement (60 seconds) immediately prior. You will be provided with the opportunity to place exclusive signage for your company around the luncheon area. A (15) minute morning tea will be provided during the conference to all delegates. As the sponsor for morning tea, your organisation will be provided with the opportunity to place signage for your company around the morning tea area.
A (15) minute afternoon tea will be provided to all delegates during the conference. As the sponsor for the afternoon tea, your organisation will be provided with the opportunity to place signage for your company around the afternoon tea area. This is an opportunity for your organisations brochure or flyer to be placed on each delegates seat during one of the breaks, ensuring your brochure has primary exposure. These are limited to (2) organisations so as delegates are not overwhelmed with information. This is a wonderful opportunity to have your company name/logo printed on the Delegate Lanyards. These are worn by Delegates at all times during the conference and provide an excellent level of exposure for your company. The printing and production will be arranged by ASIEQ so all you have to do is send through your company logo. Each delegate will receive a quality satchel which includes all conference materials. Your company s logo will be placed on the front of the satchel ensuring maximum advertising to each delegate. The Merlo Coffee Cart will be available all day for Delegates to purchase some of their delicious coffee and tea's. As the sponsor of the Coffee Cart, your organisations logo will be placed next to the Merlo Cart for the duration of the conference. Further negotiation with Merlots is required before this price can be nominated, so at this stage expression of interest only. This is an opportunity for your company to consider options such as provide the pens and pads or water bottles that will be used by the delegates throughout the conference. It is a wonderful opportunity for your organisations name to be front and centre for each delegate throughout the conference. This will be offered subject to consideration of choice, cost and total number of sponsors already engaged. Major sponsors and friends will be offered first choice of location for a 3m by 3m booth space in the trade display area for the duration of the conference. All signage, promotional material and display collateral are the responsibility of the trade displayer or sponsor. The trade display area is directly outside the Plaza Terrace room and in the main foyer of the floor in an area that will also be used for registration, morning, lunch and afternoon tea breaks. Terms and conditions of sponsorship / Trade exhibition booking The total amount is payable upon booking. Full payment must be finalised before allocation on a first paid, best position basis. Should payment not be received within 14 days of booking, the Organiser will release the assigned space. Once an application form is received the requested item is deemed to be booked and the booking organisation is liable for full payment. Upon receipt of this application, a confirmation letter and tax invoice for the full amount will be forwarded. Cancellation Policy for Sponsorship and Exhibition. Your cancellation must be advised in writing. An administration fee of 25% of the contracted price us retained should the cancellation be up to 3 months prior to the event and 100% of the contracted price should cancellation be less than 3 months prior to the event. If your selected package is resold, a cancellation fee of 25% applies and a refund of any monies owed (less the cancellation fee) will be forwarded.
