1 Ohio Township Association 2016 Trade Show About our Show The Ohio Township Association is hosting its annual Winter Conference & Trade Show Jan , 2016 at the Columbus Convention Center. The conference consists of more than 80 educational workshops, a Trade Show with 100+ vendors, and optional events for networking. A passport program has been added to the line up this year as well! Sold enough units to pay for show and advertising and then some Exhibitor Meet our Attendees More than 2,600 attendees, including representatives from Ohio s 1,308 townships, attend the annual conference. Conference goers include elected officials, i.e., trustees and fiscal officers, as well as township administrators, road and cemetery superintendents, zoning officials, safety service personnel and legal counsel. Booth Information Vendor registration fee includes a 10x10 booth with drape, company identification sign, free power wash for heavy equipment exhibitors, and listing in conference program and app. Booth rental is $700 if paid on or before Dec. 31, 2015, and $800 thereafter. Subsequent booths are $400 each. Registration and payment must be received on or before Friday, Jan. 15, 2016 for name to appear in the conference program. Trade Show registration grants your company representatives access to all educational sessions. Optional events, including a Casino Night and Luncheon, require tickets, to be purchased separately. See page 7 for ordering information, or tickets may, if available, be purchased on-site. Decorator Excel Decorators, Inc. is the 2016 Trade Show decorator. You will receive a service kit via from Excel within one week of registering. The kit includes information and pricing on furniture, carpet, shipping, labor, cleaning, electrical and other services. If you do not receive a service kit, please contact Excel at Catering Centerplate is the exclusive caterer for the Columbus Convention Center. Hotel Registration The OTA provides block rates at six hotels in the downtown Columbus area. See page 6 for more details. The fastening of materials to booth drapery, or to building walls, ceilings, floors, carpeting or columns, is expressly prohibited. Assignment of Space - Space is assigned to each applicant on a first come first serve basis, and is not done until payment is received. Confirmations, with booth numbers, will be sent at least two weeks prior to the show. Trade Show Hours - It is expected that Trade Show exhibitors abide by Trade Show hours. Exhibits must be maintained by at least one company representative at all times. Dismantling is not permitted until the exhibit hall closes at 12 p.m. on Friday, Jan. 29, Doing so will result in future penalties affecting booth location and ability to exhibit. Hospitality Rooms - There shall be no exhibitor entertainment, meetings and/or other activities aimed at general attendees during exhibit hours or during conference sessions. Safety - All materials must conform to the requirements of the building and inspection authorities having local jurisdiction. Most notably, all decorative materials must be nonflammable, and display vehicles must have fuel tanks drained, batteries disconnected, and fuel filler openings must be locked or taped shut.

Conference App - Four banner ads are available, and include a preferred listing in Exhibitor section, call out on exhibit hall map and listing in Sponsor section $500 each Legislative Reception - OTA hosts a Legislative Reception on Wednesday night at the Ohio Statehouse Donuts with DeTemple - OTA provides coffee and donuts on Friday morning for conference attendees Water Coolers - OTA provides water coolers outside each workshop space and sponsors are permitted to purchase and provide their own cups with logo Passport Program - For the first time, the OTA will have a Passport Program. Five pre-determined booths are highlighted in red on the floor plan. Vendors who select these spaces will automatically be added to the Passport. Up to 25 other vendors will be permitted to purchase their way on the Passport on a first come first serve basis in one of two ways: 1. At a rate of $500, or 2. At a rate of $300 in addition to donating an item in the amount of $100 or higher to the OTA to be raffled off to those who complete the Passport *If you are interested in participating, please indicate, and we will follow-up with you at a later date to confirm participation and retrieve payment. 6 Housing Information More than 1,000 hotel rooms at six hotels are reserved for the OTA conference. Please note that if you attempt to make your reservation outside of the Association s block, the OTA can suffer financial penalties due to contracts entered into in order to ensure lower rates for conference participants. Hotel reservations are handled by the Columbus Housing Bureau, and must be made online at Housing registration opens Monday, Nov. 9 at 10 a.m. Please note: Do not call the hotels until Jan. 21, 2016, as they will not have your information on file. The hotel reservation cut off date is Jan. 5, After this date, availability may be limited and room rates subject to change. Changes and cancellations prior to Jan. 20, 2016 can be made using the online reservation system or ed to housing@experiencecolumbus.com. To cancel your reservation after Jan. 20, 2016, contact your hotel directly. You will be charged a $25 fee. No shows will be billed for one room night.
