1 Job Description POST: RESPONSIBLE TO: SALARY: LOCATION: WORKING PATTERN: DISCLOSURE LEVEL: HR Administrator Lead Recruitment and Selection Specialist NJC SP 14-18, Inner London ( 19,222-20,665 per annum) + Local Government Pension Scheme) Milbank, First Floor, London, SW1P 4QP 37 hours/week, 52 weeks per year Enhanced JOB PURPOSE: The HR Administrator will be responsible for all new starter HR administration for national office and new Academy employees (excluding senior leaders) prior to Academy transfer. They will also be the first point of contact for all general HR queries from national office and academy employees, and as such be the face of the HR Team, providing a professional, efficient end friendly service and ensuring all matters are dealt with in a timely manner. The HR Administrator will also be expected to undertake PA duties for the Head of HR and provide administrative support to the wider HR team in areas such as travel arrangements, financial administration, meeting booking and general record keeping and filing tasks. SPECIFIC RESPONSIBILITIES: New Starter Administration For national office new starters and new academy employees (excluding senior leaders) prior to Academy transfer: To work closely with the Recruitment Officer to ensure accurate and timely handover of candidates following offer acceptance. To draft offer letters for new starters and ensure they are sent out in a timely manner along with all relevant new starter documentation. To enter all relevant information into Midland i-trent for all centrally based new starters for Oasis Community Learning, preparing and dispatching employment contracts and ensuring timely signature and return by individuals. In line with policy and legislation, to undertake electronic Barred List Checks, Teacher Registration Checks and Disclosure and Barring Service checks across Oasis Community Learning.

2 To undertake the administration of pre-employment health assessments for newly appointed central staff and assist the HR Officer when required on undertaking this for Academy Principals/Headteachers. To develop and maintain spreadsheets and trackers to ensure all relevant HR information is collected and maintained (e.g. DBS checks, dispatched and returned new starter paperwork and contracts etc.). To be responsible for putting together and maintaining new staff personnel files, ensuring the correct paperwork is in place and cross-referencing with i-trent and the Recruitment Tracker to ensure completeness. When required, to audit new starter files and chase new employees for relevant documentation to ensure everything is in place prior to appointment commencing For new academies, under the supervision of the HR Officer, to be responsible for populating the Single Central Record, chasing information when required and ensuring the highest levels of accuracy are maintained. To create staff ID badges and arrange delivery. Generalist HR Support/Administration To be the first point of contact for HR queries (phone and ) from national office employees and academy based staff. You will provide a professional, polite and responsive service, dealing with queries where appropriate or assigning them to other team members and ensuring a timely response is received. With guidance/instruction from the HR Officer and Payroll team, to use i-trent and relevant spreadsheets to update payroll details and check salary and other relevant details are correct prior to payroll deadlines. To be responsible for administering contract changes/amendments for National Office Employee s, ensuring appropriate forms and documentation are submitted and that the changes are processes in an accurate and timely manner. To process the required paperwork for National Office leavers, ensuring deadlines are met and accuracy is maintained. To be responsible for the administrative aspects of Settlement Agreements checking paperwork, arranging for appropriate authorisation and payment in timely manner and recording progress in a spreadsheet and sending copies to all relevant parties. During busy times, to undertake recruitment duties as guided by the Recruitment Officer and Lead Recruitment and Selection Specialist. This could include (but is not limited to) posting jobs, arranging interviews, printing recruitment packs, undertaking document checks and facilitating selection activities). Team Administration/Support To take calls and pass messages for team members when they are unavailable. To meet and greet visitors for the team, being friendly and professional in order to make a positive first impression. To undertake general filing, typing, formatting, printing, etc. as and when needed by the team. To alert the ICT department if there are problems with IT equipment and assist team members with any IT issues they may be experiencing.

3 To arrange monthly, National HR meetings, HR Team Meetings and other meetings as requested, booking rooms, arranging phone conferences/lync connections, printing and collating resources, setting up IT equipment and ordering lunch and refreshments To be responsible for keeping the HR and Academy contact sheet up to date and distributed amongst team members. To be responsible for the HR team post (sorting, opening, dating, distributing). To book travel and accommodation for team members as and when required. To undertake other ad-hoc administrative duties as requested by the head of HR, Lead Recruitment and Selection Specialist, HR Officer and wider HR team. To be responsible for financial administration within the team including keeping appropriate records, overseeing use of the team credit card and arranging payments, raising purchase requisitions, coding invoices, obtaining appropriate sign-off, liaison with finance and generally ensuring accuracy and payment in a timely manner. PA to Head of HR To manage the diary of the Head of HR and organise meetings and travel itineraries To assist the Head of HR with projects and case work as necessary. To attend and produce minutes when required for relevant meetings and hearings, ensuring high levels of accuracy at all times. To undertake other tasks as required as directed by the Lead Recruitment and Selection Specialist and Head of HR. The nature of this post will require flexibility to meet urgent work needs as they arise. This will inevitably entail some work outside normal office hours. Maths and English GCSE at Grade C or above (or equivalent). CIPD HR qualification. Qualified to degree level. Experience, Skills & Knowledge Experience of working in a busy administrative role. Ability to manage conflicting demands and competing priorities. Experience in a role that involved dealing with a variety of customers/stakeholders. Excellent verbal communication and interpersonal skills. In particular, an excellent phone manner. A high level of accuracy and attention to detail. Experience of working in a school or educational organisation Experience of working in a HR administration role Experience in a PA role Working knowledge of HR systems and employment law Experience of using i- Trent or a similar HR system Strong administrative and organisational skills.

5 A high level of written English ability to write clearly and concisely. Good IT skills with particular knowledge of Microsoft Office Packages including Word, Outlook and Excel.
