2 Using Identity Finder ITS Training Dcument Our intentin is nt t recreate the Identity Finder Help Screens but t get yu started using Identity Finder. Full Help screens can be fund by clicking the icn in the upper right-hand crner. Hw d I get Identity Finder n my cmputer? Please call yur desktp supprt specialist t have Identity Finder installed n yur cmputer. Hw d I begin wrking with Identity Finder? Identity finder, nce installed will place an icn n yur desktp: ITS suggests yu restrict the amunt f PII used in everyday wrk. If yu need t use PII, this dcument can help yu t remve all cases f PII n yur cmputer by using Identity Finder. Duble-Click this icn t begin running the prgram. nter in the passwrd that yur desktp supprt specialist supplied t yu. 1

3 F the first time nly, select Cntinue Search Wizard therwise click Start Search Nw. Select Cnfigure Search 2

4 Select the Identity types yu wish t search fr Credit Cards and Scial Security Numbers are defaulted and cannt be mitted. Selecting mre r less Identity types will nt affect scan speed r memry lad n yur cmputer Click Next 3

5 Then select the fllwing scan lcatins: A Cnfirmatin Page f yur selectin will appear. Click Finish The Scan will begin t run. Yu may minimize the windw and allw it t run in the backgrund. 4

7 Hw d I handle the results f the scan? Cleaning PII frm yur cmputer Once the scan is cmpleted, users shuld g thrugh the results, ne by ne, and examine each item t determine if it is valid (nt a false psitive) and required infrmatin. Then, with the apprval f their supervisrs r department Directr, users shuld mve any PII files t a secure server such as WesFiles r Dragn. The belw instructins will describe hw t manage the scan results. Viewing Scan Results Upn scan cmpletin yu will be presented with a quick dialgue reprt. Select Save As and save the reprt t a pre-determined space supplied t yu by yur desktp supprt specialist. Then select Advanced. 6

8 The Scan Results page is split up int three sectins: Scan Results Preview Pane Scan Results Lcatin Display the lcatin n the cmputer that the ffending file can be fund (hvering muse ver the lcatin will reveal the full path if truncated). Date Mdified Displays the date the file was last mdified. Size The size f the file Icn Displays the Identity Type in icn frmat (See Identities Tab fr definitins) Identity match displays the identity in questin # - Displays the number f identities per file. Preview Pane Displays the cntents f the file selected in the search results with the ffending data highlighted. 7

9 Cleaning Scan Results T clean the files frm the cmputer yu may use the tlbar in cnjunctin with clicking each search result r right-click n the search result t take an actin. Yu may als click the check bxes n the left-hand side f the search results t place actins n a grup f files fr mass changes. Tls ither thrugh Tlbar r Right-click n result. Filter Results Allws fr searching and arrangement by identity type. xpand/cllapse All Rws fr files with multiple identity types Allw fr viewing details within files n each identity type. Status Windw Displays the current state f the mst recent scan. Shred Deletes the file frm the lcatin. WARNING: Shredded files cannt be recvered. Scrub Remved the lcated identity types frm the selected file. Secure Allws file t be passwrd prtected t ensure security. Quarantine Shreds the riginal file but stres a cpy in a secure lcatin f the users chice (i.e. Wesfiles r secured backup drive). Recycle Sends t cmputer Recycle Bin fr standard deletin, this item is recverable. Ignre Allws the user t set a file t be ignred in future searches. Item Lcatin Ignre this path in future searches (i.e. c:\users\username\dcuments\my encrypted flder\file.dc) Identity Match Ignre this exact identity match (i.e. smartkeys r ther false psitives that may appear) Launch Opens the file in questin. Previus/Next Match Searches the file fr the next/previus match within the file. Prperties Opens the file prperties. Scheduling Recurring Scans Once yu have cmpletely managed yur results list yu can clse ut f the prgram. It is suggested that yu run a manual scan at least nce per week. T make it easier n yu, yu can set up a scan t autmatically run at a certain time each week t ensure cmpliance with keeping PII ff yur cmputer. 8

10 Cnfiguratin Tab Click Scheduling Check the fllwing Schedule Identity Finder checkbx Use Prfile Settings (Optinal) Autmatically save results securely with passwrd File Lcatin Shuld be the same pre-determined space supplied t yu by yur desktp supprt specialist nter/cnfirm Passwrd Only use the pre-determined passwrd supplied t yu by yur desktp supprt specialist. Then Click the Cnfigure bx 9

11 Schedule Task: Weekly Start Time: Please select a time during wrking hurs Schedule Task Weekly - very 1 weeks n - Select a weekday. Click OK Click OK Schedule Task Accunt Settings nter in yur Wesleyan Username nter in yur prtfli passwrd Cnfirm with yur prtfli passwrd Click OK 10
