All participating federations commit to abide by the statutes and all UEG rules and regulations. Federations not respecting them will be penalized. 4 ACCREDITATION Accreditation cards will be distributed at the Accreditation Center upon arrival of the delegations. The FIG/UEG accreditation rules will be strictly applied, notably as far as the number of accreditation cards per federations is concerned. Accreditation cards will not be delivered unless all financial and insurance obligations have been met. Each delegation will be taken to the accreditation desk upon arrival, and the following items will be verified: Nationality and age of all competitors and judges FIG License Total payment of accommodation and meals Insurance every delegation member needs a valid insurance Music National anthem and national flag The definitive work plan will be given to the Head of Delegation at the accreditation. In order to accelerate the accreditation procedure, please send in to the Organizing Committee a photo of each delegation member (electronic format) together with the Nominative Registration. 10 will be charged for each photo the OC has to make at the arrival of the delegation. The specification of the photo should be as follows: File format: JPG, JPEG File name: NOC_Surname_Firstname (ex: POR_SANTOS_Rita.jpg) Supplementary Accreditations: The following paid supplementary accreditations, are in charge of Federation, requested directly to the Host Federation Additional coach for 4 or more units * Additional Doctor or Physiotherapist * If 4 and more units + 1 If 8 and more units + 2 each Guest for delegations * *A unit is defined as one pair or one group with 1 to 4 units + 1 with 5 and more units + 2 each 4

The Organizing Committee will be happy to assist each Delegation member with an official invitation letter, provided that the request is made before July 23 rd, 2013 to the OC address geralceacro2013@gympor.com. The request must include the function, full name, gender, date of birth, citizenship and passport number, passport expiry date, the arrival and departure dates of the Delegation Member as well as the city the visa application support letter must be sent to. INTERNATIONAL TRANSPORTATION The invited participating federations must pay for the travel costs of their delegation members to Lisbon International Airport or Oriente railway station. The travel schedule form must be returned to the OC till September 23 rd to the address geralceacro2013@gympor.com LOCAL TRANSPORTATION Delegations that book their accommodation through the OC will be offered free transport from : Lisbon International Airport or Oriente railway station to the competition venue and back the hotel to the competition/training venue and back Delegations that don t book their accommodation through the OC can t use the local transport system provided by the OC. 6

7 ACCOMMODATION All respective expenses for accommodation of each participating federation or its representatives are to be covered by the respective federation. The following prices include additional services and do not meet the official hotel prices. All accommodations through the OC include: Room Breakfast Final Banquet Transport from Lisbon International Airport or Oriente railway station to the competition venue and back Transport from the hotel to the competition/training venue and back The accommodation offer is not compulsory. If the accommodation will not be booked, EUR 200, per each delegation s member will be charged for compensation. 8 The prices charged for the hotel rooms will not exceed the usual hotel rates. While the Accommodation Form must be returned to the OC by July 23 rd, 2013, to secure your preferred category we strongly recommend that you fill out the official accommodation form as soon as possible. The hotel rooms will be allocated on a first come, first serve basis. The costs for the accommodations must be paid to the OC as follows: At the time of the Definitive entry (July 23 rd, 2013) 50% of the accommodation costs must be paid to the OC. Entries without the payment of the 50% of the accommodation costs will be considered as invalid and will be refused. The remaining 50% of the accommodation costs must be paid by September 16 th, In case of room cancellations the OC refunds until August 25 th, 2013 the complete amount of cancelled rooms. If cancellations arrive later, the OC refunds 50 % of the amount. If cancellations arrive later than September 10 th, 2013 no claims of refunds will be accepted. TOURIST PACK We will have available a tourist pack, for more information please consult the website (available soon). MEALS Delegations that book their accommodation through the OC have accommodation, breakfast and final banquet included in their package. The OC will offer meal pack at the competition venue each day: Age Group Competition /person October 16 th - 20 th, 2013 Junior and Senior /person October 20 th - 27 th, 2013 The Meals Form must be returned to the OC by July 23 rd, 2013 with 50% of payment, the remaining 50% of the Meals costs must be paid by September 16 th, Extra tickets for meals (30 /person/meal) can be ordered through the OC by September 16 th, In case of meals cancellations arrive later than September 16 th, 2013 no claims of refunds will be accepted. 8

9 FINAL BANQUET Delegations that book their accommodation through the OC are invited to the Final Banquet. Extra tickets for the banquet (45 /person) can be ordered through the OC by July 23 th, These tickets of the Final Banquet must be paid to the OC by September 16 th, In case of final banquet cancellations arrive later than September 16 th, 2013 no claims of refunds will be accepted.
