3 Abut Yur Telephne Yur telephne prvides many features, including a Phne screen fr viewing and managing yur calls, a Call Lg, a Cntacts list, a menu f ptins and settings, and access t yur vic . Nt all functins and features described in this user guide may be available n yur telephne. If yu find that a functin r feature is nt available, please cntact yur system administratr. Table SIP IP Telephne Buttn/Feature Descriptins Name Descriptin USB Prt If yur phne gets its pwer frm a lcal AC pwer adapter (and nt directly frm the vice/data netwrk cnnectin), yu can recharge a battery-pwered device using yur phne's USB prt. Cnnect the device t yur phne with a USB cable t recharge it. Message Waiting Indicatr An illuminated red light in the upper-right crner f yur phne indicates yu have vic messages waiting. If Visual Alerting is enabled, this light flashes when yu receive an incming call. Missed Call Indicatr The icn n the Call Lg buttn is illuminated when yu have missed calls. The tp line shws the Missed Call icn and the number f calls missed. Prmpt Line View the prmpt line t see when yu can use the right r left navigatin arrws t view alternate screens r menus. Sftkeys Use the sftkeys t act n bjects displayed n the screen. The sftkey labels shw yu the actin that each key prduces. The labels and the actins vary depending n the bject that is selected. Message Press the Message buttn t cnnect directly t yur vic system. Use the up and dwn navigatin arrws t scrll thrugh lists. Use the right and left navigatin arrws t navigate between menus r t Navigatin Arrws mve the cursr during text input. OK Press the OK buttn fr a shrtcut t an actin. Fr example, when yu select a call lg entry, pressing OK dials the number. Phne Press Phne t view and manage yur calls. Cntacts Press Cntacts t view the entries in yur cntact list. Call Lg Press Call Lg t view a list f yur utging, incming, and missed calls. Avaya Menu Press Avaya Menu t cnfigure ptins and settings, access the brwser, lg ut, r view netwrk infrmatin. Vlume Press vlume t adjust the vlume f the handset, headset, speaker, and ringer. Headset Press Headset t use the headset if it is cnnected. Only HIS headset crds are cmpatible with yur phne. Mute Press Mute t mute a call in prgress. T take a call ff mute, press Mute again. Speaker Press Speaker t use the speakerphne. 4 Scrlling and Navigatin When navigating thrugh the ptins and features n yur telephne display, use the navigatin arrws t scrll and buttns t select lines r ptins. Use the up and dwn navigatin arrws t scrll up r dwn thrugh lists. Use the right and left navigatin arrws t g t ther screens when indicated by the Prmpt Line r t mve the cursr right r left when entering text. When yu scrll t a line n the display, that line is selected. The selected line is highlighted in black with white letters. The sftkey labels will change accrding t the ptins available fr the highlighted line. The OK buttn is a shrtcut fr the default actin. Fr example, when yu select an entry in yur Cntacts list, pressing OK places a call t that persn. Telephne Stand Yur telephne can be placed in tw psitins, a lwer psitin and an upright psitin. Yu can adjust the display screen t different angles. T mve the display screen, gently pull frm the tp f the display screen twards yu. As yu pull the screen twards yu, yu will hear a clicking sund. Each f these clicks is a lcking psitin fr the display screen. Gently push n the display screen t adjust the screen t a previus psitin. If yur phne is in the upright psitin, reverse the tab lcated belw the switchhk in the tp ear piece pcket (n the frnt f the phne). This will keep the handset seated in the crrect psitin. Yu will need a small screwdriver t lift this tab ut. Avaya Menu Yu can use the Avaya Menu t adjust and custmize ptins and settings fr yur telephne, get infrmatin abut yur phne and netwrk settings, and lg ut. When yu press the Avaya Menu buttn, yu see the fllwing menu: Optins & Settings... Netwrk Infrmatin... Abut Avaya ne-x Lg Out Optins & Settings lets yu change yur call settings, adjust brightness and cntrast, select yur ringing pattern, and mre. Netwrk Infrmatin shws a summary f netwrk-related parameters fr yur phne. Abut Avaya ne-x prvides the release number f yur telephne sftware. Lg Out lets yu sign ff the phne, t prtect yur settings r t allw anther user t lg in. Optins & Settings The Optins & Settings menu cntains chices fr: Call Settings Applicatin Settings Screen & Sund Optins Language and