1 Undergraduate Programs Coordinator (Sydney Campus) Ongoing, Full-time The Australian College of Applied Psychology (ACAP) is a Higher Education Institution and Registered Training Organisation within Navitas Professional and English Programs (PEP) Division that provides accredited higher degree courses in counselling, psychology, people management, community services, coaching and human resources and has been in operation for over 30 years. We are proud of our students and graduates and excited about the future. Our campuses are located in Brisbane, Sydney, Melbourne and Brisbane. We are currently recruiting for an Undergraduate Programs Coordinator to be based in our Sydney Campus. The Undergraduate Programs Coordinator is a member of the Program Delivery team in the School of Counselling and reports to the School Manager. The role coordinates the delivery of the Bachelor degrees in the School of Counselling on all campuses and online, with a focus on student management and support. The position reports to the School Manager and works closely with the Program Delivery Coordinator (Sydney Campus), teaching staff and other members of the Program Delivery and Blended and Online Delivery teams. The position provides primary contact with students and works with staff in the Program Delivery, Blended and Online Delivery and Academic teams to address student queries and complaints in a timely manner. Key Results Areas Essential Skills & Experience Bachelor degree in education, counselling, coaching, applied social science or related field High level interpersonal skills, including the ability to negotiate for the resolution of issues related to delivery of the Bachelor degree programs in the School of Counselling Demonstrated experience in working in a higher education provider Demonstrated organisational skills Demonstrated ability to work pro-actively, prioritise tasks and ability to take initiative Ability to work as a member of the Program Delivery team and School of Counselling Excellent written and verbal communication skills, including a professional manner in communicating with students and staff Effective time management skills and the ability to follow all outstanding matters through to completion Advanced skills in Microsoft applications including Excel Desirable Skills & Experience Postgraduate qualifications in education, counselling, coaching, applied social science or related field Demonstrated experience in working with undergraduate students Demonstrated knowledge of the counselling, coaching or applied social science disciplines What we offer An attractive remuneration package will be negotiated with the successful candidate. 2 Undergraduate Programs Coordinator (Sydney Campus) Division: Reports To: Professional and English Programs School Manager, School of Counselling 1. Overview and Objectives of the Position The Undergraduate Programs Coordinator is a member of the Program Delivery team in the School of Counselling and reports to the School Manager. The role coordinates the delivery of the Bachelor degrees in the School of Counselling on all campuses and online, with a focus on student management and support. 2. Key Relationships The position reports to the School Manager and works closely with the Program Delivery Coordinator (Sydney Campus), teaching staff and other members of the Program Delivery and Blended and Online Delivery teams. The position provides primary contact with students and works with staff in the Program Delivery, Blended and Online Delivery and Academic teams to address student queries and complaints in a timely manner. 3. Key Result Areas (Areas of Accountability and Responsibility) Key Result Area Student management Specifically Agreed Tasks and Objectives Have in depth knowledge of the School s undergraduate courses in order to advise students of their course requirements. Assess potential academic and non-academic misconduct and follow academic and nonacademic misconduct policies and procedures where required. Process undergraduate student assignment appeals for Sydney campus and online students. Provide course advice and administrative support to students with respect to Key Performance Indicators All undergraduate student enquiries responded to within one working day. Academic and non-academic misconduct procedure followed, students and academic staff liaised with and appropriately notified. Assignment appeals processed within two weeks. Retention rate of undergraduate students supported on a term by term basis through timely provision of information and support. New classes visited each term with information provided. Undergraduate course handbooks kept up to date.
3 completion of forms in a timely manner. Advise Recruitment on undergraduate course applications with respect to credit for previous study and course sequencing. Present on undergraduate courses to Information and Orientation sessions to communicate course requirements. Develop and implement communication strategies to improve student engagement and retention, particularly for at risk students, in collaboration with other School of Counselling staff. Respond to student grievances in accordance with School and College policies and procedures. Strategies implemented successfully to improve student engagement and retention Grievances responded to in a professional manner and within relevant policy and process guidelines. Program delivery and administration Coordinate the implementation of new and re-accredited undergraduate courses and units, and facilitate student transition. Maintain and update undergraduate student records as appropriate in Edupoint. Provide administrative support to the School Manager and the School of Counselling Academic and teaching staff as and when required. Provide advice to Blended and Online Delivery and Program Delivery staff with queries relating to undergraduate courses, with due recognition of the multi campus and multi delivery mode of undergraduate programs. Check course requirements have been met for graduation applications ensuring 100% accuracy in documentation. Provide undergraduate course performance reports from Student Record System for accreditation and reaccreditation purposes New and re-accredited School of Counselling courses/units administered efficiently. Edupoint maintained, updated and made accessible to other ACAP staff members as appropriate. Support to the School Manager and academic staff provided promptly. Applications to graduate checked in a timely manner, in ensuring that all course requirements have been met. Undergraduate course performance reports from SRS provided regularly.
4 Participation in and contribution to School of Counselling Committees Work in partnership with Academic staff Demonstration of the Navitas Values Work collaboratively with School Committees in the planning, organisation and implementation of academic policies and procedures and ensure effective communication and consistent application of policies and procedures. Participate, as required, in School and College Committees and contribute to development and implementation of the School s Operational Plan Provide administrative and secretarial support to the School Education Committee Provide administrative support to the School of Counselling Academic and teaching staff as and when required. Act as a liaison point with permanent and sessional teaching staff and students to enhance communication and implementation of course delivery. Implement curriculum changes to undergraduate courses through timely updating of web pages and course information. Completed policies and procedures implemented. Policies and procedures are followed. Demonstrated contribution to academic and teaching staff in the School of Counselling Course information and webpages are kept up to date with course and unit changes Navitas values consistently demonstrated in day to day activities and communication with staff, students and stakeholders Allocated tasks achieved efficiently and on time.
