1 Broomfield School JOB DESCRIPTION ADMINISTRATOR SIMS DATA, DATA AND EXAMS MANAGER Job title Type of post Salary scale Line Manager Contracted Hours Administrator SIMS Data, Data and Exams Manager Permanent Pay Scale S02 Assistant Head Data, Exams, Intervention and Timetable 36 hours per week/42 weeks a year JOB PURPOSE: Create, oversee and develop strategic and operational data and its systems within the school for the Senior Leadership Team (SLT) and the Teaching Staff to manage the direction, co-ordination and development of its staff and raise educational attainment of pupils. Produce clear, concise, accurate information to support the school s senior leaders in raising standards of performance in school. Analyse problems, develop solutions and/or strategies with senior leaders in increasing school improvement. To oversee the administration and organisation all aspects of external examinations in accordance with the regulations laid down by the awarding bodies and to support the school in the collection, analysis and distribution of schools data. MAIN RESPONSIBILITIES DATA: Sims data, including upgrades. Responsible for the School census. Assist, as appropriate, with the workforce census. Maintain student specific data to a high standard. Set up, maintain and review highly complex data Be accountable for the use of systems in school in raising standards and performance across whole school Advise and assist the Head Teacher and Senior Leadership Team (SLT) in reporting to local and national stakeholders and Ofsted Inspectors in target setting and detailed analysis of school performance Lead staff through target setting process, data analysis and value added data via whole school delivery of teaching staff INSET using own materials and systems Create systems to provide data to inform SLT on value added performance of individual teachers, subjects and departments Page 1 of 7

2 Training of governors on data and interpreting results and findings. Assisting them to use and understand data and target setting Support Head Teacher in curriculum reviews with Curriculum Leaders on results and data analysis Advise Head Teacher and SLT on timetable requirements to enable them to make staffing decisions on its deployment of its physical resources Accountable for ensuring all teaching staff meet deadlines to ensure statutory requirements for reporting are met Create and prepare complex strategic and operational data analysis for Curriculum Leaders by key stage, year groups, set group. Exercising highly developed training skills in order to ensure "non-data specialists" can translate data results in the classroom to impact on student achievement Create and devise data systems to highlight and improve in school variation in performance Provide ICT skills and knowledge to support the data management being developed in school to monitor and analyse performance To manage and develop academic, behavioural and report databases Management of schools data capture and reporting systems and adaptation, development of school information systems Creation of strategic and operational data analysis systems to support in depth analysis of individual teacher, subject and curriculum performance; as part of the whole school selfevaluation process Theoretical, practical and procedural knowledge in a specialist area of data in schools Respond to education developments both strategic and operational that have implications on data management To compile the school timetable, in liaison with SLT and lead negotiations with curriculum leaders Work with School ICT department to update and maintain the school website Develop, monitor and maintain the school report system and procedures. (Student review and reporting) Produce verbally or in writing complex and contentious data analysis to a range of audiences, including non-specialists Provide advice to the Head Teacher and SLT on its school improvement initiatives Responsible and accountable for providing the advice on target setting process Establish and implement an effective target setting process in line with statutory/local Authority requirements Advise SLT in relation to deadlines for data requirements Page 2 of 7