Regin Advanced Optins Call Settings includes chices fr autmatically displaying the Phne screen when yu get an incming call r when yu place a call, turning call timers n r ff, cntrlling hw Redial wrks, turning Visual Alerting n r ff, and mre. Applicatin Settings includes chices fr turning call lgging n r ff and including bridged calls in yur call lg. Screen & Sund Optins includes chices fr adjusting yur phne's brightness, ring pattern, backgrund lgs, and buttn clicks and tnes. 5 Advanced Optins includes chices fr user identificatin and integrating ther applicatins like Micrsft Exchange Server with yur phne. Yu can als set AGC fr yur handset, headset, and/r speaker audi. Features Menu The Features menu gives yu access t advanced telephny features, such as Call Frwarding, and Abbreviated Dial buttns. Yu can use Send All Calls and Call Frward t have yur incming calls sent t ther numbers. EC500 allws yu t answer yur incming calls frm yur desk phne r anther phne. Other features like Call Park, Call Pickup Extended, and Transfer t Vic may be available n yur Features menu.the particular features available t yu depend n what yur administratr has assigned t yur phne. Fr mre infrmatin abut what features and ptins are available fr yur extensin, cntact yur system administratr. Cnventins Used in the Prcedure Descriptins Cnventins Feature and Feature xxxxx LWC CnLWC AutCB Timer {handset tnes} Each f these represents a buttn that has a feature assigned t it. The buttn is labeled with the feature name, smetimes fllwed by an extensin number (shwn as xxxxx ) r a persn's name. Infrmatin that is ffset represents the display screen. The secnd line appearing n the display will mst likely list the features yu can access with the sftkeys. The tne that appears in curly qutes after a step, such as {dial tne}, indicates what yu shuld hear frm yur handset (r speakerphne) after successfully perfrming that step. Special Instructins Use the fllwing special instructins fr perating yur telephne. The first time yu use these prcedures, yu will need t custmize them fr yurself by btaining the relevant infrmatin frm yur system manager. T perate a feature, yu must have the handset ff-hk r the speaker r speakerphne n unless therwise nted. If yu receive anintercept tne (high-pitched, alternating high and lw tne) while attempting t perate any feature, yu have taken t much time t cmplete a prcedural step r have made a dialing errr. Hang up, get dial tne, and return t Step 1. Feature Finder Answer a Call Prvides the prcedures fr answering a call. When yu receive an incming call, the incming call is usually selected autmatically. Hwever, if yu are already n a call r if yu receive mre than ne incming call at a time, yu may need t select the call yu want t answer manually. If yu d nt have the Phne Screen n Ringing ptin enabled, yu must press Phne t chse a line r view call ptins. Make a Call Prvides prcedures fr making a call. Hld Puts a call n hld until yu can return t it. While a call is n hld, yu can place anther call, activate anther feature, answer a waiting call, r leave yur telephne t perfrm anther task. Use when yu have a call yu d nt wish t drp, but which yu have t interrupt briefly t d smething else. Transfer Transfers a call frm yur telephne t anther extensin r utside number. 6 Bridged Calls Yur phne may shw ne r mre bridged lines n the display screen in additin t yur wn lines. A bridged line typically belngs t smene else, but bridging allws yu t see if that line is in use, answer calls n that line, r jin a call in prgress n that line frm yur telephne. Yu can als make utging calls n a bridged line when it is nt in use. Cnference Lets yu speak with up t five peple in different lcatins n the same call. Additinal cnferencing ptins may be available thrugh Expanded Meet-Me Cnferencing. Cntact yur system administratr fr mre infrmatin abut this feature. Call Frwarding All Calls Permits yu t frward yur incming calls t anther number r t vic . If call frwarding is turned n, a Frwarding icn appears n the tp line f yur display screen. The frwarding features available n yur phne depend n the ptins yur system administratr has set. Fr mre infrmatin abut the ptins available t yu, cntact yur system administratr. The Call Frward feature allws yu t set a number t which yur calls will be frwarded, r turn ff call frwarding if it is already n. Yu must enter the telephne number where the calls will be frwarded each time yu use this feature. Send All Calls Sends