1 BRADFORD COLLEGE OUTLINE JOB DESCRIPTION POST TITLE: EVENTS CO-ORDINATOR (FURTHER EDUCATION) POST GRADE: Scale 4 POST REF:09002 The following information is furnished to assist staff joining the College to understand and appreciate the work content of their post and the role they are to play in the organisation. However, the following points must be noted. Whilst every endeavour has been made to outline all the duties and responsibilities of the post, a document such as this does not permit every item to be specified in detail. Broad headings, therefore, may have been used below, in which case all the usual associated routines are naturally included in the job description. Officers should not refuse to undertake work not specified on this form, but they should record any additional duties they are required to perform. PRIME OBJECTIVES OF THE POST Organise, deliver and evaluate a series of internal events and activities primarily designed to raise awareness of the college s FE proposition and maximise student recruitment. Represent the college at a range of external events and activities primarily designed to raise awareness of the college s FE proposition and maximise student recruitment. Work closely with the college s Coordinator to develop and coordinate the organisation of a portfolio of Summer School activities designed to maximise student recruitment. Build and maintain strong relationships with key stakeholders (college programme managers, secondary schools, careers service, connexions, etc) SUPERVISORY/MANAGERIAL RESPONSIBILITIES Staff providing manual handling support and porterage (both external suppliers and internal college staff). Students on work experience. Student Ambassadors. Staff providing support for specific activities, projects and initiatives coordinated by the team. SUPERVISION AND GUIDANCE Responsible to the Education Liaison Team Leader and ultimately the Head of Marketing To take guidance from and work effectively with key academic and central service staff in the College, including the Marketing Team, Coordinator, Learner Services, Inprint, Programme Managers and Curriculum Team Leaders.

2 The post holder will be expected to work effectively with key intermediaries, e.g. Connexions and careers service, advice and guidance organisations, voluntary organisations, secondary schools and other networks. RANGE OF DECISION TAKING Responsible for the organisation and prioritisation of own workload, taking guidance from the Team Leader. Take the lead in developing and organising events/initiatives/activities in order to promote awareness of the college s FE proposition. Determine what promotional/exhibition materials are required for events. Explore proactive and innovative ways of promoting the College. Manage and monitor the use of College exhibition and promotional materials. RESPONSIBILITY FOR ASSETS, MATERIALS, ETC. Exhibitions equipment and materials. Office equipment, stationery stocks, forms, publicity materials, promotional gifts, reference manuals, handbooks, prospectuses, databases and travel documents. Access to confidential files, reports, statistics, admissions and student databases and minutes of committee meetings. The post holder will normally be based in the Education Liaison Office. The person appointed will also be expected to work in other areas of the College or outside College premises (e.g. schools, colleges, exhibitions venues or in the community) and outside normal working hours (e.g. evenings, weekends etc). RANGE OF DUTIES 1. Internal events and activities 1.1 Develop, manage and evaluate the organisation of FE taster sessions in collaboration with programme areas, Bradford Confederation partners, careers service, schools and other intermediaries. 1.2 Develop, manage and evaluate the organisation of advice events for hard to reach groups (eg NEETs, Young Mothers, etc). 1.3 Organise and evaluate FE Prospectus and new course launch events designed to raise awareness of the college s FE proposition to key intermediaries. 1.4 Assist with the planning and organisation of college open days. 1.5 Assist with the planning and organisation of the annual FE Student Awards Ceremony.

