1 Job Description TITLE: SALARY: HOURS: RESPONSIBLE TO: RESPONSIBLE FOR: Marketing Manager 23,827-26,915 + PRP 40 hours per week Head of Business Development Sales & Marketing Assistants, Administration & Marketing Assistant JOB PURPOSE: The Marketing Manager will be responsible for marketing sport and physical activity to students, staff and the wider community. The post holder will ensure that a marketing plan is developed that assigns all resources (staffing and financial) to ensure that financial and participation targets are met for all areas of the Sports Village, Athletic Union and Active Students. They will work closely with the Head of Business Development, the Front of House and Customer Services Manager and other relevant staff to develop and implement marketing initiatives, within the context of the Sports Village and Athletic Union s marketing strategy. They will manage the sales and marketing staff to ensure that they achieve their agreed objectives as outlined in their job descriptions and that they deliver effective proactive marketing support to the Sports Village and Athletic Union and effective reactive sales cover across the required hours of operation. MAIN DUTIES & RESPONSIBILITIES: 1. To construct, develop and implement all marketing activity aimed at improving membership sales and income for all areas of the Sports Village. Evaluate and report on the effectiveness of implemented activities on a regular basis and create relevant reports for the Senior Management Team detailing income levels, new members and recommendations for future activity. 2. In conjunction with the Head of Business Development create a 12-month rolling marketing plan that clearly assigns the marketing budget to areas that require increases in or protection of income. Report on the success of the key marketing activity planned once implemented. 3. To manage sales and marketing staff (contracted and casual), ensuring that cover is available during the key opening hours of the Sports Village and the new gym on College Lane (at key times of the year), that they are trained to the appropriate standard to be able to undertake their tasks to the required level and that membership sales targets are achieved. Completion of monthly sales pay claims for casual staff. Work to develop an equivalent staff bank to the activators that can fulfil the roaming role we require across two sites. 4. To manage all internal and external PR requirements including (but not limited to) eclips, StaffNet, newsletters and press releases.

To take responsibility for the maintenance and development of the Sports Village websites using our Content Management System to ensure all content is kept up-todate and relevant to the needs of our customers. To develop and implement relevant e-commerce based marketing initiatives to help with the marketing, promotion and retention of members. 6. To develop the Athletic Unions and the Sports Villages social networking marketing strategy, in particular the use of Facebook and twitter to communicate with prospective, current and past sports students of the University of Hertfordshire. To be responsible for ensuring that marketing messages are communicated via social networking at all times. 7. To be responsible for the conception, design and production of all marketing collateral aimed at improving income and participation, including (but not limited to) flyers, posters, banners, leaflets, online forms and E-newsletters. 8. To work with the Front of House and Customer Service Manager to identify, specify and conduct appropriate market research. To prepare and present market analyses and recommendations to the Athletic Union and Sports Village Senior Management Teams as a result of that research. 9. To work with the Front of House and Customer Service Manager to develop existing and create new corporate membership leads. 10. To develop and implement an ongoing innovative range of promotional and marketing activities that will ensure that students, staff and community users are attracted to join, use or continue with their participation in sport and physical activity at Hertfordshire Sports Village. 11. To ensure marketing staff conduct sufficient prospecting activity in accordance with the marketing plan to generate the number of appointments required (as per the appointment to sales ratios outlined in the sales SOP) to ensure daily / weekly / monthly sales targets are achieved. 12. To plan, organise and represent and ensure that we have an adequate staff presence for Hertfordshire Sports Village / UH Sports at relevant internal and external events, including university main and school open days, university staff inductions, third party events and exhibitions. 13. To provide any other marketing support that may be required. The above constitute the major activities but are not a comprehensive or exclusive list of the duties required. The Head of Business Development may vary the duties from time to time, which reflect Sports Village priorities but do not change the general character of the job or the level of responsibility entailed. SUPERVISION RECEIVED: The Marketing Manager will work under the direction of the Head of Business Development. SUPERVISION GIVEN: The Marketing Manager will provide line management supervision and support to the Sales & Marketing Assistants and the Administrative & Marketing Assistant.

4 TERMS AND CONDITIONS OF EMPLOYMENT Hertfordshire Sports Village is responsible to the board of Polyfield Property Ltd - a wholly owned subsidiary company of the University of Hertfordshire. While key terms and conditions of employment are specific to the Sports Village, other regulations tend to follow University Policy and Regulations. SALARY: The salary for this post is 23,827-26,915. An annual pay increase to recognise the increased cost of living/inflation will be paid subject to approval by the board of Polyfield Property Ltd. The post is subject to performance review and will qualify for a performance related bonus. Salaries are paid in arrears by credit transfer to a named bank or building society HOURS OF WORK: The working week is 40 hours with actual working hours by arrangement to meet the requirements of the job. The nature of the post and its work require that the postholder be flexible in working hours and work as part of a shift rota which includes evening, weekend and bank holiday working. Time off in lieu (at flat rate) is given for hours worked in excess of the standard week. ANNUAL LEAVE: The Sports Village s holiday year runs from 1 October to 30 September. You are entitled to 22 working days paid holiday during the course of the holiday period. After 2 years continuous service, your holiday entitlement will increase to 23 days. An additional 2 days are awarded after 4 years continuous service. Time off in lieu (at flat rate) is given for hours worked on bank holidays PENSION: All members of staff are automatically included in the Local Government Pension Scheme, which is a contributory scheme with the employee paying approximately 6% of salary and the employer making a similar contribution (the employer s rate is determined through a triennial Actuarial assessment) unless they opt out of the scheme. Details will be given to the successful applicant. The scheme is administered by Hertfordshire County Council through IT Net on behalf of the University. ADDITIONAL BENEFITS: Staff are welcome to use the facilities at Hertfordshire Sports Village in accordance with our staff usage policy. Staff may also nominate one person to receive a discounted membership. A uniform is provided for all appropriate staff. As a subsidiary company of the University of Hertfordshire staff may utilise all benefits open to university staff, this includes access to catering outlets and Learning Resource Centre, discounted travel on UNO buses, access to discounted nursery facilities and Sodexho child care vouchers. Staff may also access courses run by the Staff Development Unit, University and Associated Colleges, assuming this does not conflict with requirements of your post. There is a sick pay/sick leave scheme in operation.
5 REHABILITATION OF OFFENDERS ACT: DISCLOSURE AND BARRING SERVICE This post is exempt under the Rehabilitation of Offenders Act 1974 as amended. The University requires that the successful applicant who is offered employment will be subject to a criminal record check from the Disclosure and Barring Service (DBS) before the appointment is confirmed. An Enhanced Disclosure will be required and this will include details of cautions, reprimands or final warnings, as well as convictions. Experience of organising events. Experience of managing budgets.
