From the moment Buyers are qualified and accepted as Hosted Buyers, they receive regular communications and show updates from the ibtm world team regarding the show and what they commit to achieve as part of the programme: updates and news about their exhibitor preferences, destination presentations registration, itinerary details, meetings and networking schedules Very targeted and personalised s, these communications are essential to Hosted Buyers to plan their participation Get Buyers attention before the show and increase your chance for meetings at the show! 5 S TO HOSTED BUYERS ONLY The following s are sent by the Hosted Buyer Team and own online platform (certain) to Accepted Hosted Buyers only. These s represent a high value as they reach high quality reviewed, accepted buyers confirmed to be present at the show who must commit to meet with Exhibitors at the show as part of the conditions of the Hosted Buyer programme. These s are really important as they provide personalised information to each Hosted Buyer in regards to their participation, what they have to do preshow, their travel and accommodation arrangements, updates about the show and what they can register to (knowledge sessions, features, networking programme ). Each invites Hosted Buyers to login into the Hosted Buyer Zone. Key dates and timeline below should also help you selling online advertising / banner in the HB zone Registration This automatic is sent to all meetings planners who applied online to become a Hosted Buyer. This is a confirmation to notify them that their application has been received and will be reviewed by the ibtm world team. Sent to approx. 5,500 contacts Qualification/Confirmation this is sent to all meeting planners who have been accepted as a Hosted Buyer. The first providing them info regarding their participation and the next steps till the show. Also attached to the , Hosted Buyer handbook PDF which could be sponsored too with a logo. From a sponsor perspective, it means being the first brand/organisation/exhibitor to be seen to qualified buyers confirmed at the show. Sent to approx. 4,000 contacts Hosted Buyer Zone live The Hosted Buyer Zone will go live early September. This will be sent to all qualified/accepted Hosted Buyers. In this , HB will be sent their login details to access their online portal (Hosted Buyer zone), asked to check their details but more importantly, asked to make their preferences for meetings at the show. From the moment they receive this , they can start selecting exhibitors they want to meet at the show and Destination Presentation (they must attend 1 each day of attendance) This is a unique opportunity for exhibitors to get noticed at a key time in the HB pre show process. sent 7 th September Appointment Preference Chasing HB must select at least 10 exhibitors per day of attendance and our system will match 7 of them (per day of attendance) to build their agenda of pre-scheduled appointments. This will be sent as a reminder for those who haven t completed their preferences, another opportunity for exhibitors to get HB s attention. Multiple s sent between September and October (deadline for preferences: 16/10) Self-Selected Appointment (SSA) tool 6 weeks before the show, our system will mutually match HB and Exhibitor preferences to generate diary of appointments.
