2 Job Description Job Title: Responsible to: Hours: Salary: HR Recruitment Officer HR Director 18 hrs per week Mon, Weds & Fri 8,394pa 1 Main Purpose of Post: To support the HR Director in the effective delivery of HR services to the organisation by being specifically responsible for a comprehensive and effective HR Recruitment service across the organisation and maintaining the HR Database. 1. Main Duties: Recruitment 1.1 To review existing recruitment practices and make recommendation for improvements. 1.2 To be responsible for the delivery of an effective centralised recruitment service by: Drafting adverts and finalising these with the HR Director for approval Posting adverts with SCC and other places as appropriate and requested Managing the job vacancies page of the AUKS website ensuring postings are accurate and up to date Circulating all vacancies internally to all staff and volunteers Drafting job descriptions and specifications for roles in consultation with managers and the HR Director Preparing and agreeing with the HR Director application packs for the HR administrators to make up and dispatch to potential applicants Responding to all calls and s relating to job vacancies promptly and efficiently, referring applicants to the HR Director as appropriate and necessary. 1.3 To manage the administration for interview procedures by: Preparing all short-listing documentation and dispatching to managers as appropriate and requested ensuring these are available on the date requested Sending out timely and accurate letters to those candidates shortlisted for interview Preparing interview documents and folders for interview panel members and ensuring these are available on the date requested Providing feedback to applicants as requested Preparing provisional offer letters for signing by the HR Director 1.4 To be a DBS counter signatory and process DBS applications for the organisation 1.5 To keep accurate records of recruitment processes to assist the HR Director to accurately report on recruitment costs 1.6 To cover the work of the HR team members as required and in their absence 1.7 To attend HR team meetings and take an active part in discussions 1.8 To assist with undertaking Home Service Assistant interviews as required by the H R Director

3 HR Database 1.9 To identify data recording needs and research appropriate HR database systems for consideration by the HR Director be responsible for the day to day updating and maintenance of the H R database 1.11 To provide statistical information to the HR Director and other managers on request 1.12 To keep all HR database monitoring records up to date and to produce statistical data for the HR Director annually and on request in relation to the organisation s Employee profile, turnover, absence etc 1.13 To collate recruitment monitoring forms and accurately record data, and to produce statistical information for the HR Director annually and on request in relation to the organisation s applicant profile and the effectiveness of recruitment processes To report regularly to the HR Director on activities and, in particular, any issues impacting on the positive delivery of HR Services 1.15 To undertake any other tasks as may be requested by the H R Director 2. Personnel 2.1 No specific line management responsibility. 2.2 To work co-operatively with other members of the H R team and other AUKS managers and staff to ensure the best possible service is provided by HR. 3. Finance 3.1 To operate within the internal financial and administrative procedures of the organisation. 3.2 To assist the HR Director in the planning of recruitment budgets. 4. Service Development 4.1. To contribute ideas for the development or improvement of new services 4.2 To contribute ideas as a member of any relevant group or team to developments in existing systems, procedures and working practices. 5. Quality Assurance 5.1. To ensure high quality customer service is delivered to everyone who receives a service of any kind from the organisation 5.2 To ensure work is carried out in accordance with any quality assurance system, service standards or agreed targets in place. 5.3 To monitor and evaluate performance against standards or agreed targets or assist in this process. 6. External Relations 6.1 To ensure that everyone that the post holder comes into contact with whether in person or by telephone or other form of communication (regardless of their attitude) are dealt with in a friendly, courteous and efficient manner as expected of a caring organisation. 6.2 To develop and maintain good working relationships with individuals and organisations in the statutory, voluntary and private sector as appropriate and required for the role.

4 6.3 To promote the work of Age UK Suffolk whenever possible and appropriate. 7. Internal Relations 7.1. Age UK Suffolk aims to maintain goodwill among all its staff and volunteers. PROBATIONARY PERIOD: The post is subject to a 6 month probationary period 7. PENSION: Auto-enrolment into a contributory pension if statutory criteria met or voluntary option to enroll if not. 8. HOLIDAY: 23 days plus bank holidays, pro rata for part time staff. 9. SMOKING: All Age UK Suffolk premises are 'No Smoking' areas. 10.