yur incming calls directly t a predefined cverage number, typically yur vic . Incming calls ring nce at yur extensin and then g directly t a number which is set by yur system administratr. If the SAC feature is administered n yur phne, a SendAll sftkey appears n the Phne screen. Pressing SendAll turns Send All Calls n. If it is already n, pressing SendAll turns it ff. Yu can als turn Send All Calls n r ff by using the telephne Features list. Cntacts Permits yu t use yur cntact list as an address bk. Yu can save up t 250 names and telephne numbers. Call Lg Lets yu view a list f yur recent calls r t view separate lists f yur utging, answered, r missed calls. When yu have ne r mre missed calls, the Call Lg buttn lights and the Missed Calls icn and the number f missed calls display n the tp line. Telephne Settings Allws yu t cnfigure varius settings t utilize advanced featuers f yur telephne. Lg In/Out Telephne Allws yu t lg in and ut f yur telephne, while maintaining yur preferences, call infrmatin, and ptins if yu share a telephne with ther users. Lg ut t prevent unauthrized use f yur telephne during an absence. Message The lighted Message buttn and a red light n the upper right-hand crner f yur telephne indicate when yu have messages waiting. Yur messages are an administered functin. Cntact yur system administratr with any questins. Mute Fr turning ff (and then back n again) the micrphne s the ther persn n the call cannt hear yu. If a call is n mute and yu switch between the handset, headset, r speakerphne, the mute will be turned ff. When the Mute buttn light is n, the call is muted. Redial Permits yu t redial a recently dialed number. Answer a Call T answer an incming call: 1. 7 T answer a secnd call while yu are active n anther call: 1. If aut hld is cnfigured fr yur phne, frm the Phne screen, scrll t the line with the incming call and press Answer r OK. If aut hld is nt cnfigured fr yur phne, press Hld t put this call n hld, then scrll t the line with the incming call and press Answer r OK. Yu are cnnected t the incming call. T send an incming call directly t vic 1. Press T Vmail. All incming calls will nw g directly t vic . Nte: If yur telephne des nt display a T Vmail sftkey, yur administratr has nt made this feature available. T ignre an incming call: 1. Press Ignre. The ringer is turned ff fr the currently incming call. Make a Call T make a call: 1. If yu are nt n a call, simply dial the number yu want t call. r, Lift the handset, press Speaker, r press an available line buttn, then dial the number yu want t call. The call is placed. T call a persn frm the Cntacts list: 1. Press Cntacts. 2. Select the persn r number yu want t call. 3. Press Call r OK. The number is dialed. T redial a number: 1. Frm the Phne screen, press Redial. Nte: The last number will be redialed r yu will see a list f the mst recent numbers that yu have dialed, frm which yu can select ne t redial. 2. If a list f the mst recent numbers that yu have dialed is displayed, select the ne yu want t redial. 3. Press Call. The number is redialed. T call a persn frm the call lg: 1. Press Call Lg. 2. Select the persn r number yu want t call. 3. Press Call r OK. The number is dialed. Hld T put a call n hld: 1. Frm the main Phne screen, select the line yu want t put n hld. 2. Press Hld. 8 Transfer T transfer a call: 1. Press Transfer. 2. Dial the telephne number, r call the persn frm the Cntacts list, r call the persn frm the Call Lg list. 3. Press Cmplete. The call is transferred. Bridged Calls T answer a call n a bridged line: 1. If the ringing line is already selected, pick up the handset, r press Speaker r Headset r Answer. r, If the ringing line is nt already selected, select the bridged call that yu want t answer and press Answer. Nte: The ringing line will be selected autmatically if there are n ther active calls. If yu are n anther call when a call cmes in t a bridged line, yu have t select the ringing line (just like fr an incming call t a primary line). Yu are cnnected t the incming call. T make an utging call n a bridged line: Nte: When yu make a call n a bridged line, yu are using anther persn s line. The caller ID may shw the call as cming frm yu r cming frm the persn whse line yu are using. If yu have any questins abut hw the name r extensin displays t the persn yu are calling, cntact yur system administratr. 