Please refer t yur welcme fr yur WebEx website infrmatin. T dwnlad the plugin: Click Hst Lgin in the tp right hand crner t lgin Click Meeting Center n the tp navigatin bar Click Dwnlads n the left clumn Chse the prper dwnlad frmat: Chrme, Internet Explrer r Mac OSX Updated Glbal Access Numbers

2 Please be aware with the new Jabil Cnferencing Service that there are new dial-in numbers. It is recmmended t update any saved speed dials t the in-cuntry glbal access numbers - they can be fund n the Jabil Cnferencing Service website Fr China Users, the recmmended dial-in number t use is: (English greeting) r (Mandarin greeting) In the near future a tll-free number will be prvided (tll-free is nt necessarily cheaper than the number specified abve) WebEx Prfile Settings (Time zne, ) It is imprtant t check yur WebEx settings t make sure the time zne are set accurately and that yur ther prfile details are crrect. Fr step-by-step instructins, see belw: G t the WebEx website listed in yur Welcme Click Hst Lgin in the tp right hand crner t lgin Click n My WebEx (Glbe icn n the right side n the navigatin bar) In the left hand clumn, scrll dwn and click n My Prfile Cnfirm yur persnal infrmatin is crrect (Name, , Phne numbers etc) Under the Web Page Preferences - cnfirm the crrect time zne. NOTE: Yur meetings in Ggle calendar will shw up as linked t the time zne listed here - cnfirm they are accurate When finished, click Update at the bttm f the page Please be aware that when traveling, yur WebEx time zne des NOT autmatically update Hsting a successful WebEx call with Vide In rder t have the vide functin wrk prperly fr all f yur WebEx participants please ensure they fllw the steps belw. If they d nt, the vide will nt switch t the active speaker and will shw Call-in User X instead. After yu have launched the WebEx windw a pp-up bx appears indicating the 3 steps t jin. The last step MUST be fllwed fr the vide functin t wrk prperly. Please see Step 3 highlighted in the screensht belw:

3 Prir t cmpleting the 3 steps, the user will appear in the meeting as shwn belw: The screensht belw shws a user successfully linking their audi phne and WebEx tl. The icns in frnt f the participant s name indicate that they have cmpleted the 3 steps in the pp-up windw and vide will nw wrk prperly fr them. Using the WebEx app with a Smartphne Participants can jin a WebEx meeting with their Smartphne and enjy the same functinality as the desktp versin.

Once prperly cnfigured, it allws WebEx sessins t be easily added t a meeting invitatin:

ESNA issue An issue has been fund with sme users. Once they cmplete the steps in the Integratin guide the WebEx link in the abve screensht des nt appear. Please fllw these trubleshting steps prir t calling supprt: Step 1. In the Chrme Brwser click the drp dwn buttn > Settings

6 Step 2. Scrll Dwn and Click Shw advanced settings Step 3. Scrll Dwn and Click Change prxy settings... Step 4. Click LAN Settings

7 Step 5. If the bxes are checked, uncheck each f them. It shuld match the screen sht belw.

8 Step 6. Click OK, Click OK and restart the Chrme brwser. Updating Default Dial-In Numbers Yur default dial-in number is setup by regin. In the Americas regin the default dial-in is a US tll-free number, in Eurpe it s a UK number and in Asia it s a Malaysian number. The default telecnferencing infrmatin belw can be mdified t shw a different call-in tll-free number & call-in number. 9 China Lcal Dial In: China Internatinal Dial In: Here are the steps; 1. Verify which tll-free & call-in Number t use at this lcatin: 2. Lgin t the WebEx site 3. Click n My WebEx 4. Click n "My Audi" 5. Click n "Edit" 6. Edit the Call-in Tll-Free & Call-in Numbers t a new number fund in Step 1. NOTE: Please duble check the numbers. If they are nt entered crrectly users wh receive the t dial-in will nt be able t enter the meeting. NOTE: D NOT change yur access cdes in this sectin. If changed, users will nt be able t jin the scheduled meeting. If yu wuld like t change yur access cdes, see the sectin Updating Passcdes belw. Updating Passcdes As a hst, there are tw passcdes used with the accunt. The Hst access cde & Attendee access cde. These access cdes can be changed, hwever, they will be randmly generated. There is n way t specify a custm cde. Hst access cde: 1xx 2xx 3x Attendee access cde: 1xx 2xx 3x

10 T update the cdes cntact the Cnferencing Help Desk: Ggle Calendar Plug-in / ESNA Scheduling Issue Recurring Meetings Canceled An issue has been fund when users try t cancel ne meeting ut f a recurring series. If ne f the meetings are canceled, the entire recurring series f meetings are canceled in the WebEx Database. Explanatin f the Issue In the Ggle Calendar & ESNA Plug-in it still shws the upcming recurring meetings. Hwever, if lgged int the WebEx site ( it will shw all ccurrences f the meeting were remved. Hw des this impact yu? Users are unaware their meeting has been cancelled until they try and start/launch the meeting. Hw will this be fixed? A sftware patch will be released in apprximately 3 weeks and an update will fllw. Entry / Exit Call Settings In rder t change the Entry / Exit settings (ie. Annunce Name, Beep, Nne). 11 WebEx / ESNA Templates Please be aware that an ESNA template is nly used t push cnfiguratin t WebEx each time a Ggle Calendar invitatin is created and includes WebEx. The template cnfiguratin is NOT saved t WebEx. WebEx has their wn templates that can be setup after yu lgin. If there is a need t save a special WebEx template, then the meeting must be scheduled directly via WebEx ( and NOT via the Ggle Calendar plug-in (ESNA).
