3 Abut Yur Telephne The 1608 IP telephne is a multiline IP telephne fr use with Avaya Cmmunicatin Manager r Avaya Distributed Office call prcessing systems. The 1608 IP telephne puts cnvenient features and capabilities at yur fingertips, including a Phne screen t view and manage yur calls, a Cntacts list, a Call Lg, a menu f ptins and settings t custmize yur phne, and access t yur vice mail. Nt all functins and features described in this user guide may be available n yur telephne. If yu find that a functin r feature is nt available, cntact yur system administratr. Name Message Waiting Indicatr Phne Display Sftkeys Message Navigatin Arrws 1608 IP Telephne Buttn/Feature Descriptins Descriptin An illuminated red light in the upper-right crner f yur phne indicates yu have vic messages waiting. If Visual Alerting is enabled, this light flashes when yu receive an incming call. There are three lines in the phne display. When the phne is idle, the tp line shws the missed call icn with the number f calls missed and either the call frwarding icn, the Send All Calls icn, r the EC500 icn when ne f thse features is enabled. The tp line als shws the primary extensin and the time and date. System messages are als displayed n the tp line. The middle displays applicatinspecific infrmatin. The bttm line displays the sftkey labels. Press the sftkeys t select the sftkey labels. The sftkey labels shw yu the actin that each sftkey prduces. The labels and the actins vary depending n the bject that is selected. Press the Message buttn t cnnect directly t yur vic system. Press the up and dwn navigatin arrws t scrll thrugh lists. Press the OK buttn fr a shrtcut t an actin. Fr example, when yu select a call lg entry, pressing the OK buttn dials the number. Press the Phne/Exit buttn t view and manage yur calls. Fr example, if yu are viewing a menu, pressing the Phne/Exit buttn switches the phne display back t the call view. Press the A buttn t access the Avaya menu. Press the A buttn twice t exit the Avaya menu. The Avaya menu prvides ptins that allw yu t custmize phne settings, cnfigure call lgging, select the display language, view netwrk infrmatin, and lg ut. Press the Cntacts buttn t view the entries in yur cntact list. Press the Call Lg buttn t view a list f yur utging, incming, and missed calls. The icn n the Call Lg buttn is illuminated when yu have missed calls. Press Redial t either dial the last number yu dialed r display the redial list frm which yu can select a number t redial. Press Hld t put the active call n hld. Press Cnference t add anther party t an existing call. Press Transfer t transfer a call t anther number. Press Drp t drp the active call. While n a cnference call, press Drp t drp the last persn added t the cnference call. Press + r - n the Vlume buttn while active n the handset, headset, r speaker t adjust the vlume. T adjust the vlume f the ringer, press + r - n the Vlume buttn while the handset, headset, and speaker are inactive. Press the Headset buttn t use the headset if it is cnnected. Only HIS headset crds are cmpatible with yur phne. Press Mute t mute a call in prgress. T take a call ff mute, press Mute again. Press the Speaker buttn t use the speakerphne. T take a call ff speakerphne, lift the handset r press the Headset buttn. There are 8 buttns that can be prgrammed by the system administratr as either call/line appearance buttns r feature buttns. Press a call/line appearance buttn t make r answer a call r resume a call n hld. Press a labeled feature buttn t enable r disable that feature. The feature buttns prvide access t the Avaya call management system features that have been administered fr yur extensin. The green LED next t each feature buttn indicates if the feature is currently n r ff. If the light is n, the feature is n. The feature buttns prvide the same features that are available in the features menu. Abut LEDs Each call/line appearance buttn and feature buttn has tw LEDs, ne green and ne red, t indicate the status f the call/line appearance r feature. The status is identified by whether the LED is turned n, ff, r blinking as described in the fllwing tables. Table 1. Abut Icns Icns are prvided in the phne display t indicate the state f a call and navigatin chices. The icns that appear in the phne display are described in the fllwing table. Table 3. Abut Scrlling and Navigatin T navigate thrugh the ptins and features n yur telephne display, use the navigatin arrws t scrll and the OK buttn t select lines r ptins. A navigatin icn appears in the phne display t indicate that yu can scrll t mre ptins r infrmatin. Use the up and dwn navigatin arrws t scrll up r dwn thrugh lists. Use the right and left navigatin arrws t g t ther screens r t mve the cursr right r left when entering text. When yu scrll t a line n the display, that line is selected. The sftkey labels will change accrding t the ptins available fr the selected line. The OK buttn is a shrtcut fr the default actin. Fr example, when yu select an entry in yur cntacts list, pressing the OK buttn places a call t that persn. Abut Paper Labels Next t each call/line appearance buttn and feature buttn is a paper label. The label identifies the call/line appearance number r the feature that has been prgrammed n the buttn by yur system administratr. 