POSITION DESCRIPTION External Relations Events Specialist - Sydney 1. KEY ROLE: The External Relations Events Specialist is responsible for developing and delivering exceptional events and manage all ticketing requirements for the External Relations team throughout the year. This person will lead the planning and organisation of all aspects of an event from the conception of the initial idea down to the last detail. This includes events and functions primarily for our sponsors and corporate program participants. The role requires a personable, highly organised individual with strong design aesthetic and meticulous attention to detail. Travel and after hours are required. Reporting to the External Relations Director and based in Sydney, the role will collaborate with the External Relations teams (Syd & Melb) and other business streams to deliver on the key responsibilities. 2. CULTURE/ENVIRONMENT: The External Relations team are responsible for generating income to support the artistic and operational goals of the Ballet. External Relations staff are based in both the Sydney and Melbourne offices and oversee our Corporate and Government relationships. In the Sydney Office there is a mixture of External Relations, Philanthropy and Marketing team members. The culture of the Sydney office is one of professionalism, diplomacy, confidentiality, customer service, teamwork, attention to detail, and service delivery excellence that is the hallmark of The Australian Ballet. There is flexibility in the hours of work that acknowledge attendance at evening and weekend performances and/or functions, along with the company s season requirements at the Sydney Opera House. The Sydney office is located at 10 Hickson Road, The Rocks, NSW, Melbourne based staff visit and use the Sydney office as a base. The head office of The Australian Ballet, production department, music department and rehearsal studios are located at The Australian Ballet Centre, 2 Kavanagh Street, Southbank, Victoria. The Australian Ballet performs on a regular basis in the Arts Centre, Melbourne, and the Sydney Opera House as well as other interstate venues. The Company also tours overseas annually 3. KEY RESPONSIBILITIES: Event Management Manage all External Relations events and ticketing including but not limited to season events, sponsor events and corporate program requirements Manage and keep an accurate and updated record of all event/ticketing requirements in the Nights document (schedule) for the External relations department Liaising with Customer Services VIP Ticketing for: Dress Rehearsals Opening nights Season requirements including Education program and Audience Engagement Programs Support event planning for overseas tours Proactively support selling of the Corporate Hospitality program (in conjunction with Development Manager) including researching potential prospects/approaching organisations/fielding enquiries/processing requests Co-ordinate additional events as required, including but not limited to season launches, dancers events etc Liaise with theatre venue management for approvals for Sponsor signage Sponsor in theatre promotions including handouts and product display
Co-ordinate booking venues, liaising with caterers and other suppliers Manage sponsored wine account (once secured) in relation to product orders and account acquittal for all departments requirements Manage seasons events budgets and provide final accounts to various departments Authorise event invoices and supplier invoices on behalf of various departments Relationship Management Provide briefings and updates to departments hosting events Liaise with venue management/company management for approvals for Corporate Partners signage, in theatre promotions and product displays Undertake on-site hosting for events Provide briefings and updates and liaise with the touring/company management on all sponsor activities as required Liaise and co-ordinate all activities with the individual performance venues, venue caterers and TAB suppliers as required Actively participate in all team meetings General Prepare all written materials relating to sponsor/client management including sponsor summaries, contracts and reports to relevant team members Undertake any other duties as reasonably requested by the External Relations Director