3 Keep up to date with all Curriculum and ICT developments Responsible for ICT training and data training of teaching and support staff on data systems Responsible for the production of reports and arranging the distribution to students following liaison with teaching staff Be responsible for the collation and analysis of school, pupil and parental surveys as appropriate Create data in a clear, concise, easily understandable way Policies and procedures put in place by the post holder should meet the organisational, technical and strategic demands of the school Support teaching staff in the use of data to raise standards of student and staff performance Create and develop systems to enable the effective monitoring of vulnerable students Participate in strategic decision making of the school as and when required by the Head Teacher and SLT Participate in strategic school self-evaluation as and when required by Head Teacher and SLT Keep abreast of current guidance, requirement and good practice in relation to target setting, the effective use of data and the construction of an effective curriculum timetable Recommend to governors, with the Head Teacher, the targets to be set for future years MAIN RESPONSIBILITIES - EXAMS Ensure that liaison with all staff, e.g. heads of department regarding entries has taken place Disseminating information, answering enquiries and dealing with complaints regarding external examinations with staff, students and parents/carers at the appropriate level Ensure that the School submit entries for external examinations to awarding bodies in advance of deadlines Manage the organisation of SEN provision, including liaising with the SEN coordinator regarding candidates with SEN; applying to awarding bodies for special arrangements for such candidates managing the daily running of external examinations. Ensure that appropriate systems and procedures are in place for exam materials, providing safe custody and adherence to strict examination security protocols and ensure that examination stationery and materials, including question papers, are dealt with in accordance with regulations Oversee the organisation of the examination rooms, in accordance with regulations supporting the Administrator Exams and Cover as appropriate Ensure that a centre timetable to include dates, times, venues and number of candidates is provided in an accurate and timely manner Page 3 of 7

4 Support Administrator Exams and Cover in resolving examination clashes in accordance with regulations In the absence of the Administrator Exams and Cover briefing candidates on examination regulations and producing written guidelines for staff and students; ensuring candidates are aware of their own examination timetables Be overall responsible for ensuring that the collecting and despatching worked scripts in accordance with the regulations Support and advise the Administrator Exams and Cover when they are arranging invigilation, including briefing and training invigilators in school procedures Being present and available in school on the days when results are notified, and managing the distribution of results to candidates Producing analyses of examination results as soon as practicable Providing statistics on examination entries and results for the Head Teacher, senior leadership team and governors, LA, DfE, etc. Informing SLT and HoF on examination issues as appropriate Checking DfE and other examination statistics before publication Managing the checking and distribution of certificates Processing enquiries about results and requests for return of scripts in the absence of the Administrator Exams and Cover Ensuring that costs of retakes etc. are reimbursed by candidates/departments, as appropriate Encouraging a positive examination culture in the school to which all staff and students subscribe Liaising with the National Assessment Agency and Examinations Officers Association as appropriate Taking overall responsibility for the schools full compliance with regulations governing examinations and leading on updating and dissemination of changes School s Exam Policy and updates, advising on and ensuring that this is correct and valid at all times Keeping up to date with the requirements of the role. Ensuring attendance at appropriate awarding body and other INSET training meetings etc. and keeping up to date with the latest procedures and regulations for external examinations Overseeing the arrangement of external examinations for non-curriculum subjects, including community languages Overseeing arrangements for internal examinations, Line Management Page 4 of 7

5 To act as Line Manager to the Administrator for Exams and Cover, liaising with the Office Manager where there is a need, To act as Line Manager for the Chief Invigilator and all other invigilators, ensuring appropriate training, supervision and that they adhere to all exam rules/ protocols, To line manage any staff working within the Data Team, Additional duties Have a full understanding of the Administrator Exams and Cover s role and be able to fulfil all essential duties as required by school demands, e.g. during the exam period, or absence. Undertaking general administrative duties, including Reprographics, dealing with visitors face to face and over the phone, admin support to SLT and Middle Leaders. Supervise pupils during the lunch period and other times of day either in the playground or in structured activities as directed, Provide First Aid and Medical Support to pupils during the School Day, ensuring Accidents are reported appropriately, Support other Administrate Staff in their roles, in line with School priorities, This job description sets out only the main duties and responsibilities to this post and does not describe in detail the tasks required to carry them out. Such duties and responsibilities may be updated from time to time to reflect any changes to the School. Only significant additional duties or responsibilities as required by the Head teacher / SLT will render the grade of the post liable for re-evaluation. In undertaking this role, the post holder shall ensure that all duties are carried out with due regard to the school s Safeguarding, Health and Safety and other school policies and procedures.