6 want t change a label r write n a blank ne. Printed labels are als available fr yur telephne. See yur system administratr fr mre infrmatin. Advanced Telephne Features Avaya call management systems prvide many advanced telephne features such as Directry, Call Frwarding, and Abbreviated Dial buttns. These features are administered n the feature buttns n yur telephne. The features are identified n the assciated paper labels. The features that have been administered fr yur telephne are als listed in the Features Menu that yu can access frm the Phne display. Fr mre infrmatin abut the Features Menu, see Abut the Features Menu. The features that are available t yu depend n what yur administratr has assigned t yur telephne. A few f the mst cmmnly administered features are explained belw. Fr mre infrmatin abut all the features that are available fr yur extensin, cntact yur system administratr. Avaya Menu Yu can use the Avaya Menu t adjust and custmize phne settings, cnfigure call lgging, select the display language, view netwrk settings, and lg ut. The Avaya Menu has six sub-menus: Screen/Sund lets yu adjust the display brightness and cntrast, select yur ringing pattern, turn buttn click sunds n and ff, and turn errr tnes n and ff. Call Settings lets yu turn the call timer display, visual alerting, and shw incming calls n r ff; set the redial ptin; and set the audi path t speakerphne r headset. Applicatins lets yu turn call lgging n and ff as well as turn lgging f bridged calls, line calls, and line calls answered by thers n and ff. Advanced Optins lets yu select the display language; set autmatic gain cntrl n the handset, headset, and speaker; r initiate a manual backup/restre if yu have a backup/restre file server. See yur system administratr fr mre infrmatin. Netwrk Infrmatin shws a summary f netwrk-related parameters fr yur phne, such as IP parameters and Quality f Service. Lg Out lets yu lg ut f yur telephne t prevent unauthrized use during yur absence. Nte: The sub-menus that appear depend n hw yur extensin was administered. Sme submenus may nt be available. Cnventins Cnventins Used in the Prcedure Descriptins Feature and Feature xxxxx LWC CnLWC AutCB Timer {handset tnes} Each f these represents a buttn that has a feature assigned t it. The buttn is labeled with the feature name, smetimes fllwed by an extensin number (shwn as xxxxx ) r a persn's name. Infrmatin that is ffset represents the display screen. The secnd line appearing n the display will mst likely list the features yu can access with the sftkeys. The tne that appears in curly qutes after a step, such as {dial tne}, indicates what yu shuld hear frm yur handset (r speakerphne) after successfully perfrming that step. Special Instructins Use the fllwing special instructins fr perating yur telephne. The first time yu use these prcedures, yu will need t custmize them fr yurself by btaining the relevant infrmatin frm yur system manager. 7 If yu receive an intercept tne (high-pitched, alternating high and lw tne) while attempting t perate any feature, yu have taken t much time t cmplete a prcedural step r have made a dialing errr. Hang up, get dial tne, and return t Step 1. Feature Finder Answer a Call Prvides the prcedures fr answering a call. When yu receive an incming call, the green LED assciated with the call will flash. The incming call is usually selected autmatically. Hwever, if yu are already n a call r if yu receive mre than ne incming call at a time, yu may need t select the call yu want t answer manually. Make a Call Prvides prcedures fr making a call. Hld Puts a call n hld until yu can return t it. While a call is n hld, yu can place anther call, activate anther feature, answer a waiting call, r leave yur telephne t perfrm anther task. Use when yu have a call yu d nt wish t drp, but which yu have t interrupt briefly t d smething else. Transfer Transfers a call frm yur telephne t anther extensin r utside number. Use when yur caller needs t speak further with smene else. Bridged Calls Yur phne may shw a bridged call appearance n the display screen in additin t yur wn call appearances. A bridged call appearance typically belngs t smene else, but bridging allws yu t see if that call appearance is in use, answer calls n that call