2 Benefits 12 month interest free season ticket loan 25 working days paid holiday, in addition to Public Holidays Employer s Ethical Investor s Stakeholder Pension Scheme Generous training and professional development allowance Flexible working hours Childcare Voucher Scheme Ride-to-Work Bicycle Scheme Terms and conditions Three month probationary period Summary of post As part of the organisational wide Digital Transformation project the Systems Administrator will play a pivotal role in the implementation and on-going success of the newly deployed Salesforce CRM database; by providing training, support and maintenance of the system this role will ensure colleagues are enabled to use this new resource to better deliver their objectives as part of the wider organisational strategy. This role will champion the CRM database to technology stakeholders within the organisation; acting as the initial point of contact for all Salesforce and related apps user queries. Where queries can t be fixed internally, the System Administrator will then liaise directly with Salesforce and/or other external third party suppliers to reach a resolution. Working with colleagues in Development and Communications, the role will be responsible for producing mailing files and data analysis for all fundraising, marketing and campaigning activities, in addition to carrying out data imports and ensuring the accuracy and integrity of the system. The role will also provide on-going support to the Finance team with reconciliation, Gift Aid and other reporting requirements. Main purpose of the job 1. Successfully implement the new Salesforce CRM database, Engaging Networks, and other applications deployed to achieve organisational objectives, including workflow triggers, workflow alerts, automated responses, create customised fields and templates. Ensure these tools are collectively kept up-to-date and fit for purpose, scoping new technology as required. 2. Provide support to colleagues across the organisation through the production of campaign and appeal data selection files from the organisation s Salesforce CRM database.

3 3. Efficiently and effectively import supporter and donation files produced by 3 rd party agencies into the Salesforce CRM database. 4. Ensure data integrity and accuracy by carrying out regular data housekeeping tasks to data held in the Salesforce CRM database. 5. Ensure Salesforce CRM database is kept up to date with information from the organisation s broadcast and online activism tool, Engaging Networks. 6. Support colleagues across the organisation in their use of Salesforce CRM database, with particular focus on the fundraising, communications and finance departments. 7. Identify and anticipate user training needs from new recruits to on-going top-up training, as required to help colleagues achieve their objectives. 8. Develop reporting solutions to help colleagues turn business requirements into meaningful and insightful reports and dashboards. 9. Take ownership for, and maintain system documentation. 10. Ensure that users are aware of functions, capabilities and potential applications by communicating new features and functionalities of the Salesforce CRM System, as and when, they become available. 11. Manage, monitor and maintain user accounts; including transferring ownership of accounts/contacts/opportunities, offering help and support to low/non-users and exploring opportunities for process improvement. 12. Ensure that the organisation works within the boundaries of data protection legislation and follows the Institute of Fundraising requirements for the protection of personal information and the privacy of individuals. 13. Set, monitor and forecast and report income and expenditure budgets in line with established financial regulations. 14. As and when required, proactively support the wider team and assist with supporter and customer care enquiries. 15. At the request of the Development Director or any other senior colleague undertake any other duties consistent with the post and assist with other areas of work as required.

4 Scope of the job Support the Development & Communications Team Creation of segmented mailing files for all postal communications to supporters Creation of prospect files for all telephone marketing activity Produce segmentation/exclusion files for activity Creation of appeal/segment/pack codes for all marketing activity. To either carry out or support the importing of donation details received in response to marketing activity. To provide analysis of the responses received to marketing activity. Import supporter details gathered through online lead generation techniques. Produce supporter files to be imported into the broadcast tool, Engaging Networks. To run Gift Aid claims as required. Produce regular and ad-hoc management reports as required. Carry out regular data housekeeping tasks to maintain integrity of data Ensure the accuracy of records held within Salesforce CRM database. Carry out updates (routine or one-off) to supporter records. Identify and amend errors on supporter records. Identify and merge duplicate supporter records.

5 As required, liaise with external suppliers to carry out cleansing of the data held in Salesforce CRM Database to ensure the accuracy of information held. Support the use of Salesforce CRM database within the organisation Provide support and troubleshooting service to users of Salesforce CRM database, in particular the Supporter Engagement and Finance teams. Carry out one-to-one training with staff on the use of Salesforce CRM database. Produce and update process documentation. Install and configure Salesforce CRM database on pcs. Create new user accounts as required. Add additional attributes and/or drop down list values to fields in Salesforce CRM database. Scope and support the second wave of the Salesforce CRM rollout Scope the benefits and requirements to move remaining databases into the Salesforce system. These systems include: B2B Goldmine Database and First Class Legacy systems. Additional duties Provide assistance with the use of Excel to other members of staff as required, for example to carry out mail merges. To write queries and carry out data analysis on supporter data as required

6 Qualifications and personal specification The requirements listed below are representative of the knowledge, skill, and/or ability required. Essential Desirable Knowledge and technical abilities Working knowledge of a supporter fundraising or membership database system. Working knowledge of using Salesforce CRM database in a similar role. Previous experience of working in, or alongside a Direct Marketing function. Knowledge of SQL Server, in particular creating views. Relational database theory. Knowledge of statistical analysis principles. In depth knowledge of Microsoft Office, in particular Excel & Access. Experience of budget management and internal financial reporting. Report writing and data analysis skills. Excellent numerical skills. Education and Qualifications Qualification to degree level in a related subject. Qualification in Access and/or Excel Database related qualification. Skills and abilities Ability to identify user needs and to produce/communicate solutions in nontechnical language. Ability to work to deadlines. Understanding of a Fundraising and Digital environment. Previous training experience. Excellent verbal & written communication skills.