External events and activities 2.1 Represent the college at a range of recruitment fairs and provide information and advice about College courses/services. 2.2 Develop, coordinate and manage a programme of visits to educational institutions in order to inform and advise prospective students about progression opportunities. 2.3 Deliver presentations, talks, and coordinate workshops, focussing on the opportunities available at and benefits of Bradford College. 3. Summer School activities 3.1 Work closely with the college s Coordinator to organise, administer and evaluate the college s portfolio of Summer School activities including Bite Size courses, Get started at College and Get started in Employment. 4. Build and maintain strong relationships with key stakeholders 4.1 Work closely with external stakeholders (eg Youth Offending Team, Leaving Care Service, Connexions, Careers Service, Advice & Guidance Services, YMCA, etc) to develop programmes suitable to the needs of their young people. 4.2 Contribute to the maintenance of the Education Liaison stakeholder database. 5. Evaluation of effectiveness of events / activities 5.1 Develop a system of tracking progression from events and activities through to application and enrolment and reporting on progression rates as required. 6. Other responsibilities 6.1 Keep abreast of developments in the UK educational system and the College s Curriculum and policies. 6.2 Contribute to market research and market intelligence. 6.3 Brief colleagues involved in activities/initiatives organised by the Education Liaison Team. 6.4 Plan, delegate and oversee the work of students on work placemen within established guidelines. 6.5 Collate and analyse data and produce reports. 6.6 Liaise with Marketing Team in the production of promotional materials related to events and activities organised.

4 6.7 Cooperate with College management in all Health and Safety matters and take reasonable care for the Health and Safety of yourself and other persons who may be affected by your acts or omissions at work. 6.8 As a term of your employment you can be required to undertake such other duties, temporarily or on a continuing basis, as may be required of you commensurate with your grade/level in the College. Salary: 17,218-19,208 p.a. CLOSING DATE: 20 JANUARY 2009 The job for which you are applying is exempt under the terms of the Rehabilitation of Offenders Act (1974) (Exceptions) Order 1975, and appointment to the post will be subject to a satisfactory Criminal Records Bureau (CRB) check. 7 BRADFORD COLLEGE CONDITIONS OF SERVICE APT & C STAFF Salary Hours of Work The salary for the post is indicated in the advertisement. Any queries on pay may be raised at interview. Increments are awarded annually in April, subject to minimum of six months service in the post. Your salary will be paid in four weekly by credit transfer into a bank or building society account. Employees on short-term/term-time temporary contracts must complete a Salary Claim form every 4 weeks and will be paid in arrears. Full-time hours of work are normally 37 per week - Monday to Thursday 8.30 am to 5 pm, Friday 8.30 am to 4.30 pm, with one hour for lunch each day; some flexibility in hours may be needed, in which case this will be discussed and agreed with you. Hours of work for part-time/term-time posts will be as indicated in the advertisement and discussed with you at interview. A flexible working hours scheme is operated in some areas of the College. Sick Pay Scheme Employees are eligible for the benefits of the Sick Pay Scheme, subject to length of service. Details are available from the Personnel Department. Superannuation Scheme All new employees (apart from Casual employees) automatically join the Scheme unless they positively elect not to, by formally notifying Personnel in writing. If you have a personal pension and wish to continue this, you must also notify Personnel in writing. Casual employees have the option of joining the scheme, if they wish. Full details will be given on appointment. Holiday Basic After 5 years service Entitlement Scales 1 to 4 20 days 25 days Scales 5 to 6 22 days 25 days SO1 and above 24 days 27 days The holiday year runs from 1 April to 31 March so new staff receive a proportion of their full year s entitlement according to completed calendar months of service as at next 31 March We try to honour holidays booked at the time of appointment wherever possible. Holiday entitlement for parttime staff is proportional to the number of contractual hours/days per week. APTC_conditions of service

8 Please note that if you leave the employment of the College partway through the holiday year, you will be entitled to only a proportion of the total leave for the year. If you have actually taken more leave than this, you will be required to repay the excess. Term-time only appointments Staff working term-time only do not receive annual leave entitlement and are normally expected to attend work throughout College terms. One week s pay for each complete term in addition to basic salary is paid in lieu of holiday entitlement except in the Summer term. College vacations do not generally coincide exactly with school holidays. Please note that the College does not operate a half-term break except during the summer term. Probationary Period External appointments are subject to an initial six-month probationary period during which progress is monitored and regularly reviewed. Staff Development The College encourages staff to develop their skills and knowledge through education and training identified jointly through discussions between managers and staff. Staff may apply for financial support and / time off to pursue relevant courses of study and such requests will be supported wherever possible. The College operates a No Smoking policy.