appearance, r jin a call in prgress n that call appearance frm yur telephne. Yu can als make utging calls n a bridged call appearance when it is nt in use. The ringing bridged call appearance may be selected autmatically if there are n ther active calls. If the ringing appearance is displayed, yu can answer by picking up the handset r by pressing the Speaker buttn. If yu are n anther call when a call cmes in t a bridged call appearance, yu may have t select the ringing call appearance buttn (just like fr an incming call t a primary line). Cnference Permits yu t establish a cnference call t speak with up t five peple in different lcatins n the same call. Additinal cnferencing ptins may be available thrugh Expanded Meet-Me Cnferencing. Cntact yur system administratr fr mre infrmatin abut this feature. Call Frwarding All Calls Allws yu t frward yur incming calls t anther number. Yu must enter the telephne number where the calls will be frwarded each time yu use this feature. Yu can frward calls nly t internal numbers. Send All Calls Allws yu t send all f yur incming calls directly t a predefined cverage number, typically yur vice mail. Incming calls ring nce at yur extensin and then g directly t a number which is set by yur system administratr. Directry Allws yu t dial ther users in yur system by name. Cntacts Permits yu t use yur cntact list as an address bk. Yu can save up t 100 names and telephne numbers. Call Lg Lets yu view a list f yur recent calls r t view separate lists f yur utging, answered, r missed calls. See the prcedures fr turning call lgging n r ff fr infrmatin abut lgging bridged call appearances, line call appearances, and line calls that are answered by thers. 8 Lg In/Out Telephne Permits yu t lg in and ut f yur telephne, and maintain yur cntacts and persnal ptins if yu share a telephne with ther users, r if yu want t use the same extensin frm anther phne. Lgging ut als prevents unauthrized use f yur telephne during an absence. Call lg infrmatin is lst after yu lg ut. Message Use the Message buttn t cnnect directly t yur vice mail system. A red light n the upper right-hand crner f yur telephne indicates when yu have messages waiting. Yur messages are an administered functin. Cntact yur system administratr with any questins. Mute Fr turning ff (and then back n again) the micrphne s the ther persn n the call cannt hear yu. If a call is n mute and yu switch between the handset, headset, r speakerphne, the mute will be turned ff. When the Mute buttn light is n, the call is muted. Redial Permits yu t redial a recently dialed number. Simultaneus Ringing Allws yu t have incming calls ring n yur ffice telephne and yur cell phne at the same time. This allws yu t answer ffice calls while yu are away frm yur desk. The cell phne number is prgrammed by yur system administratr. Answer a Call T answer an incming call: 1. If yu are n anther call, press the call/line appearance buttn whse green LED flashes fr the incming call, r press the Answer sftkey if ne appears. If yu are nt n anther call, either: lift the handset, r press the call/line appearance buttn whse green LED flashes fr the incming call, r press the Answer sftkey if ne appears, r press the Speaker buttn t answer using the speakerphne, r, press the ON buttn if yu are using a wireless headset, r press the Headset buttn t answer using a wired headset. Yu are cnnected t the caller. T answer an incming call while yu are n anther call: 1. Press Hld t put yur active call n hld, then press the call/line appearance buttn whse green LED is flashing fr the incming call. Yu are cnnected t the incming caller. Nte: T autmatically display the Phne screen whenever yu receive an incming call, set the G t Phne Screen n Ringing ptin t Yes. Nte: If the Aut Hld feature is enabled by yur system administratr, yu can answer anther call withut first putting an active call n hld. If Aut Hld is nt enabled, yu must put yur active call n hld befre answering the incming call; therwise, yu will drp the active call when yu answer the ther ne. T send an incming call directly t vice mail: Nte: In rder t use this prcedure, yur vice mail must be administered as the first entry in yur cverage path. See yur system administratr fr mre infrmatin. 1. Press the T Vmail sftkey. The incming call ges directly t vice mail. T ignre an incming call: 1. Press the Ignre sftkey. 9 Make a Call T make a call: 1. If yu are nt n a call, simply dial the number yu want t call. r, Lift the handset, press the Speaker buttn, press the Headset buttn, press an available line buttn, r press the OK buttn if an idle call/line appearance is available, then dial the number yu want t call. The call is placed. T call a persn frm the cntacts list: 1. Press the Cntacts buttn. 