1 Barney s Order Exprt Wizard by Barney Stne Sftware Barney s Order Exprt Wizard is an add-n prgram fr the Mnsn Stne Edge rder management system (frmerly called the Stne Edge Order Manager). The Order Exprt Wizard makes it easy t exprt selected data frm Stne Edge int text files that can be used with ther systems, such as spreadsheets, accunting prgrams r bulk services. Once the Wizard is installed, it can be accessed via the Stne Edge Main Menu. The Order Exprt Wizard is available in tw editins. The Standard Editin will nly wrk with Micrsft Access data files, such as thse created by the Standard Editin f Mnsn Stne Edge. The Enterprise Editin is required fr use with the Micrsft SQL Server data files that are used by the Enterprise Editin f Mnsn Stne Edge. Sectin 1: Installing the Order Exprt Wizard 1. Dwnlad the installer prgram frm Barney Stne Sftware and save it n ne f the cmputers that yu use t run Mnsn Stne Edge. 2. Get everyne ut f the Mnsn Stne Edge prgram, and any ther prgrams that use Stne Edge s data files. 3. Open the installer prgram that yu dwnladed frm Barney Stne Sftware. The fllwing menu will appear: 4. Click the Begin buttn t install the Wizard. Prgress infrmatin will appear at the bttm f the frm n yur screen. 5. When the Dne! message appears n yur screen, click OK t exit the Installer. 6. 2 The Special Functin Menu Mnsn Stne Edge can be cnfigured t add an ptin t its Main Menu, and t pen a custm frm when that ptin is clicked. Hwever, it is limited t a single custm frm, and many users need mre than that. We created the Special Functin Menu t slve that prblem. The Special Functin Menu is included at n additinal charge with all Barney Stne Sftware add-n prgrams. It can be used fr any Barney Stne Sftware prducts that yu purchase, plus yur wn custm frms and functins. It currently supprts up t 10 buttns, each f which can pen a frm r call a custm functin. An example f the Special Functin Menu, with tw Barney Stne Sftware prducts installed: When yu install the Order Exprt Wizard, the installer will als install the Special Functin Menu. It will set Stne Edge s system parameter called SpecialMenu t BS Special Functin Menu, which is als hw the ptin will appear n the Main Menu. The installer will add a buttn t the Special Functin Menu t pen the Order Exprt Wizard. If yu are already using the SpecialMenu ptin t pen a custm frm, the installer will autmatically create the necessary buttn t pen that frm, t. If the Special Functin Menu was installed previusly, the installer will just add a new buttn fr the Order Exprt Wizard. Mst users will nt have t mdify the Special Functin Menu. If yu wuld like t add yur wn buttns t the Special Functin Menu, change the menu title, create custm menus fr different Stne Edge users, r cntrl which f the three buttns appear at the bttm f the menu, click here fr mre infrmatin. 3 Sectin 2: Starting the Order Exprt Wizard Once the Exprt Wizard has been installed, the Mnsn Stne Edge Main Menu shuld include an ptin fr the BS Special Functin Menu. 4 When yu click n that link, the Special Functin Menu will appear: The actual frmat f the menu may differ frm the abve example. The menu title, the number, rder and labels n the buttns, including which buttns appear at the bttm f the menu, are all cnfigurable. See Cnfiguring the Special Functin Menu fr mre infrmatin. Click the Order Exprt Wizard buttn t pen the Order Exprt Wizard. 5 Sectin 3: The Build Field Lists screen The Order Exprt Wizard lets yu create and save as many field lists (templates) as yu need. Each list includes: the fields that will be exprted and the rder in which they will appear whether r nt t include clumn headings in the first rw f the text file the clumn headings t use fr each field whether the text file will be cmma- r tab-delimited whether the text file will have ne rw per rder, r a rw fr every line item in the rders fr multiple rws per rder, whether t have rws fr nn-prduct line items (tax, shipping, etc.) fr ne rw per rder, hw t separate data (e.g. SKUs, prduct names, etc.) frm multiple line items Barney s Order Exprt Wizard 2013 Barney Stne Sftware. 6 Hw Data is Frmatted It is imprtant t understand hw data frm different surces will appear in yur text files. If yu exprt ne rw per rder: Each rder will generate a single rw f fields in the text file. Line item data frm numeric and currency fields can be ttaled. Line item data frm text fields can be merged and frmatted fr easy reading. If yu exprt multiple rws per rder: The first rw fr each rder will include rder and custmer data. It will nt include data frm line items. An additinal rw will be added fr each line item. Yu can determine whether nn-prduct line items (e.g. tax, shipping, etc.) are included. Data frm Orders and Custmers can either be repeated r left blank n detail rws. If yu include data frm Transactins, Tracking r Packing, additinal rws will appear fr thse fields. The first (left-mst) clumn will be added autmatically, and will indicate the surce f the data (Line Items, Transactins, Tracking r Packing) n each rw. It shws the surce f the data n each rw. The Repeat ptin. The Order #, which des nt have the Repeat ptin selected, nly appears n the first rw fr each rder. The Custmer ID is repeated n every rw because it des have the Repeat ptin selected. The SKU, Unit Price, Qty and Subttal clumns d nt shw data n the first rw fr each rder, because they cme frm the line items. The Merged Data Delimiter (Line Feed, Cmma, Semicln, etc.) that is stred with each field list is inserted after each entry within a field. The Shw Sum ptin: The Subttal clumn n the first rw fr each rder nw shws the ttal fr the line items under that rder because it uses the Shw Sum ptin. Example 3: One rw per rder, n ttals: Data Order # Custmer SKU Unit Qty Subttal Amunt Surce ID Price Orders EAN (n data) Orders (n data) Ntes: When utputting ne rw per rder withut using the Shw Sum r Merge Data ptins, the prgram will insert data frm the first line item int the fields n the rw fr each rder. The Unit Price and Qty clumns shw the data frm the first line item because the Shw Sum ptin was nt selected fr thse fields. Building Field Lists G t the Build Field Lists tab. Start by setting the text file ptins: Select Cmma r Tab Delimited. Tab Delimited is the recmmended ptin if the system that yu will be using