This dcument specifically addresses the prcedure fr renewing the Medicare Australia Online PKI certificate in PracSft. 3 Frequently Asked Questins Why d I need t update the certificates? Valid Medicare Australia PKI certificates are required by custmers wh cmmunicate electrnically with Medicare Australia when using PKI. Replacement f expired certificates is a nrmal peratinal prcedure. It is essential that the renewed Medicare Australia certificates be used by Medicare Australia s custmers s that nline peratins can cntinue uninterrupted. Am I impacted by this change? If yu are using ne f the fllwing prgrams, Medicare Online Claiming, PBS Online Claiming r Aged Care Online Claiming yu will be affected by this change. Hw can I get the PKI Certificate Manager? The PKI Certificate Manager is available n the Medicare Australia site. T dwnlad the latest versin, g t the Step 1: Dwnlad and Install the Updated PKI Certificate Manager sectin n page 4. When d I change/update the certificates? Yu can make the change whenever it suits yu, but it must be dne prir t 19 August Hw d I make this change t my certificate stre? The PKI Certificate Manager is available frm: Can I install this new versin f the PKI Certificate Manager n tp f my current versin? Yes. It will verwrite the lder versin. It will still knw the path t yur PSI stre. Wh can tell me the passwrd t the PSI stre? It culd be ne f the fllwing: The practice manager The persn wh managers yur system Yur Sftware Vendr Yur IT supprt persn Medicare Australia Pst Installatin/Update Questins: I have tw names in my stre, Catherine Argall and Medicare Australia. Medicare Australia s ld certificate was in the name f Catherine Argall, Medicare Australia s new certificate is in the name f Medicare Australia. It is kay t have bth in the PSI stre. The applicatin will autmatically use the newer certificate as it is set as the default certificate in the latest versin f Certificate Manager. What if I updated my certificate stre early? It is never t early t update yur certificate stre. Page 3 f 11

4 Infrmatin: Under nrmal circumstances, the fllwing instructins will nly need t be perfrmed n the cmputer cntaining the PSI Stre. Typically this machine is the Server, unless the Stre has been created/cpied t multiple cmputers n the netwrk, in which case these cmputers will als need their PSI Stre updated as well. Step 1: Dwnlad and Install the Updated PKI Certificate Manager The PKI Certificate Manager will require t be upgraded befre renewing yur certificates: 1) Ensure that yu have a valid Internet cnnectin frm this cmputer. 2) Dwnlad the latest PKI Certificate Manager utility available frm: Single-click n the PKI Certificate Manager Installer Applicatin (Windws) link Chse Save Save the file t the Desktp 3) Install the PKI Certificate Manager: a) Once the file has dwnladed successfully t the Desktp, duble-click n the PKI Certificate Manager Installer.exe file t begin the installatin. b) The installatin prgram will display a Licence Agreement. Please read the sftware licence and if yu agree, click the Agree buttn t cntinue. c) The installatin prgram will nw install the PKI Certificate Manager. Click the Install buttn t cntinue. d) Yu will be prmpted when the installatin prcedure has finished successfully. Click the OK buttn t cmplete the installatin. Page 4 f 11

5 Step 2: Update the Medicare Australia PKI Certificate 1) Clse PracSft and Medical Directr n all cmputers, including the Server. 2) Make a backup f yur existing PSI Stre (hic.psi) befre prceeding further: PS3.6 and Later: The Stre Lcatin shuld be: C:\Prgram Files\Cmmn Files\PKI\hic.psi PS3.52 and Earlier: The Stre Lcatin shuld be: C:\Prgram Files\HIC\PKI\hic.psi If yu are unsure f the Stre Lcatin, g int PracSft 3 > Setup > Wrkstatin Settings and cnfirm the stre lcatin. T backup yur hic.psi file: Right-click n the hic.psi file Select Cpy Right-click in an empty space Select Paste Right-click n the cpy f the hic.psi file Select Rename Rename the file frm Cpy f hic.psi t: BACKUP f hic.psi Nte: If the hic.psi cannt be cpied r renamed, this file may be in use by Windws/Pracsft. 3) Navigate t the Windws Cntrl Panel via Start > Settings > Cntrl Panel and duble-click the PKI Certificate Manager icn. Select the Current Stre Lcatin: Upn pening the PKI Certificate Manager, yu may encunter ne f the tw fllwing scenaris: Scenari One: If the PKI Certificate Manager already knws the lcatin f yur PSI Stre, the PKI Certificate will lad this stre autmatically. Nte: Please check the PSI Stre Lcatin listed n the title bar. As an example, in the screensht abve, the Stre lcatin wuld be: C:\Prgram Files\Cmmn Files\PKI\hic.psi. If yu are unsure f the Stre lcatin, please cnsult the infrmatin utlined abve. Prceed t the next step (Imprt the Medicare Australia PKI Certificates) if the lcatin listed is crrect. Scenari Tw: If yu are pening the PKI Certificate Manager fr the first time, it will be unaware f yur PSI Stre lcatin. Yu will be prmpted t navigate t yur PSI Stre. Page 5 f 11

