As a key member of an integrated alumni relations and fundraising teams, you will be making a crucial contribution to the University s ongoing relationships with our alumni and supporters worldwide at a hugely exciting time for the University. Contributing to the development and integrity of the Raiser s Edge database, you will be involved in maintaining, updating and improving the quality of our alumni records whilst considering new ways in which the data can be presented and used to underpin core and strategic activity across the university. With database experience and an understanding of data analysis, you will have excellent data entry skills, a logical and thorough approach and the ability to work efficiently with a high degree of accuracy. Job Description Reports to: Head of Development Services with day-to-day supervision by the Database Officer. Main duties and responsibilities Undertake efficient data entry in order to maintain an accurate and up-to-date alumni database (Raisers Edge), critical for alumni relations, fundraising and wider university activities, ensuring confidentiality, as appropriate, at all times. Process alumni information updates from questionnaires, surveys and a variety of feedback forms including reports from other departments. Supervise temporary members of staff employed to carry out (mass) data entry and telephone campaign administration work, providing training and monitoring workload/performance. Develop and implement Raisers Edge training sessions and materials for nondepartmental users, including the production and development of the on-line user guide wiki (video tutorials), and act as first point of contact for Raiser s Edge database queries for all users campus-wide. Ensure, maintain and monitor data quality assurance through cleaning and rationalisation of the database, and ensure data integrity and best practice in data entry is maintained by all users through refresher training where required. Co-ordinate requests for (mass) alumni data from services and departments campus-wide in order to support alumni relations activity across the University. Build database queries, create reports, produce mass data files/outputs and provide database expertise and support for, o a range of fundraising and alumni relations mailings, o fundraising telephone campaigns o website/database integration o general alumni/donor data enquiries o all in support of alumni relations and fundraising activities universitywide, finance reporting and monitoring targets. Prepare the data for the twice-yearly transfer of graduate information from the student database (Banner) to the alumni database (Raisers Edge) and assist the Database Officer with regular website and database upgrades. Recommend and implement areas of improvement/efficiencies; partake in (and co-manage) new lost alumni reactivation initiatives; and assist Alumni & Development office colleagues in data analysis and presentation advancements in order to develop data-driven decision making, impacting on a whole range of alumni relations and fundraising activities.
Provide cover for the Database Officer, during periods of absence, and develop knowledge of database gift processing procedures in order to support and provide cover for the Gift and Finance Assistant. Process all registration requests and profile updates generated by the Leeds Alumni Online website; manage all enquiries received into the Leeds Alumni Online e-mail inbox; approve and progress all requests to join the Leeds (careers advice) Network, also acting as first point of contact for support requests; and approve and progress all requests to join the Leeds Alumni Linked-In group. Person Specification Essential Experience with Raiser s Edge or other large contact database/crm Ability to effectively handle large volumes of data entry with an efficient and organised approach, demonstrating confidentiality and a high level of accuracy Excellent communication skills and the ability to relay database (or other) procedures clearly to colleagues at all levels demonstrating good interpersonal and team working skills Experience in data analysis for the purpose of decision making and report production Ability to organise and prioritise multiple activities to tight deadlines, maintaining accuracy and attention to detail A proactive approach displaying initiative and responsibility in the management of work projects with limited guidance Good IT skills and familiarity with Microsoft Word, Excel and Outlook Desirable Previous experience within a fundraising environment Previous experience of the Higher Education or voluntary sector Familiarity with Microsoft Access