the text files with is cmpatible with tab delimited files. If yu want the first rw in the text file t cntain clumn headers (field names r aliases that yu can create here), put a check mark in the Include Field Names checkbx. T include data frm nn-prduct line items (shipping, sales tax, discunts and surcharges, etc.), check the Include nn-prduct line items ptin. T limit the utput t a single rw fr each rder, regardless f the number f line items per rder, check the Limit t ne rw per rder ptin. When exprting ne rw per rder: Numeric fields (e.g. prices, rder ttals, etc.) can be cnfigured t exprt the ttals fr each rder. Text fields frm line items (e.g. SKU, Item Name, etc.) can be cnfigured t separate the data frm individual line items with carriage returns r ther delimiters s they are easier t read. 9 Next create the list f fields t exprt Each list can include data frm Orders, plus related data frm Order Details (line items), Custmers, Inventry, Packing, Tracking and Transactins. (Transactin data wn t include sensitive custmer data.) When yu select a Table, the list f Fields will change t shw the available fields frm that table. T add a field t the list, select a Table and a Field. The Field Label will default t the name f the field. Yu can enter a different field label (alias) here fr use with the Include Field Names ptin. Click Add Field t List t add the selected field t the current field list. Once a field is in the list, yu can set additinal field ptins by checking them in the list: Shw Sum Only applies t numeric and currency fields. If exprting ne rw per rder, exprt ttals per rder fr this field? Merge Data Only applies t text fields. If exprting ne rw per rder, merge the data frm this field in all f each rder s line items int ne field per rder in the text file? Repeat Only applies t fields frm Orders and Custmers. 10 Use the Up and Dwn Arrws t change the rder in which fields (clumns) will appear in the text files. Select the field t mve by clicking anywhere in its rw Click the Up Arrw r Dwn Arrw t mve the selected field up r dwn T delete a field frm the list, select the field by clicking anywhere in its rw, then click Delete Selected Field. T clear all f the fields frm the current list, click Delete All Fields. When yu are finished with the list, click the Save List buttn. The prgram will ask fr a name fr the list. Descriptive names are recmmended. T edit an existing field list, select it frm the drp-dwn list at the tp f the screen. The list and its frmatting ptins will appear filled-in belw. Fllw the steps abve t make any changes that yu need. When yu are finished, click the Save List buttn. Yu can save the edited list using the same name, r create a new list by saving it under a different name. 11 Sectin 4: The Create Select Statements Screen Use this screen t create re-usable select statements. Yu can assign default select statements t field lists. Yu can als pick a stred select statement t use just befre yu exprt data. As yu create and edit select statements, the prgram will shw yu which rders the current selectin will include. Yu can view thse rders in a list frm r ne at a time with rder details. Creating Select Statements T see examples f SQL Select Statements, click the Select Orders buttn. The familiar Search fr Orders screen will appear. Enter sme selectin criteria, then click Begin Search. The SQL select statement fr the search criteria that yu entered will appear in the SQL Select Statement area n yur screen. T create a select statement, yu can either: Enter the SQL select cde manually int the SQL Select Statement space n yur screen. Or click Select Orders t use Stne Edge s Search fr Orders screen. The resulting SQL cde will appear n the screen where yu can edit it as necessary. Each time yu change the SQL Select Statement, the prgram will display the resulting rders in the space belw. 12 Use the View ptins t change hw the list f selected rders is displayed. Select List f Orders t shw multiple rders at a time in a ne-rw-per-rder frmat. Select Detailed View t shw detailed infrmatin abut ne rder at a time in this frmat: When yu have the statement selecting the crrect recrds, click Save Select Statement t save it. The prgram will ask fr a name fr the select. We recmmend using descriptive names. T edit an existing select statement, chse it frm the drp-dwn list at the tp f the screen. The SQL statement will appear in the space belw, where yu can edit and test it. T delete an un-needed select statement, chse it frm the drp-dwn list at the tp f the screen, then click the Delete Select Statement buttn t the right f the drp-dwn list. 13 Sectin 5: The Assign Select Statements Screen Use this screen t assign default select statements t any f yur field lists. That will be helpful if yu frequently need t exprt the same list f fields fr a specific selectin f rders. Nte that what is stred is the SQL select statement, NOT the list f selected rders. S the actual rders that are exprted are determined at the time when yu d the exprt. Fr example, if yur select includes rders apprved in the last 30 days, the list f rders that get exprted will be different depending n when yu exprt the data. T assign a default select statement t a field list: Select the Field List Chse the Select Statement Click the Save buttn. 14 Sectin 6: The Exprt Data Screen Once yu have created ne r mre field lists, it is very easy t exprt data. Select the field list t exprt If the selected field list has a default select statement assigned t it, the name f that select statement will appear in the list f Select Statements, and the rders that meet thse selectin criteria will appear in the list at the bttm f the screen. T change which rders will be included in the exprt, either chse a different Select Statement frm the drpdwn list, r click the Select Orders buttn t use the Search fr Orders screen. The rders that meet thse selectin criteria will appear in the list at the bttm f the screen. Use the View ptins t change hw the list f selected rders is displayed. Select List f Orders t shw multiple rders at a time in a ne-rw-per-rder frmat. Select Detailed View t shw detailed infrmatin abut ne rder at a time. Click the Begin Exprt buttn t begin exprting yur data. The prgram will ask fr the file name and the lcatin where the new text file shuld be created.