2. Scrll up r dwn t select the persn r number yu want t call. 3. Press the OK buttn r the Call sftkey. The call is placed. T redial a number: 1. Frm the Phne screen, press the Redial buttn. Nte: The last number will be redialed r yu will see a list f the mst recent numbers that yu have dialed, frm which yu can select ne t redial. 2. If yu see a list f numbers, select the number yu want t redial. 3. Press the OK buttn r the Call sftkey. T call a persn frm the call lg: 1. Press the Call Lg buttn. 2. If necessary, scrll t the left r right t view a separate list f all, missed, answered, r utging calls. 3. Scrll up r dwn t select the persn r number yu want t call. 4. Press the OK buttn r the Call sftkey. The call is placed. Hld T put a call n hld: 1. Press Hld. Yur active call is put n hld. The LED next t the call/line appearance fast blinks green. T retrieve a call n hld: 1. If there is mre than ne call n hld, press the call/line appearance buttn r scrll t the call and press the Resume sftkey r the OK buttn. If there is nly ne call n hld, press the Hld buttn, r press the call/line appearance buttn, r press the Resume sftkey, r press the OK buttn. The call is retrieved. Transfer T transfer a call: 1. If the call yu want t transfer is nt yur active call, press the call/line appearance buttn fr the call yu want t transfer. If the call yu want t transfer is n hld, press the call/line appearance buttn fr the call n hld that yu want t transfer. 2. Press Transfer. The green LED next t the call/line appearance buttn fast blinks. 3. Dial the telephne number, r call the persn frm the cntacts list, r call the persn frm the call lg. 4. 10 Bridged Calls T answer a call n a bridged call appearance: 1. Press the call/line appearance buttn assciated with the bridged call appearance. Nte: The ringing bridged call appearance may be selected autmatically if there are n ther active calls. If yu are n anther call when a call cmes in t a bridged call appearance, yu may have t select the ringing bridged call appearance buttn (just like fr an incming call t a primary line). 2. Press the Answer sftkey. Nte: Answering a call n a bridged call appearance is basically the same as a call n a primary line. If the ringing bridged call appearance is selected, yu can answer by picking up the handset, by pressing the Speaker r Headset buttn, r pressing the Answer sftkey. T make an utging call n a bridged call appearance: Nte: When yu make a call n a bridged call appearance, yu are using anther persn s call appearance. The caller ID may shw the call as cming frm yu r cming frm the persn whse call appearance yu are using. If yu have any questins abut hw the name r extensin displays t the persn yu are calling, cntact yur system administratr. 1. Press the call/line appearance buttn assciated with the bridged call appearance. 2. Dial the telephne number r call the persn frm the cntacts list, r call the persn frm the call lg. T jin a call n a bridged call appearance: 1. Scrll t the call in prgress that yu want t jin. 2. Press the call/line appearance buttn fr the bridged call appearance, r press the Bridge sftkey. Yu are cnnected t the call. Cnference T make a cnference call: 1. While active n a call, press the Cnference buttn. The green LED next t the call/line appearance buttn fast blinks. 2. Dial the telephne number, r call the persn frm the cntacts list, r call the persn frm the call lg. 3. Press the Cnference buttn r the Jin sftkey. The persn is added t the existing call. T add a persn n hld t a cnference call: 1. Frm the Phne screen, select yur active cnference call. 2. Press the Cnference buttn. The active cnference call is put n sft hld. 3. Press the call/line appearance buttn fr the call n hld. r, Scrll t the call n hld, and press the Resume sftkey. Nte: Be sure nt t chse the call/line appearance buttn fr the call that is n sft hld. 4. Press the Jin sftkey r the Cnference buttn. The persn is added t the cnference call. T drp the last persn added t a cnference call: 1. While active n the cnference call, press the Drp buttn. The last persn added t the cnference call is drpped. T drp a persn n a cnference call: 1. Frm the Phne screen select the Details sftkey (if available) during a cnference call, scrll t the persn yu want t drp and press the Drp buttn. The selected persn n the cnference call is drpped. T put a cnference call n hld: 1. Press the Hld buttn during a cnference call. The cnference call is placed n hld. The green LED next t the call/line appearance buttn blinks. 11 T retrieve a cnference call n hld: 1. Press the Resume sftkey. r, If there is nly ne cnference call, press the Hld buttn. Yu are recnnected t the cnference call. T silence a persn n a cnference call: 1. During the cnference call, frm the Phne screen, select the Details sftkey (if available). 