Our artistic program is streamlined into two components including: Arts Development and Presentation and Promotion, creating a funnel through the organisation that facilitates the critical seeding of new ideas and artform development, creative development of new work and national performance platforms for presentation of experimental arts with an Asian Pacific focus. Performance Space is supported by the Australian Government through the Australia Council, its arts funding and advisory body; the New South Wales Government through Arts NSW; and the Visual Arts and Craft Strategy, an initiative of the Australian, State and Territory Governments. Performance Space is a resident company at Carriageworks, Sydney s home for contemporary arts. POSITION OVRVIEW The Program Coordinator is an exciting new role within the creative team of Performance Space that has the opportunity to contribute to the development of Australia s finest experimental artists and assist in programing and delivering an international festival of experimental arts with a focus on the Asia Pacific region. We are a close team of 7 full time staff that increases to 14 over festival periods, and this role will intersect with every staff position. Performance Space divides its staff activities across four broad areas of program, production, marketing, and business development. The Program Coordinator reports to Performance Space s Program Manager and works as a pivotal member of the program team. This position contributes to the research and development of the artistic program and takes responsibility for the delivery of a number of projects within the program. The Program Coordinator is also responsible for the smooth administration of the programming team and leads on the administrative aspects of project delivery. The position is required to work both autonomously and as part of a close team of staff. PROGRAM COORDINATOR: DUTIES Program Development Research experimental artists and work as directed by the Program Manager Prepare briefing documents for discussion with the programming team Undertake regular meetings with the Program Manager and Artistic Director and other Performance Space staff to workshop and develop programs and projects Provide ongoing advice and mentorship to artists Assist artists to secure resources that advance the development and delivery of their projects Provide ongoing mentorship and advice to artists within the Performance Space program to assist in the development of their work. Program Delivery Assist the Program Manager in the preparation of artists contracts Under the direction of the Program Manager, take lead responsibility for the delivery of selected Performance Space projects Ensure that timelines for program delivery remain on-track, with particular emphasis on operational and administrative processes and documentation including contracts and production specifications Research freight, materials, and installation and bump-in requirements, in consultation with the Program Manager and Production Manager Performance Space: Program Coordinator page 2 of 5

3 Liaise with Performance Space s production staff on technical requirements related to projects Work closely with the Executive Director and Program Manager to prepare and monitor budgets for selected projects Program Administration Organise project-based accommodation, travel, and artist welcome packs Develop and maintain template documents such as program calendars, schedules and contact lists Preparing pay schedules, production floats, per diems, and other project expenditure forms and processes Work with the Company Manager to collate invitation lists specific to each project, including updating the database as required Prepare program-specific presentations and audiovisual material for the Artistic Director and Program Manager Liaise with the Marketing Consultants and assist with the roll-out of each project s marketing plan Prepare briefing documents for Front of House staff in liaison with the Company Manager Supervise volunteers when required, in collaboration with the Company Manager Assist in the preparation of funding applications and acquittals Teamwork Working closely with other Performance Space staff in a coordinated approach to the presentation of work Undertaking general duties as required including attending staff meetings and office administration. EMPOLYEE BENEFITS Working Hours Full Time Position working 37.5 hours over a five-day week. The position is required to work out of hours and weekends when needed. Time in Lieu available for agreed out of hours worked. Office hours 10.00am 6.00pm. Flexi time arrangements accommodate irregular working hours outside of office hours when required. Leave Four weeks annual leave. In addition, in recognition of out of hours work through the year, Performance Space provide the close down between Christmas and New Year as gratis leave. Employee Assistance Program (EAP) Access to free confidential counselling service for employees and their eligible family members, paid for by Performance Space. This service is provided by an independent, professional organisation called Davidson Trahaire Corpsych (DTC). 4 PROGRAM COORDINATOR: PERSON SPECIFICATION It is essential that the Program Coordinator has: Outstanding knowledge of experimental arts practice across performance, dance, visual arts, new media, sound and beyond; and the confidence and experience to engage with artists and audiences Exceptional written and verbal communication skills Experience delivering contemporary arts projects across a range of media Experience in developing and managing budgets Outstanding administration skills and a high level of attention to detail Strong skills in word processing, spreadsheet and data management software Experience in recruiting and supervising volunteers Flexibility to work some weekends and evenings and availability to travel. It is desirable that the Program Coordinator has: Knowledge of contemporary arts in the Asia Pacific region Well developed writing skills for curatorial and funding application contexts Knowledge of the local, state and national infrastructure that supports the development and presentation of hybrid arts practices; Experience in working with specialists/experts from a broad range of disciplines beyond the arts Experience working with desktop publishing software.
