1 Perfrmance Management Reprts Overview Definitins This instructinal guide identifies the steps fr prcessing perfrmance management reprts in Perfrmance & Talent Management within Peple First. Reprt templates are available fr bth the perfrmance expectatins setting and evaluatin prcesses. The fllwing are the definitins relevant t this instructinal guide: My Dashbard (Dashbard) hme page fr Perfrmance & Talent Management. Perfrmance & Talent Management navigatin tab frm the Peple First hme page where perfrmance expectatins are set, perfrmance evaluatins are cnducted and perfrmance evaluatins that were cmpleted in Peple first (July 1, 2013, frward) are stred. Perfrmance Expectatins Reprts standard expectatins reprts that can be used as a template t create custmized perfrmance expectatins reprts. Perfrmance Evaluatins Reprts standard evaluatins reprts that can be used as a template t create custmized perfrmance evaluatin reprts. Primary Navigatin Menu duble arrw buttn within Perfrmance & Talent Management (n Dashbard) that allws direct access t perfrmance management reprts. Reprt Grid table that displays the data fields (reprt clumns) and data fr a selected reprt. The fllwing are the ptins available within the reprt grid: Advanced Filter allws the user t create cmplex filter criteria using grups f filters. Clear Filter remves filters (drpdwn r text) that have been applied t the reprt grid. Hide Filters hides reprt filters (drpdwn r text) fr a selected reprt. Reprts allws the user t exprt the reprt data t Excel r CSV (cmma separated values) frmat. Run Filter applies filters (drpdwn r text) that have been selected s that nly certain data is displayed. Filtering des nt permanently remve recrds it just temprary hides them frm view. Save View allws the user t save a custmized reprt (view) fr future use. Custmized reprts (views) are nly available t the reprt creatr. Select View lists all the reprt templates available, based n the type f reprt (Perfrmance Expectatins r Perfrmance Evaluatins) selected frm the Primary Navigatin Menu. Set Clumns displays all data fields that are available t be imprted t the reprt grid. This functin allws the user t add r remve data fields (reprt clumns). PMR - 1 Last Updated n June 18, 2013
2 Perfrmance Management Reprts Shw Filters displays reprt filters (drpdwn r text) that can be used t set cnditins s that nly certain data is displayed. Perfrmance Expectatins Reprts The fllwing are the perfrmance expectatins reprts that are available within Perfrmance & Talent Management: Expectatins Detailed Listing by Emplyee identifies all perfrmance expectatins fr each emplyee (emplyee in Perfrmance Expectatins Setting Cmpleted step). Perfrmance Expectatins Status identifies which step (i.e., Set Perfrmance Expectatins, Emplyee Acknwledgement, Perfrmance Expectatins Setting - Cmpleted) the emplyee is within the perfrmance expectatin prcess. Expectatins Pending the Manager identifies emplyees whse perfrmance expectatins have nt been set by the manager (emplyee in Set Perfrmance Expectatins step). Expectatins Pending Emplyee Acknwledgement identifies emplyees whse perfrmance expectatins have nt been acknwledged (emplyee in Emplyee Acknwledgement step). Expectatins Acknwledgement Cmpleted by Manager identifies emplyees whse perfrmance expectatins were acknwledged by the manager (emplyee in Perfrmance Expectatins Setting Cmpleted step). Expectatins Acknwledgement Cmpleted by Emplyee identifies emplyees wh acknwledged their wn perfrmance expectatins (emplyee in Perfrmance Expectatins Setting Cmpleted step). Perfrmance Evaluatins Reprts The fllwing are the perfrmance evaluatin reprts that are available within Perfrmance & Talent Management: Perfrmance Evaluatin Status identifies which step (i.e., Perfrmance Evaluatin, Secnd-Level Review, Ready fr Emplyee Acknwledgement, Emplyee Acknwledgement, r Perfrmance Evaluatin Cmpleted) the emplyee is within the perfrmance evaluatin prcess. Evaluatin Acknwledgement Cmpleted by Manager identifies emplyees whse perfrmance evaluatin was acknwledged by the manager (emplyee in Perfrmance Evaluatin Cmpleted step). Evaluatin Acknwledgement Cmpleted by Emplyee identifies emplyees wh acknwledged their wn perfrmance evaluatin (emplyee in Perfrmance Evaluatin Cmpleted step). Evaluatins with Overall Rating Belw Satisfactry identifies emplyees whse verall rating is belw 3.0 (emplyee in Perfrmance Evaluatin Cmpleted step). Evaluatins with Overall Rating f Outstanding identifies emplyees whse verall rating is 4.50 r abve (emplyee in Perfrmance Evaluatin Cmpleted step). PMR - 2 Last Updated n June 18, 2013
