2 FieldManager Read-Only User Guide (fr Cntractrs) - NDOT Supplemental 1.0 NDOT FieldManager Read-Only Backgrund 1.1 FieldManager Read-Only at NDOT The NDOT Cnstructin Divisin has implemented a new sftware suite, FieldManager, t allw us t administer ur cnstructin cntracts electrnic. As a result, it prvides an pprtunity fr Prime Cntractrs t acquire FieldManager Read-Only t assist with reviewing and managing these cntracts. Once the sftware has been acquired the fllwing steps will need t be taken t finalize the setup. Als, the read-nly cpies f cntracts will need t be requested thrugh the NDOT Resident Engineer thrughut the life f the cntract. 1.2 FieldManager Read-Only Benefits This prcedure encurages managing field ffices and cntractrs t take advantage f the fllwing FieldManager Read-Only benefits: Imprved cmmunicatin between managing ffices and cntractrs Reduced time required t gather infrmatin fr cntractrs Reduced vlume f questins frm cntractrs Mre accurate and timely infrmatin frm cntractrs Earlier identificatin f errrs and cncerns Mre efficient discussins cncerning item status reviews Mre efficient review f cntract mdificatins Timelier respnses frm prject staff during the busy cnstructin seasn Imprved cntract finalizatin prcess Eliminatin f sme cntractr spreadsheets and hand-generated data Imprved managing ffice/cntractr relatinships 1.3 FieldManager Sftware and Cnfiguratin Infrmatin fr NDOT Cntractrs must btain a FieldManager Read-Only license t view the cntract data. This applicatin can be purchased directly frm Inf Tech, Inc. at When installing FieldManager, cntractrs must cnfigure the sftware as specified in the FieldManager Installatin and Cnversin Guide supplied with the licensed cpy f the sftware. After the install has been cmpleted the cnfiguratin prcess t set up FieldManager Read-Only will require yu t have an NDOT Agency Cnfiguratin Prgram (ACP) file and a cpy f the current FieldManager reference file. The ACP file cntains the NDOT specific cnfiguratin settings fr the cntracts yu will be wrking with. The reference file cntains all the base data fr NDOT cntracts and cnsists f the fllwing: Cntract Items, Materials, and Vendr (Sub) Infrmatin. Sectin 2.1 f this dcument explains the cnfiguratin f FieldManager specific t NDOT, including the placement f these files. 2.0 Getting Started 2.1 Cnfiguring the New Install f FieldManager Read-Only fr NDOT G t Start All Prgrams FieldManager FieldManager 5.2a. Nte: The fllwing steps are nly perfrmed the first time yu lg n t FieldManager. The first time yu lg n after installing the FieldManager prgram yu will be presented with the Activate FieldManager windw. Open the PDF file ed t yu by Inf Tech. G t page 2 under the sectin, Expiratin/Activatin Keys entered nly nce per licensing year fr the infrmatin t fill ut the three fields. NOTE: This license key is different frm the installatin key yu used during installatin. When the applicatin starts yu will be prmpted t create a Datasurce. Chse Standalne and click n the Next buttn. Enter the name f the datasurce. A recmmended name is: NDOT Read Only. Select New fr the datasurce type. Click n the Finish buttn. 2

4 Enter the User ID and Passwrd that is prvided n the Inf Tech License Infrmatin dcument. Nte: Yu will be prmpted t enter a User ID and Passwrd each time yu lg int FieldManager. If yu want t set up individual users g t Utilities System Management Maintain Users. Click the Add buttn. Enter the user s infrmatin. The security level will always be Read Only. Yu will then be prmpted t lad the Agency Cnfiguratin Prgram (ACP) file. Click the OK buttn n the Agency Cnfiguratin message. This will pen a Brwse t a file windw. Brwse t the lcatin yu saved the NDOT ACP file (See Sectin 1.2 fr details). Select the file and click n the Open buttn. In rder t pen and view NDOT cntracts in FieldManager yu will need t imprt the reference file yu saved frm the NDOT web (See Sectin 1.2 fr details). These steps will need t be repeated each time NDOT creates a new reference file. G t File Imprt and chse File. 3

5 In the Files f Type drp-dwn list bx, click the expand arrw t the right f the current selectin and select Reference Files (*.ref). Brwse t the desktp and select the reference file ( fmgrref.ref ) yu saved frm the NDOT web (See Sectin 1.2 fr details). Click Open. FieldManager is nw cnfigured t view NDOT cntracts. 3.0 Imprting NDOT FieldManager Read-Only Cntract Files 3.1 Imprt Prcess Yu will receive an with an attachment f the read-nly cpy f NDOT cntract, fr which yu have requested, each time a pay estimate has been generated. T imprt the read-nly cntract file in FieldManager, perfrm the fllwing steps: Open the frm NDOT cntaining the read-nly cntract file attachment (example cr). Save the file t yur cmputer and nte the lcatin. Lg n t FieldManager. G t File Imprt and chse File. In the Files f Type drp-dwn list bx, click the expand arrw t the right f the current selectin and click Agency Imprt Files (*.cr). Navigate t the lcatin f yur cntract file yu saved and select it. Click Open. The read-nly cntract is nw available in FieldManager.
