1 JOB TITLE: JOB HOLDER: Team Administrator Community & Events Fundraising A temporary worker is currently in this post DEPARTMENT: Fundraising & Marketing DIRECTORATE/NATIONAL OFFICE: MSNC LOCATION: London MANAGER S NAME: Jenny Pearce MANAGER S JOB TITLE: Community Fundraising Manager JOB TITLES REPORTING TO ROLE: None Part 1: JOB PROFILE 1 MAIN PURPOSE OF JOB To provide administrative support and exceptional customer service to all MS Society fundraisers and administer some branch fundraising activities. 2 POSITION IN ORGANISATION The post holder reports to the Community Fundraising Manager within the Community & Events fundraising team. The post holder will work closely with Fellow UK wide staff members of the community & events fundraising team Fellow UK wide staff members in the wider fundraising and marketing directorate. Fellow staff members in different directorates as and when needed Community fundraising volunteers supporting the MS Society Branch fundraisers and members Area Fundraisers - 1 -

2 3 SCOPE OF JOB 1. Be the initial point of contact for all enquiries concerning community and events fundraising and provide exceptional support to a range of community and events fundraisers. 2. Provide effective support for a few key branch fundraising activities 4 DECISION MAKING Able to make practical day to day decisions regarding the communications and support provided to community and events fundraisers. 5 QUALIFICATIONS & SKILLS LEVEL: Person Specification Qualifications Educated to A level standard or equivalent Experience Experience of working as an administrator ideally in a fundraising environment Experience of working with volunteers Experience of Raiser s Edge (desirable) Experience in making practical administrative decisions Knowledge and skills Excellent customer care skills Ability to prioritise and manage a busy workload Excellent organisational skills Excellent interpersonal skills and the ability to communicate well with a broad range of people Ability to develop strong relationships with volunteers and supporters Ability to grasp new concepts quickly and having confidence to implement them Excellent attention to detail. Excellent written and oral communication skills Competent with MS Office particularly Word, Excel and PowerPoint Effective in the use of databases, preferably Raisers Edge General attributes Ability to motivate and enthuse others Diplomatic and tactful Can work well in a team and on own initiative

3 Part 2: MAIN DUTIES & KEY RESPONSIBILITIES 1. Be the initial point of contact for all enquiries concerning community and events fundraising and provide exceptional support to a range of community and events fundraisers. To act as the initial point of contact for all enquiries concerning community and events fundraising via telephone, and post. To manage the administrative work of the Society s parachuting programme To work with colleagues to ensure exceptional levels of support to all those who raise funds for the MS Society. To produce a range of personalised letters, s and packs in response to fundraising queries. To use Raisers Edge to log, monitor and support event participants and community fundraisers. To coordinate the distribution of materials to the Society s diverse range of supporters as required. To maintain and develop a range of administrative procedures to effectively manage the diverse work of the department. To sort, redirect, distribute, draft, prioritise and send communications and follow up as necessary. To use a range of databases to complete mail merges, to log and monitor stock levels, press cuttings and income/expenditure. To maintain the content of the team s website To manage electronic and paper based filing systems To produce monthly justgiving reports in relation to general and specific fundraising activities. To support the team in developing fundraising/marketing materials for the Society s diverse range of supporter groups To administer any gifts which are received from external online websites such as Justgiving Formatted: Indent: Left: 2.04 cm - 3 -

Provide effective support to MS Society branches where necessary and administer a few key branch fundraising activities Be the first point of contact for and effectively manage any branch fundraising enquiries Manage branch enquiries relating to the MS Society shop and request the setup of new accounts as necessary Manage the coordination and administration of Tesco collections which financially benefit MS Society branches Manage the coordination and administration of the London Flag Day which financially benefits MS Society branches in London Ensure the information on the website dedicated to MS Society fundraising volunteers is up to date The post holder will be working in a developing environment and he/she will therefore be expected to undertake other appropriate duties as required for the effective operation of the MS Society. Other Duties The post holder should be prepared to attend fundraising, training and recruitment events in different parts of the country.
