3 INTRODUCTION The use f Infrmatin Technlgies (IT) in educatinal sectr is diverse. Hwever t the undergraduate educatin (UE) (pedaggical and administrative areas) the IT tls are inadequate and cannt be used t mnitring the educatin and schl perfrmance. Generally these public institutins have sme difficulties in perfrming regularly and mandatry perfrmance evaluatin, addressing three gvernance facets. The Institutinal and gvernment assessment prgram cvers three dmains: Academic results; Educatinal service prvisin; Leadership and management. 2

4 INTRODUCTION Each dmain has several tpics and indicatrs. This indicatrs are nrmally manually calculated using datasheets. In rder t innvate and imprve this prcess was intrduced the Business Intelligence (BI) cncepts as a service. In this case, BI has as main gal helping the schls t make smart decisins and btain new indicatrs by using data and infrmatin cllected frm varius and hetergeneus data surces prvided by several infrmatin systems. This research prject aims studying a new element int the technlgical ecsystem present in Prtuguese educatinal system. 3

5 INTRODUCTION The essence f the IT based service explred in the first phase encmpasses the develpment f an Infrmatin system architecture able t: Real-time acquisitin and strage f schls infrmatin; Online prcessing f infrmatin using BI technlgy; Prvide reprts and indicatrs and search facilities t the stakehlders. The wrk presents the first phase f the prcess, addressing the design f a pervasive BI architecture t ensure the service value and their sustainability making them universal. 3

6 PORTUGUESE EDUCATIONAL SYSTEM The educatinal system in Prtugal at a nn-superir level has tw phases, Basic and Secndary learning. Basic is up k9 years student, and secndary frm 9 t 12 years studying. Basic learning cvers three cnsecutive cycles, starting mainly by six years ld until 15 years ld. At the secndary level, students can chse between general scientific, humanistic, ecnmic, prfessinal r arts curses, generally between 16 and 18 years ld. Each dmain has several tpics and indicatrs (educatinal, management and financial) cllectively used in educatin. 4

7 BUSINESS INTELLIGENCE Business Intelligence (BI) can be understd as a methd that aims t help cmpanies make smart decisins thrugh data and infrmatin cllected by varius infrmatin systems. BI systems use the data available in rganizatins t prvide relevant infrmatin fr decisin making. They cmbine a set f interrgatin tls and explitatin f data with tls that allw the generatin f reprts, t prduce infrmatin that can be used by the tp management f the rganizatins, in supprting decisin-making prcess. Business Intelligence systems are traditinally assciated with the use f Data Warehuses (DW) which are cnsidered as being a data repsitry, mre specifically an integrated repsitry that allws the strage f infrmatin relevant t the decisin-making. 5

8 PROBLEM The develped educatin sftware still have limitatins that subsists until tday. In fact, they are nnintegrated administrative applicatins r, in ther wrds, they lack in terms f interperability. This limitatin has implicatins in terms f supprt the schls gvernance since directrs and executive bards f schls are interested in relatinships amng data frm these sftware platfrms. The disseminatin f infrmatin services, widely accessible thrugh the Wrld Wide Web is bringing new challenges t the educatinal institutins and their stakehlders. 6

9 PROBLEM The research prject aims studying a new element int the technlgical ecsystem present in Prtuguese educatinal system. By ther hand, it is use the educatinal institutins perfrm regularly with perfrmance evaluatin that will address three facets: T imprve their service level and t increase their efficiency; T reprt their perfrmance t a gvernance bdy; T make available t stakehlders infrmatin abut their perfrmance. 6

12 ARCHITECTURE This architecture is cmpsed by several semi-autnmus agents in charge t: autmate the data cllectin; prcessing and transfrming the data; presenting the results in real-time. Cnceptually, the system can be decmpsed in five subsystems: Data Acquisitin, Data Prcessing, Intelligence, Inference, Interface. 9

13 ARCHITECTURE Data acquisitin refers t the receptin f the data by the entities. All part f the requirements is framed in this subsystem. After everything relating t prcessing f data and their validatin, are frming part f the prcessing f the data. Belw is the cnstructin f frecasting mdels, the data are entered int the subsystem intelligence. Then there is the inference subsystem, which is respnsible fr the creatin f the DW and the btaining f all necessary data. Finally, there is the interface subsystem. This is respnsible fr the interactin with the user, i.e., this is what sets the user interface. 10

14 ARCHITECTURE AGENTS This is an agent based system architecture, cmpsed by several semi-autnmus agents in charge fr the functinalities inherent t the system. 15 ARCHITECTURE BI - REQUIREMENTS Interperability The great gal is t ensure the interperability f the existing cmmunicatin in the varius types f infrmatin. This makes available a set f new infrmatin in the field f educatin thrugh the cllectin f data frm multiple data surces. T this end it is necessary t fllw a set f rules, standards and syntaxes fr this t be carried ut prperly; Adaptability The system has the ability t autmatically ptimize the mdels with new data when it is needed. This infrmatin is btained frm their evaluatin results; Real-Time Thrugh the use f intelligent data and data transfrmatin prcesses in real-time, this system is capable f delivering new knwledge in the mment f it is needed. 12

16 ARCHITECTURE BI - REQUIREMENTS Decisin Mdels The achievement f the best slutins depend heavily n the decisin mdels and scenaris created. The decisins that are applied n predictin mdels can help the schls t chse the better slutin n the decisin making prcess. Optimizatin The mdels are ptimized ver time. Accuracy The data available need t be accurate and reliable; The system need t have an autnmus mechanism t a pre-validatin f the data. Safety and Security All data shuld be safely stred in the database. There is a security prtcl that makes it can be accessed anywhere by nly whm have access privileges. 13

18 DISCUSSION AND RESULTS As main result it was prpsed a universal and innvative architecture able t supprt a pervasive realtime BI slutin able t prduce new knwledge by means f Data Mining and data analysis. This architecture is divided in five subsystems: Data Acquisitin, Data Prcessing, Intelligence, Inference and Interface. The subsystem tasks are perfrmed autmatically withut human interventin thrugh the use f intelligent agents. The architecture develped presents as main features: real-time, interperability, nline-learning, intelligent agents, adaptability, ptimizatin, universality and pervasiveness. 16

19 CONCLUSION This wrk prved the viability f develping a universal infrmatin service able t receive and prcess any type f data surces cllected frm different schls in rder t create analytical engine ready t be accessed anywhere and anytime by the UE stakehlders. The main gains in using this apprach can be summarized as: The data acquisitin and the results are made and available in real-time; All the real values are cnsidered - n missing values; The data is displayed in a new way real-time charts t cmpare trends; Less errrs with the previsins; The results are available anywhere and anytime. 17

20 CONCLUSION The architecture prpsed is able t supprt an Educatinal BI slutin aiming t help the decisin making prcess thrugh a cntinuus mnitring task. This architecture allws a real-time calculatin f the indicatrs accrding the mst recent schls results, allws a quick and better cmprehensin f the schl and student cnditins and can create new knwledge by inducing data mining mdels. Being this slutin based in the interperability and infrmatin as a service cncepts, this can prmtes a new research dmain in this educatin area by cmbining Infrmatin System and Educatin. 18

21 FUTURE WORK Future wrk include: Imprve the Data Warehuse mdel; Intrduce the schl indicatrs; Cnclude the develpment f the Business Intelligent Platfrm; Implement this slutin in ne grup f schls already interested in the prcess; Deply the develped slutin in multiple Prtuguese s schls; Expand this cncept t ther cuntries with similar educatin cncerns. 19
