2 Dear Candidate, Re: Conference Producer Thank you for expressing an interest in the role of Conference Producer. The Events function within the College has grown over the last four years and the College s Annual Conference has become more and more successful each year, including full sponsorship of the event. In addition, the College s Education Provision programme has also developed significantly, providing an exciting and stimulating range of programmes for members to engage with. To complement this work, and to further improve our events offer we have as a core priority to introduce and develop conference programmes, which will be led by the Conference Producer. This is a new role for the College, with lead responsibility for developing industry-leading and commercially viable conference progammes that engage our audience with high profile expert speakers and stimulating content. We are seeking an exceptional candidate to work with a wide range of stakeholders to research topics and speakers within the child health arena. You will be responsible for actively contacting Senior Officers, members of the College, experts and relevant expert speakers, and carrying out research on hot topics. Essentially, you will be given the autonomy to create and manage your own conference programme from concept to delivery of the smooth running of the event. You will be expected to create six successful conferences per year. You will work with an exciting and forward-thinking organisation which encourages independent work and thinking, as well as being a key member of a busy events and marketing team. 3 JOB DESCRIPTION JOB TITLE: Conference Producer GRADE: 5 HOURS: DIVISION: REPORTING TO: BASED AT: 35 hours a week Business Development TBC 5 11 Theobalds Road, London WC1X 8SH The Royal College of Paediatrics and Child Health set and maintain standards for the education and training of all doctors working in paediatrics and child health in the UK. Additionally, through a variety of activities, it influences the quality of medical practice for children in hospital and in the community. The College employs over 160 staff and its London offices are within easy walking distance of both Holborn and Chancery Lane tube stations. The College also has serviced offices in Belfast, Cardiff and Edinburgh. The role of a Conference Producer includes researching, creating and executing profitable industry-leading and commercially viable conference programmes that engages your audience, with high profile speakers and stimulating content. This is a highly intellectually stimulating role, with the opportunity to work closely with a wide range of stakeholders to research topics and speakers within the child health arena. You will be responsible for actively contacting Senior Officers, members of the College, experts and relevant expert speakers, and carrying out research on hot topics. The Conference Producer will work closely with the Business Development and Corporate Relations Manager, Business Development Director and divisions within the College.
4 KEY RESPONSIBILITIES 1. Programme Development Insight Series To lead the research and planning of cutting edge event programmes/topics based on in-depth market research (calling) into the relevant market and topic, as well as engaging with key stakeholders including internal teams, Senior Officers and external stakeholders. To be responsible for developing effective working relationships to ensure that the correct clinical and academic input is received, creating project plans for the development and delivery of events. To be responsible for pitching, inviting and confirming executive level speakers from the leading organisations within the sub industry. To keep abreast of latest industry news to produce cutting edge conference programmes. To pro-actively seek new conference ideas and partnership opportunities with which to develop ideas and/ or work on joint conferences. To lead the development of and maintaining relationships with key sector specialists and organisations within the child health arena. 2. General Events Management To take overall responsibility for the delivery of a programme of events from developing programme content to completion, ensuring speakers and delegates are fully supported. To use project management skills to run a number of concurrent events with clear goals, targets and deadlines. To ensure that the evaluation of events is undertaken and that feedback is appropriately distributed to aid improvement. To be responsible for leading relationships and negotiations with internal and external service providers, e.g. catering facilities, building services, external venues, including site visits and assessments where necessary. For all events, take positive actions to ensure that all teams meet the agreed timescales as per the events service level agreement and be able to respond effectively to changing priorities To undertake other tasks related to the organisation of events and courses as directed by the Events Manager and Business Development and Sponsorship Manager. 3. Budget Management To work with the Finance Team to ensure effective management of event budgets with full compliance to College processes and procedures. To be responsible for identifying potential variances versus budget, and recommend appropriate adjustments.
5 The post holder will be expected to attend the RCPCH Annual Conference (held regionally) which will require an overnight stay of a minimum of 4 nights, and overnight stays for regional events. TERMS AND CONDITIONS Commencing salary 32,107 p.a. (within a salary range of 32,107pa and 39,064pa). One incremental point is awarded each year to the top of the range. Contracts are offered on an initial 6 month probationary period. Annual Leave Allowance 27 days per year rising by one day every two years to a maximum of 29 days plus additional days for College closure between Christmas and New Year (pro rata for part-time and contracted staff). Staff also receive a day s birthday leave if this falls on a working day. Employment Benefits: Contributory Pension Scheme with an employer s contribution of up to 10% 35 hour week (office hours 9-5 Monday to Friday with one hour for lunch) Childcare Voucher Scheme Interest free loans up to a maximum of 7,000 (subject to affordability) on completion of 6 months service Employee Assistance Programme Eye care vouchers Employee Discount Scheme Comprehensive Learning & Development provision The College is expanding and developing the involvement of children in its work. For some roles this may in future mean direct contact with young people. The College therefore may in the future require a Disclosure Barring Service check to be undertaken. Experience of budget management Knowledge and Skills Essential The ability to plan activities thoroughly for self and others. Build milestones into plans, monitor progress and adjust them as necessary in response to any changes Proven research knowledge and strong commercial acumen Relationship building and negotiation skills to create own industry speaker leads and topics Excellent communication skills, both oral and written including excellent report writing skills and the ability to present information in a fluent and persuasive manner to people at a range of levels to deal with senior decision makers, securing top level speakers. An organised, methodical & structured approach to work Self-motivation and the ability to work both independently and as part of a team, including experience working with representative from external organisations.