2. Scrll t the persn yu want t silence. 3. Press the Silence sftkey. The selected persn is silenced. Nte: Only peple calling frm external numbers can be silenced n a cnference call. T view cnference details: 1. During the cnference call, frm the Phne screen, press the Details sftkey (if available). 2. Scrll t view the participants n the call. 3. T exit cnference details, press the Exit sftkey. Call Frwarding All Calls T frward all yur calls: 1. Press the CFrwd feature buttn. {dial tne} 2. Dial the number t which yu want t frward yur calls. {cnfirmatin tne} The frwarding icn appears n the tp line f yur phne display. The green LED next t the feature buttn turns n. T turn call frwarding ff: 1. Press the CFrwd feature buttn. Call frwarding is cancelled. The frwarding icn n lnger appears n the tp line f yur phne display. The green LED next t the feature buttn turns ff. If yu use a Feature Access Cde t enable call frwarding, the frwarding icn des nt appear in the phne display. Send All Calls T send all yur calls t cverage: 1. Press the SAC feature buttn. All calls are sent t cverage. The frwarding icn appears n the tp line f yur phne display. The green LED next t the feature buttn turns n. T cancel Send All Calls: 1. Press the SAC feature buttn. Send all Calls is cancelled. The frwarding icn n lnger appears n the tp line f yur phne display. The green LED next t the feature buttn turns ff. If yu use a Feature Access Cde t enable Send All Calls, the frwarding icn des nt appear in the phne display. T call a persn frm the crprate directry: 1. Press the Directry feature buttn. 12 2. Use the dialpad keys t start spelling the last name f the persn yu want t call. Nte: Press each dialpad key ne time fr each crrespnding letter. Fr example, fr "Hill," press 4, 4, 5, If necessary, press the Next feature buttn t view the next name alphabetically in the directry. 4. When yu see the name yu want, press the Make Call feature buttn. The utging call is placed. 5. T exit the Directry, press the Phne/Exit buttn r the Exit sftkey. Cntacts T add a new cntact: 1. If this is nt the first cntact being added t the cntacts list, press the Cntacts buttn. 2. Press the Mre sftkey. Nte: If the Mre sftkey is nt displayed and this is nt yur first cntact, press the Cntacts buttn again. 3. Press the New sftkey. The display prmpts fr the new name. 4. Enter the name using the dialpad. Nte: Use the dialpad t enter characters. Repeatedly press the number key that crrespnds t the letter r number yu want t enter until the letter r number is displayed. If the next character is n the same key, pause befre entering the next character. T enter a space, press 0. Enter remaining letters r numbers. If yu need t delete the last character, press the Bksp sftkey. If yu want t remve a letter, number, space, r symbl that is in the middle f the text yu entered, use the left and right navigatin arrws t place yur cursr after the character yu want t remve. Once yur cursr is in the crrect psitin, press the Bksp sftkey t remve the character t the left f the cursr. 5. Press the OK buttn r the OK sftkey. The display prmpts fr the telephne number. 6. Enter the telephne number. Nte: Enter the telephne number as yu wuld if yu were dialing it directly. 7. Press the Save sftkey r the OK buttn. The new cntact is added t the cntacts list. T add an entry frm the call lg t yur cntacts list: 1. Press the Call Lg buttn. 2. Scrll t the number yu want t add t yur cntacts list. 3. Press the Details sftkey. 4. Press the +Cntact sftkey. Nte: If yur cntacts list is full, the +Cntact sftkey is nt displayed. 5. T edit the name r number, scrll up r dwn and edit as apprpriate. 6. Press the Save sftkey r the OK buttn. The new entry is added t the call lg. T edit a cntact: 1. Press the Cntacts buttn. 2. Scrll t the cntact yu want t edit. 3. Press the Details sftkey. 4. Press the Edit sftkey. The cntacts recrd is displayed. 5. Scrll up r dwn t chse the field yu want t edit. 6. Use the dialpad and sftkeys t make changes t the cntact infrmatin. 7. Press the Save sftkey r the OK buttn. Yur changes are saved. T delete a cntact: 1. Press the Cntacts buttn. 2. Scrll t the cntact yu want t delete. 3. Press the Mre sftkey. 4. Press the Delete sftkey. The display prmpts fr cnfirmatin. 13 5. Press the Delete sftkey again. The selected cntact is deleted. T call a persn frm the cntacts list: 1. Press the Cntacts buttn. 2. Scrll up r dwn t select the persn r number yu want t call. 3. Press the OK buttn r the Call sftkey. The call is placed. T view a cntact's details: 1. Press the Cntacts buttn. 2. Scrll t the cntact yu want t view. Nte: Names are listed alphabetically by last name. T return t the tp f the list, press the Cntacts buttn again. 3. Press the Details sftkey. The cntact's number is displayed. 4.
