2 Office Manager (NSW) An exciting opportunity has arisen to join one of Australia s most successful public interest and pro bono law organisations. Justice Connect is a not-for-profit organisation with a vision of a world that is fair and just; where rights are respected and advanced, laws are fairer, and systems are more accessible and accountable. Justice Connect provides access to justice through pro bono legal services to people experiencing disadvantage and the community organisations that support them. We also address injustice through law reform, policy work and legal education. The Office Manager (NSW) is part of the Shared Services team at Justice Connect. The Shared Services team provides support, advice and expertise across the organisation and is responsible for managing the physical work environment, developing and maintaining information technology tools to support the work of Justice Connect, recruitment and development of staff, and management of and accountability for funds. The Shared Services team also oversees the governance and compliance obligations of Justice Connect. The Office Manager (NSW) provides general administrative and operational support to ensure the efficient and effective running of the Justice Connect Sydney office, plays an important role facilitating internal communication within the Sydney office and between Justice Connect offices, and assists with on the ground event/meeting logistics for Sydney-based activities. We are currently seeking an Office Manager for a 6 month parental leave backfill contract to play a key role in supporting the Justice Connect Sydney office. If you have strong administrative and interpersonal skills, experience in the not-for-profit or legal sector, and a desire to make a difference for human rights and social justice, we look forward to hearing from you. 3 Position Description Position title Position reports to Salary Employment Status Hours Location Office Manager (NSW) Chief Operating Officer Pro rata of $59, per annum, plus 9.5% superannuation, annual leave loading & generous salary packaging options 6 month parental leave backfill 22.5 hours a week (0.6 FTE) Level 5, 175 Liverpool Street, Sydney Commencement Date Late August 2016 Closing Date Applications are due by 9am on Monday 11 July 2016 For further information Phone Sophie Gordon-Clark, Chief Operating Officer on or Katherine Bykovec, Human Resources Coordinator on Role purpose The Office Manager (NSW) provides general administrative and operational support to ensure the smooth running of the Justice Connect Sydney office, plays an important role facilitating internal communication within the Sydney office and between Justice Connect offices through a collaborative working relationship with the Melbourne based Receptionist, and assists with on the ground event/meeting logistics for Sydney-based development and engagement activities. Key responsibilities Provide administrative and operational support to ensure the effective running of the Sydney office Assist in maintaining a professional, respectful and friendly working environment Proactively support the flow of communication and information within the Sydney office and between Justice Connect offices In conjunction with the program managers and the senior leadership team, lead the development and maintenance of the Sydney Justice Connect team culture Ensure that office practices are compliant with health & safety laws and report any concerns or incidents to the COO Be responsible for the procurement of office supplies, ensure the smooth-running of office equipment, including calling in service technicians when required, and be the first point of contact with the Sydney office co-located not-for-profit organisations and with Justice Connect s IT managed services provider Manage incoming and outgoing mail Ensure meeting rooms are managed effectively and support other relevant staff with setting up rooms appropriately for staff, client and visitor needs. Manage Sydney office based facilities induction and exit processes including undertaking exit interviews for secondees and students

4 Review administrative systems and implement improvements where necessary Participate in the development of new projects and initiatives as required Assist with basic financial processes, including responsibility for the securing and reconciliation of Sydney office petty cash and ensuring that invoices are processed and posted for payment Assist with event/meeting logistics for Sydney based activities Manage Sydney based document storage activities, including any on and off site storage & archiving in line with Justice Connect s policy and procedures. In conjunction with other staff, maintain up-to-date contact details in Salesforce, Justice Connect s CRM Assist with updating organisational policies and procedures Organise and promote ad hoc staff social gatherings Perform other duties as directed and necessary to the proper performance of the role. This job description outlines the current duties and responsibilities of the position. These will be reviewed on a regular basis with the position holder and are subject to change according to the needs and priorities of Justice Connect. Selection criteria Qualifications Advanced computer literacy in MS office software (including Outlook, Word, Excel), SharePoint & web-based relationship management databases Experience Significant experience in a reception, office management and/or legal secretarial role Experience supervising or working with volunteers Experience working in a not-for-profit context (highly desirable) Knowledge & skills A commitment to Justice Connect s strategy and values Demonstrated skills in office administration in a client service environment and knowledge of office processes including OHS and IT Excellent time management skills and demonstrated ability to meet deadlines and effectively manage competing priorities Highly effective communication and interpersonal skills to enable professional and confidential interaction with a range of people including our clients and representatives from other organisations Professional and motivated with a positive attitude and sound judgment Energetic with a strong work ethic, a positive attitude and demonstrated ability to work in a team
