Step 1: Now & the end of the year Complete your interactive web listing and upload logos, videos, social media links and much more. Ensure you take the time to complete this properly this is absolutely crucial as it is the only way you can gain valuable exposure to the buyers when they plan their visit online Include the Invitation Flyer within ALL your communications to clients to encourage them to visit you at AIME. You can print them or attach them to emails Visit the Exhibitor complimentary marketing opportunities page Add the AIME email banner to your email signature Mention AIME when speaking to regular and potential clients make them aware of your stand number and any exciting promotions or giveaways happening on your stand Let AIME know of any exciting promotional activities, competitions, giveaways or events you will be having on your stand during AIME we might be able to help out with extra PR opportunities Join the AIME Community 365 Become a fan of AIME s facebook page Follow #AIMEMelbourne on Twitter Join AIME Melbourne LinkedIn Group Follow AIMEMelbourne s Instragram Increase your social media marketing use Facebook, LinkedIn and Twitter to connect with your customers and answer any questions about your presence at AIME Complete the Special Events, Competitions, Launches and Special Offers form in the Exhibitor Zone. Step 2: January Upload your press release to the Travmedia media portal (you ll receive an email link with directions in January). The press release will then be available to business events media around the globe Email AIME s PR team at ogilvy-teamaime@ogilvy.com.au to request a press conference slot (please note this is on a first come, first served basis) Promote your latest news and advertise in the AIME Daily (distributed both days at AIME). For editorial, contact Bronte Tarn-Weir at ogilvy-teamaime@ogilvy.com.au and for advertising opportunities contact Alex Yeomans at alex@creativehead.com.au You have one week to go!
Step 3: The week before AIME Send a final email to your clients reminding them of your presence at AIME and don t forget to provide your stand number. Look to include a small incentive for example, Customers who bring a print out of this email will receive a XX% off their booking. Don t forget to remind them to pre-register at to visit for free Push your message and AIME presence through your social media channels create as much buzz and excitement pre event as possible Ensure you have done your research on each Hosted Buyer you are meeting with if you have Pre-Scheduled Appointments (PSA). Have their name, company details and previous events summary all ready to go to ensure the right questions and responses are addressed Make a checklist of all the buyers who plan to meet you at AIME
Step 4: During AIME Continue to communicate your message via your social media channels and the AIME channels When posting on Twitter don t forget to include the hashtag #AIMEMelbourne to ensure that your posts are part of the overall conversation Check in during AIME on Facebook so that clients know you are onsite and ready to meet with them Our social media platforms welcome the AIME community. Time for you to shine Keep track of the customers you speak to at the event. Ask for their business card or ask them to complete a sales lead collection form, ensuring you have written down their requirements and the information/quotes they have requested to be sent
Step 5: Post AIME Send out the Thank You flyer that can be downloaded from the website (either via email or mail), thanking your customers for meeting with you at AIME and highlight your business options for them to follow up on their business post show Send out a Sorry we missed you email to those buyers who you didn t get to see, again highlight your booking options for them to follow up on Ensure you rate each Buyer you meet with at AIME (Exhibitors with Pre Scheduled Appointments only) to ensure we maintain the quality of our Hosted Buyers Follow up on ALL leads obtained at the event many buyers will make their purchases decision in the weeks following the event and you want to keep your business at the front of mind Utilise the Post Show Message Tool to contact buyers via the Hosted Buyer Zone post show to follow up.