6 The prmpt appears belw: The recmmended ptins are t either: 1) Use an Existing Stre. This ptin will ask yu t brwse t the PSI Stre (the lcatin f the certificate database); yu will need t knw where the stre is lcated in rder t brwse t it. Or, 2) Search fr an Existing Stre. This ptin will attempt t search yur cmputer autmatically fr a PSI stre. If yu chse this ptin, yu will then be prmpted t select the drive letter yu wish t cnduct a search n and click the Next buttn t cnduct the search. Frm the search results returned, select the stre lcatin yu wish t use and click the Finish buttn t cnfirm. Nte that default PSI Stre lcatins listed abve. Once yu have fund and selected the PSI stre, the PKI Certificate Manager will remember this lcatin. The next time yu pen the PKI Certificate Manager in the Cntrl Panel it will autmatically knw where yur PSI Stre is, and will nt ask yu t lcate it again. Page 6 f 11

7 Imprt the Medicare Australia PKI Certificates: If yu have successfully navigated t yur PSI Stre, yu shuld be presented with a windw similar t the fllwing. This image indicates that the PKI Certificate Manager has already lcated the PSI stre. 1) Once the PKI Certificate Manager is pen, click n the Stre buttn and select Initialise Defaults. 2) Yu will be prmpted fr yur Stre passwrd. The Stre passwrd was first set when installing the certificates. 3) Yu will be presented with a list f certificates that will be imprted. Click the Finish buttn t cntinue. Page 7 f 11

8 4) After these certificates have been imprted, yu shuld be able t see tw Medicare Australia certificates, plus tw Catherine Argall certificates under the Other Peple tab (belw). This cnfirms that yu have cmpleted this task successfully. IMPORTANT NOTE: Befre resuming yur nline transmissins, repen PracSft t ensure yu are using the certificates that have just been imprted int the stre. Page 8 f 11

9 Step 3: Delete the Old Certificate When yu imprt the new certificate, the update prcess des nt delete the ld certificate due fr expiratin. When trying t send claims t HIC r trying t cnduct OPV checks, a message appears suggesting the certificate has expired and wn t allw claims t be prcessed. These expired certificates will need t be manually remved. This can be dne by fllwing these steps: 1) Lcate yur Windws Cntrl Panel. 2) Open the PKI Certificate Manager. Yu shuld see the new Medicare Australia certificates, and ld certificates (Catherine Argall) under the Other Peple tab. 3) Select Cleanup frm Stre > Advance > Cleanup. 4) Enter the Stre Passwrd. 5) Untick Delete ther s Signing Certificates (Failure t d this will result in all Other Peple s being remved frm the stre) 6) Click the Next buttn. 7) Click the Finish buttn t remve all expired certificates frm the Stre. 10 8) The certificates remaining after Cleanup shuld be the current Medicare Australia and Catherine A Argall certificates. T test a successful certificate renewal in PracSft, select and right-click a Patient frm the Wait Rm and click n OPV (Online Patient Verificatin). Yu will be prmpted if the verificatin is successful. 11 Hw t Check If Yur Lcatin r Individual Certificate Is Abut t Expire 1) Open the PKI Certificate Manager (Start > Settings > Cntrl Panel and duble-click the PKI Certificate Manager icn). 2) Click n the Persnal tab. 3) View yur certificate and expiry date, as listed under the Expiratin clumn. 4) If yur Persnal/Lcatin certificate is als due t expire, please cnsult GEN-41 PKI Certificate Renewal fr infrmatin n renewing Lcatin / Persnal Certificates.