3 Perfrmance Management Reprts Administratively Clsed Evaluatins identifies emplyees whse perfrmance evaluatin was clsed (i.e., manager r emplyee did nt cmplete the prcess) by the service center (emplyee in Perfrmance Evaluatin Cmpleted step). Rating f Nne Given Selected fr all Expectatins identifies emplyees wh were rated as N Nne Given n all perfrmance expectatins (emplyee in Perfrmance Evaluatin Cmpleted step). Authrizatin Prcess Steps Human Resurce (HR) staff with a security rle f A, H, U, X and Y can prcess perfrmance management reprts statewide. Managers can prcess reprts fr emplyees that reprt directly t them, as well as emplyees within their reprting structure. Reprts are lcated in the primary navigatin menu n the Dashbard within Perfrmance & Talent Management. Fllw the steps belw t run a perfrmance management reprt: Step 1: Select the Perfrmance & Talent Management tab n the Peple First Hme Page Step 2: Select the primary navigatin menu frm the Dashbard Step 3: Select either Perfrmance Expectatins Reprts r Perfrmance Evaluatins Reprts frm the primary navigatin menu PMR - 3 Last Updated n June 18, 2013
4 Perfrmance Management Reprts Step 4: Select a specific reprt t run frm the Perfrmance Expectatins Reprts r Perfrmance Evaluatins Reprts drpdwn menu The reprt grid is presented with data based n the reprt template selected. Nte: The data in the reprt grid can be srted by clicking n the clumn headings. Click nce t srt in ascending rder and click again t srt in descending rder. An up r dwn arrw icn will be displayed next t the clumn heading t identify hw the data is srted. Step 5: Select Set Clumns in the reprt grid t add, remve and srt data fields (reprt clumns). Step 6: Add, remve and srt data fields (reprt clumns). Add Field highlight the apprpriate field frm the Available Clumns sectin; select the green right facing arrw t mve the fields t the Selected Display Clumns. Remve Field highlight the apprpriate field(s) frm the Selected Display Clumns sectin; select the red left facing arrw t mve the fields t the Available Clumns. Srt Order highlight the apprpriate field frm the Selected Display Clumns sectin and select the up r dwn arrw t rerder the reprt clumns. Select OK t apply the changes. 5 Perfrmance Management Reprts Step 7: Select Shw Filters t display reprt filters (drpdwn r text) fr each data field (reprt clumns). Step 8: Apply apprpriate filters t reprt grid. Select the apprpriate filter type (e.g., starts with, cntains, equals t) frm the drpdwn under each clumn heading. Enter the infrmatin t be filtered (sme filters cntain data that must be selected r dates t select frm). Nte: The data fr HR staff is defaulted t statewide; in rder t view data fr wn agency, apply the filter by agency. Select Run Filter t apply filters that have been selected. Select Clear Filter t remve filters that have been applied t the reprt grid that are n lnger needed. Nte: This step shuld nt be cmpleted if the reprt will be saved as a custm view. Step 9: Select Save View t create a custm reprt (view) fr future use. PMR - 5 Last Updated n June 18, 2013
6 Perfrmance Management Reprts Step 10: Save the custm reprt (view). Enter the custm reprt (view) name in the View Name field. Select Save t create the custm reprt (view). Once saved, the custm reprt (view) will shw in the reprts listing within the Primary Navigatin menu as well as the Select View within the reprt grid. Step 11: Exprt data frm reprt grid. Select Reprts, then chse the frmat (Excel r CSV) t exprt data. Select Exprt t dwnlad the reprt. Reprts with less than 500 rws will pen instantly. If the reprt cntains mre than 500 recrds, select the Exprt All Rws f Data (Mre Than 500 Rws) checkbx. The reprt will be ed t the user s wrk address in Peple First.
