1 NATIONAL EVENTS AND PROJECTS MANAGER - BACKGROUND ORGANISATION University Sport New Zealand (USNZ) is an incorporated society which organises national and regional sports competitions as well as providing training and development opportunities for students. USNZ also offers high performance student athletes an opportunity to compete at International competitions such as the Summer and Winter World University Games and World University Championships in various sports. High performance athletes are recognised at the nationally renowned University Blues Awards evening each year, which USNZ also organises. POSITION PURPOSE As National Events and Projects Manager your responsibilities fall into three main categories. 1. Leading, implementing and delivering projects of significant importance to the operations and strategic direction of University Sport New Zealand (USNZ). 2. In conjunction with the Executive Director, formulating and designing policies, initiatives and strategies for the events and core business function of the organisation. 3. Establishing strong working relationships with key partners and members. Utilising existing and gaining new networks, build on sponsorship agreements. As well as managing internship students and working to budget on all projects. KEY RELATIONSHIPS As National Events and Projects Manager you will be required to work with a diverse range of people and organisations, including but not limited to; USNZ Board and Staff University Team Managers University Campus Development and Clubs personnel National Sports Organisations University Sport New Zealand Event Consortium Partners Regional Sporting Organisations Student Athletes Regional Councils and Council Representatives University Sport New Zealand Commercial and Event Partners The position of National Events and Projects Manager is varied, complex, challenging and extremely exciting. You will be required to meet demanding deadlines and timeframes in a constantly changing environment.

2 It provides a rare opportunity for the right candidate to work with a National Sporting Organisation, delivering across a diverse range of sports. We are a young, dynamic and ambitious office and expect you to identify and understand the challenges facing USNZ and the environment we operate in. You will gain valuable lifelong learning experiences working for USNZ, and must have the desire and passion to work hard for the betterment of University students and their sporting lives. NATIONAL EVENTS AND PROJECTS MANAGER - JOB DESCRIPTION KEY TASKS & RESPONSIBILITIES: Project Organisation Responsible for the delivery and the development of all USNZ domestic events. Responsible for all aspects of the collaborative working with the host of the annual New Zealand Uni Games including the sporting and social programmes, opening and closing ceremonies and accreditation processes. Responsible for the delivery of the Uni Snow Games event. Responsible for the collaborative working and strategy of other stand alone New Zealand University Championships. Responsible for the organisation of the annual New Zealand University Blues Awards. Delivery of events to include liaison with key stakeholders, facility management, booking competition officials (as relevant) and sports venues, planning social programme and other functions and arrangement of volunteer programme. Responsible for the design, implementation and management of all areas of the University Sport New Zealand s events operational plan and project management system, including but not limited to sports competition management, registration and accreditation processes, volunteer management and special events and functions. Design and apply a structured risk management process that minimises the events financial risk, risk to brand and general OH&S event risks. Project Management Responsible for producing strategies and policies in line with USNZ Domestic event programmes. (This includes Bid documents etc). Provide organisational and event legacy by developing systems and strategies that lend to the delivery of a unique, memorable and professionally organised sports events in future years.

3 Responsible for developing and overseeing the implementation of all aspects of University Sport New Zealand events operational plan. Responsible for the production of event plans and timelines for agreement with the Executive Director. Responsible for actioning workload and priorities according to these plans and timelines. Arranging Advisory Group, Committee Meetings or equivalent event planning meetings as appropriate. Responsible for the promotion of events to University Sport New Zealand membership and media, including maintaining up to date relevant pages on the University Sport New Zealand website. Work with other University Sport New Zealand staff to ensure campuses are organised and aware of the participation potential in University Sport New Zealand events. Work, in conjunction with University Sport New Zealand personnel to attract and support agreed partners and supporters including corporate sponsors. Ensure strict adherence to budget parameters and University Sport New Zealand (USNZ) financial processes. Ensure all event operations are in accordance with USNZ rules, policies, guidelines and strategic objectives. Deliver comprehensive post event reports including learning s and recommendations for future University Sport New Zealand events. Project Team Work Create and facilitate a positive and productive team / work environment for all members of University Sport New Zealand s events workforce (volunteers and paid). Source, utilise and manage internship students for the major projects during the year Develop and implement a successful strategy to gain the appropriate levels of volunteer support needed to effectively and efficiently manage the project and oversee the development of an appropriate volunteer recruitment and training program. Conduct a feasibility study of training programs for University Sports staff (Club Development Officers, Student Presidents, University Team Managers). Implement and organise training programmes based on recommendations from the study following guidelines and meeting outcome based expectations.

4 NATIONAL EVENTS AND PROJECTS MANAGER - JOB DESCRIPTION continued Develop work plans for University Sport New Zealand events workforce staff to ensure that the operational requirements of each division are met. Identify and negotiate with key stakeholders. Managing expectations and openly communicating. University Sport New Zealand Work closely with the Executive Director and other USNZ staff in all aspects of the formulation and delivery of University Sport New Zealand events and activities. Facilitate the communication between University Sport New Zealand individual campuses and other key stakeholders. Undertake any other duties or tasks as required to ensure the successful planning and delivery of the University Sport New Zealand events portfolio. Undertake additional duties as requested by the Executive Director.

6 NATIONAL EVENTS AND PROJECTS MANAGER SELECTION CRITERIA ACCOUNTABILITY The National Events and Projects Manager is accountable to the Executive Director for the successful delivery of project outputs To schedule To agreed budget To the required level of quality SELECTION CRITERIA Essential Three (3) years sports industry experience. Degree or equivalent training/experience. Demonstrated project management skills and experience in sports events (preferably multi sports events). High level of interpersonal, written and oral communication skills. Experience managing people including volunteers and building strong working relationships with a diverse group of people/organisations. Understanding of sport & not for profit environment. Previous experience in the management of financial resources including strict adherence to budgets. Desirable Marketing and/ sponsorship background would be advantageous. A knowledge and understanding of the New Zealand sports sector. An understanding of the logistical aspects of organizing International sports teams. Strong computer and IT application background. An understanding of the differing demands of grass roots participation events through to competitive performance events and sports people. EMPLOYMENT Salary Range commensurate with experience and fits with organisational budget, Circa $55,000p.a. Full Time position, 40 hours / 5 days per week Occasional National travel for events and meetings (these may not be during the working week/hours) 20 days leave entitlement (including compulsory three day Christmas New Year office closure) KiwiSaver scheme.

7 Based at the University Sport New Zealand national office in Wellington. Contracted until 31 st January 2012, with a view to being extended.