1. Select the bridged line yu want t use. 2. Press OK. {dial tne} 3. Dial the telephne number, r call the persn frm the Cntacts list, r call the persn frm the Call Lg list. The utging call is placed. T jin a call n a bridged line: 1. Select the line assciated with bridged call in prgress that yu want t jin. 2. Press Bridge. Yu are cnnected t the call. Cnference T add a persn n hld t a cnference call: 1. Frm the Phne screen, select yur active call. 2. Press Cnf. 3. Select the call n hld that yu want t add t the cnference. 4. Press Resume t take the call ff hld. 5. Press Jin t add the persn t the cnference call. Nte: Depending n hw yur telephne is administered, yu may nt have t press Jin t add the persn t the cnference call. The new persn is added t the active call. T set up a cnference call: 1. Frm the Phne screen, select yur active call. 2. Press Cnf. 3. Dial the telephne number, r call the persn frm the Cntacts list, r call the persn frm the Call Lg list. 4. Press Jin t add the persn t the existing call. The new persn is added t the active call. T put a cnference call n hld: 1. While yu are n the cnference call, press Hld. The cnference call is put n hld. The ther parties can still talk t each ther. 2. 9 T retrieve a cnference call frm hld: 1. Press Resume r OK. The cnference call is retrieved frm hld. Call Frwarding All Calls T frward yur calls t anther number: 1. Frm the Phne screen, scrll right t access the Features menu. 2. Select CFrwd. 3. Enter the number yu want t frward yur calls t. {cnfirmatin tne} Call frwarding is turned n. T cancel call frwarding: 1. Frm the Phne screen, scrll right t access the Features menu. 2. Select CFrwd. 3. Press Select r OK t turn call frwarding ff. {cnfirmatin tne} Call frwarding is turned ff. Send All Calls T tggle Send All Calls n r ff: 1. Frm the Phne screen, scrll right t access the Features menu. 2. Select SendAllCalls. 3. Press Select r OK t turn Send All Calls n r ff. Cntacts T add a new cntact: 1. Press Cntacts. 2. Press New. 3. Enter the name using the dialpad. Nte: T enter characters using the dialpad, press the number key that crrespnds t the letter r number yu want t enter until the letter r number is displayed. Pause befre entering the next character if the characters are n the same key. If yu want t delete the last character, press Bksp. If yu want t remve a letter, number, space, r symbl that is in the middle f the text yu entered, use the left and right navigatin arrws t place yur cursr after the character yu want t remve. Once yur cursr is in the crrect psitin, press Bksp t remve the character t the left f the cursr. If yu want t switch between upper and lwer case letters r number, press Mre > Abc; then press ABC again t cycle thrugh the ptins (Abc/123/abc/ABC) until the type yu want t use is displayed. If yu want t enter characters that are nt n yur dialpad, press Mre > Symbls and select the symbl yu want t use, then press OK t select the symbl. If yu want t delete all text and start ver, press Clear. 4. Select the next field. 5. Enter the (primary) telephne number. 6. Select the next field. 7. Select the type f number entered (wrk, mbile, hme, handle). If yu select handle, prvide a value that represents the extensin number, an symbl, and the cmpany name, fr example, 21234@avaya.cm. Yu can then determine the cntact's presence based n handle icns that appear next t this persn's name/number. 8. If yu have anther number fr this cntact, press +Cntact and repeat Steps 5 thrugh 7. Yu can establish up t five numbers fr this cntact. 9. Press Save r OK. T add an entry frm the call lg t yur Cntacts list: 1. Press Call Lg. 2. Select the number yu want t add t yur Cntacts list. 3. 10 4. Edit the name and telephne number, if necessary. 5. Press Save. The new entry is added t the Cntacts list. T edit an existing cntact: 1. Press Cntacts. 2. Select the cntact yu want t edit. 3. Press Mre > Edit. 4. Chse the field yu want t edit. 5. Use the dialpad and sftkeys t make changes t the cntact infrmatin. 6. Press Save r OK. Yur changes are saved. T delete a cntact: 1. Press Cntacts. 2. Select the cntact yu want t delete. 3. Press Mre > Delete. The display prmpts fr cnfirmatin. Nte: If yu want t exit this prcedure and cancel the deletin, press Cancel. 4. Press Delete. The selected cntact is deleted. T call a persn frm the Cntacts list: 1. Press Cntacts. 2. Select the persn r number yu want t call. 3. Press Call r OK. The number is dialed. T view Cntacts details: 1. Press Cntacts. 