1 NCMail: Microsoft Outlook 2003 Opening Additional Mailboxes Revision /05/2007 This document covers how to open additional Exchange mailboxes within Microsoft Outlook 2003 for use in the NCMail Exchange system. The syntax used in this document is as follows: Boldface = Names of input fields such as text and check box names. Boldface and Italics = Input expected from user. 2 NCMail: Outlook Opening Additional Mailboxes 2 Configuring Outlook 2003 NOTE: Unlike the former NCMail system, knowing the account credentials does NOT allow you to open additional mailboxes such as service accounts or shared accounts. This access must be granted to your account by the NCMail administrators. To request permission to access an additional mailbox please ask your supervisor to enter a ticket with the ITS Service Desk requesting this access for you. Make sure they include the current name of the service or shared account that you need access to and the names of all the persons who will need access to these accounts. Once you receive confirmation that access has been granted you may follow the instructions in this guide to setup the additional mailbox in your Outlook While signed into Outlook 2003, click on the Tools menu then click Accounts as shown below.

3 NCMail: Outlook Opening Additional Mailboxes 3 Click on View or change existing accounts then click the Next button as shown below. Highlight the Microsoft Exchange Server name then click the Change button as shown below.

4 NCMail: Outlook Opening Additional Mailboxes 4 Click the More Settings button as shown below. Click the Advanced tab then click the Add button as shown on the left.

5 NCMail: Outlook Opening Additional Mailboxes 5 Service and shared accounts are now being standardized and will start with SVC_ then an agency abbreviation followed by the account name. These will show up in the Exchange address lists under SVC_. An example is shown below. Enter the mailbox name that you want to open. Click the OK button. You will return to the Advanced tab and will now see your mailbox name listed. Click the OK button.

6 NCMail: Outlook Opening Additional Mailboxes 6 You will then be returned to the Exchange Server Settings screen. Click the Next button as shown below. You will then be returned to the Accounts screen. Click the Finish button as shown below.

7 NCMail: Outlook Opening Additional Mailboxes 7 You should now see your additional mailbox in your mail folders list in Outlook You can now remove the old account so it will no longer show up in your folder list. The new account will have the SVC_XXX. The old account will not. The example below shows the old Administrator@ncmail.net account with a blue arrow and the new SVC_ITS.Administrator@its.nc.gov account with the green arrow. To remove the old account click on Tools then click on Accounts as shown below.

8 NCMail: Outlook Opening Additional Mailboxes 8 Click on the old account (Administrator in this example) then click the Remove button as shown below. Click on the Yes button to confirm the removal as shown below.

9 NCMail: Outlook Opening Additional Mailboxes 9 Click on the Finish button. The old account should be removed from your Folder list.
