3 Job description and person specification Reporting to: Purpose of job: Database Manager To provide administrative support to the fundraising team Band: 1 Salary: 18,000-25,000 (based on experience) Hours of work: 37.5 hours per week Duties and responsibilities: To be the first point of contact to TSNs current and potential supporters who contact us by telephone, letter or in dealing with enquires, requests for information and complaints as appropriate Maintain accurate records by ensuring that all correspondence and contacts are recorded on TSNs fundraising database, The Raiser s Edge To process all fundraising income according to agreed procedure and be the liaison between finance and fundraising during the end of month reconciliation process Produce and send thank you letters using Raiser s Edge mail merge functionality, monitor these letters to ensure that they contain up to date, accurate and appropriate content Administer the processing of all of Direct Debits and standing orders Upload bulk data by running Global Adds and performing data imports on Raiser s Edge Support TSNs management of Gift Aid and make sure that all gift aid declarations entered onto the database are valid and compliant with HMRC regulations. Contribute to the development of database procedures and workflows, in particular taking responsibility for data entry procedures Participate in the planning and delivery of any fundraising activity which impacts supporters such as our regular appeals and annual raffle Assist the Database Manager with post campaign and monthly reporting, making interpretations and recommendations where necessary on future marketing activity General responsibilities: Contribute to Fundraising team weekly planning meetings 3

4 To undertake any other tasks, duties or projects which may arise from time to time Person specification: Essential: Excellent communication, interpersonal and networking skills Experience in a customer/supporter care role Good IT and web-based skills, including an high level of proficiency on Microsoft Office Programmes, particularly Access, Excel and Word Experience of using charity databases particularly Raiser s Edge Experience of working independently with set targets Highly motivated and able to work independently and within a team Ability to prioritise workload and use own initiative to identify and solve problems as/when they arise Desirable Telemarketing experience A good understanding of the principles of fundraising and marketing An understanding of data protection rules An understanding of the HMRC Gift Aid Scheme Experience working in the voluntary sector Qualifications required Minimum requirement GCSE s/a Level These duties must be carried out with due regard to the Teacher Support Network Equal Opportunities Policy, Health & Safety procedures and undertake duties in line with the Charity's and other relevant codes of practice. 5 What we do We want to keep teachers in teaching. We do this by being the only charity in the UK to provide practical and emotional telephone and online support, 24 hours a day, 365 days a year, to any teacher, at any stage of their career, at any age, in any role, in any type of school, with any union. Who we are In 1877, it was recognised that an organisation for teachers was needed, so the Teachers' Benevolent Fund was created. Since then the charity has gone from strength to strength, helping teachers, their families and their dependents. Last year, thanks to generous donations from teachers, we were able to help one teacher every 24 minutes*. In 1999, the charity launched the Teacher Support Line. It was instantly popular. In 2001, the charity was renamed Teacher Support Network. A year later, Teacher Support Cymru was created. Today, our help is needed more than ever. In the future, we hope to do even more for teachers, such as a national survey into the health and wellbeing of teaching staff, the development of new online tools and help to improve the status and recognition of teachers. Who we help We help all teachers at any stage of their career. This includes: trainee teachers newly qualified teachers (NQTs) serving teachers 5

6 supply teachers headteachers retired teachers union reps We also help the families and dependents of teachers. How do we help Our work complements that of the unions and can be categorised in two ways: crisis intervention and prevention. Crisis Intervention We offer the following for teachers at times of crisis: Coaching: our certified coaches will ask questions to understand your situation and will then help you set short term goals, so that you can find a way forward. Counselling: if your current situation is more serious, it may be appropriate for you to have up to six telephone counselling sessions with one of our British Association for Counselling and Psychotherapy (BACP) accredited counsellors. Money advice: we can help you through your financial problems with coaching from one of our money advisors. Grants: some teachers may be eligible to receive financial assistance. We offer emergency grants. Terms and conditions apply. Information: our coaches have a thorough understanding of the education system and the details of life in the classroom. Our website is full of factsheets, guides and tools to help you find your own solutions. Signposting: we may not always have the answer to your problem, but we will point you in the direction of other organisations that may be able to help Prevention We passionately believe in teachers and we want to improve their status and recognition. We do this through: Our recent successes include being involved in the national consultation on behaviour and producing guidance for teachers on supporting pupils' parents. Policy: we work with the Government, charities, stakeholders and all of the teaching unions to help improve education policy. 6

7 Research: we believe to truly help teachers we must first understand their needs. Our research ranges from detailed academic study to quick e-newsletter polls. Whatever the size, this research is invaluable in improving the understanding and status of teachers in their communities. The Fundraising Team: The team is made up of: Head of Operations Database Manager Fundraising and Database Administrator P/T Development and Fundraising Officer (New Role) The Fundraising Team is responsible for raising income for the charity and operates across the organisation with other departments to build and maintain our supporter and donor databases 7

9 Teacher Support Network s recent achievements Over the course of 2011 there were over 21,000 incidents (calls or s) for the Group as a whole. In this period, we helped nearly 10,000 people providing counselling, coaching, money advice, information and signposting services. Last month, we relaunched the Teacher Support Network website with the aim of concentrating on improving navigation, search and generally de-cluttering the site. We are already seeing an increase in usage and length of stay. We plan, to redevelop the Recourse website later this year. Teacher Support Network celebrates its 135 th anniversary in This will be the focus of our 2012 Summer Raffle and we have produced a new video, to much acclaim, highlighting our many years of achievements. Our new Recourse video: Do you know what your colleagues are thinking? also proved highly popular at the union conferences. Our Chief Executive is often in the media spotlight with articles in trade, local and national press publications, as well as appearances on national broadcast media. Dame Carol Black co-hosted a roundtable event with Teacher Support Network at the House of Lords where key figures from education and workplace health met to discuss mental ill-health in education and how Dame Carol Black s recommendations could apply to the sector. In 2012, we aim to fundraise to conduct an evaluation of the health of those in the education workforce. The development of a new product called BeWellTeachWell in association with the University of Australia and NASUWT to be launched in late Comments from our users: Vital service that is needed when teachers are under unbelievable stress.