2. Select the cntact yu want t view. 3. Press Details. The infrmatin available fr that cntact is displayed. Call Lg T view the call lg: 1. Press Call Lg. Nte: Yu can g t the tp f the list by pressing Call Lg again. 2. Scrll t the right r left t view separate lists f yur answered, utging, r missed calls lists. T view call lg details: 1. Press Call Lg. 2. Select the number yu want t view. 3. Press Details. 4. T return t the list view, press Back. T call a persn frm the call lg: 1. Press Call Lg. 2. Select the persn r number yu want t call. 3. Press Call r OK. The number is dialed. T add an entry frm the call lg t yur Cntacts list: 1. Press Call Lg. 2. 11 4. Edit the name and telephne number, if necessary. 5. Press Save. The new entry is added t the Cntacts list. T clear all entries frm the call lg: 1. Press Call Lg. 2. Select the list yu want t delete. 3. Press Mre > Clear All t delete all f the entries in the list yu are viewing. The display requests cnfirmatin. 4. Press Clear All again r OK. All f the entries previusly visible frm this screen are deleted. T remve an entry frm the call lg: 1. Press Call Lg. 2. Select the number yu want t delete. 3. Press Mre > Delete. The display requests cnfirmatin. Nte: If yu want t cancel and exit this prcedure press Cancel. 4. Press Delete. The selected call lg entry is deleted. T tggle call lgging n r ff: 2. Select Optins & Settings r Phne Settings. 4. Select Applicatin Settings. 6. Select the type f call lgging yu want t turn n r ff. Nte: T turn lgging f bridged lines n r ff, select Lg Bridged Calls and press Change r OK. 7. Press Change r OK t turn call lgging n r ff. Telephne Settings T set the audi path: 2. Press Select r OK. 3. Select Call Settings. 4. Press Select r OK. 5. Select Default Audi Path. Nte: Yu can set yur phne t g ff-hk n the Speaker r the Headset when yu make an n-hk call. 6. Press Change r OK. 7. Press Save. 8. T return t the phne screen, press the Phne/Exit buttn. T adjust the cntrast f the display: 4. Select Screen & Sund Optins. 6. Select Cntrast. 7. 12 T specify what number the redial feature will dial: Nte: Yu can set Redial t dial the last number yu dialed r t display a list f the last numbers yu dialed. 4. Select Call Settings. 6. Select Redial. 7. If necessary, press Change r OK r the Right/Left Arrws t tggle between One Number and List. Nte: If yu chse One Number, then using the redial functin will cause the phne t dial the last number yu dialed. If yu chse List, then using the redial functin will cause the phne t display a list f the last numbers yu dialed and permit yu t chse. 9. T return t the phne screen, press the Phne/Exit buttn. T change the ring pattern: 4. Select Screen & Sund Optins. 6. Select Persnalized Ringing. 7. Press Change r OK t see a list f the available ring patterns. 8. Select a ring pattern t listen t it. If yu want t hear it again press Play r OK. 9. When yu want t make the current ring pattern yur selected ring pattern, press Save. The new ring pattern is established. 10. T return t the phne screen, press the Phne/Exit buttn. T turn phne screen n calling n r ff: Nte: Set the Phne Screen n Calling t Yes t autmatically display the Phne screen when yu place a call. 4. Select Call Settings. 6. Select Phne Screen n Calling. 7. Press Change r OK t tggle the ptin t Yes r N. 9. T return t the phne screen, press the Phne/Exit buttn. T turn phne screen n ringing n r ff: Nte: Set Phne Screen n Ringing t Yes t autmatically display the Phne screen when yu get an incming call. 4. Select Call Settings. 6. T return t the phne screen, press the Phne/Exit buttn. T turn the call timer ff: 4. Select Call Settings. 6. Select Display Call Timers. 7. Press Change r OK t turn the call timer display n. The call timer is turned ff; the duratin f calls will n lnger be displayed n yur screen. 9. T return t the phne screen, press the Phne/Exit buttn. T turn visual alerting n: 4. Select Call Settings. 6. Select Visual Alerting. 7. Press Change r OK t turn Visual Alerting n. Visual alerting is turned n. Incming calls will nw cause the LED in the tp right crner f the phne t flash. 9. T return t the phne screen, press the Phne/Exit buttn. T turn visual alerting ff: 4. Select Call Settings. 6. Select Visual Alerting. 7. Press Change r OK t turn Visual Alerting ff. Visual alerting is turned ff. Incming calls will n lnger cause the LED in the tp right crner f the phne t flash. 9. T return t the phne screen, press the Phne/Exit buttn. T turn autmatic gain cntrl n: 4. Select Advanced Optins. 6. Select Autmatic Gain Cntrl. 7. Press Select r OK. 8.
