1 Remte Setup and Cnfiguratin f the Outlk Prgram Infrmatin Technlgy Grup The fllwing instructins will help guide yu in the prper set up f yur Outlk Accunt. Please nte that these instructins are fr Office 2003 nly. First, please make sure yu are nt currently running Outlk and that the applicatin is clsed. Next, g t yur Cntrl Panel and click n Mail. This will pen up a windw called Mail Setup. (Figure 1). Select Accunts. Figure 1 A new windw will pen. In this windw, select Add new accunt. At the next windw, yu will be prmpted t chse the type f server yur accunt will wrk with. Please select Micrsft Exchange Server (Figure 2). This will ensure that ur Exchange Server will be yur default mail server. Figure 2 1

2 Click Next t cntinue. In the next windw, use the fllwing settings (as seen in Figure 3): Figure 3 Micrsft Exchange Server: mailex2.gsb.clumbia.edu. Ensure that Use Cached Exchange Mde is checked. Under User Name, enter yur UNI (ex: ft2020). Click the Mre Settings buttn (as seen in Figure 3 abve). This will pen a new windw. 2

3 Cnfigure the fllwing tabs: General Tab (Figure 4) Please ensure the fllwing ptins have been set: Under When starting : Autmatically detect cnnectin state. Fr Secnds Until Server Cnnectin Timeut : 30. Figure 4 Advanced Tab (Figure 5) Make sure Use Cached Exchange Mde is checked. Figure 5 3

4 Security Tab (Figure 6) Check Encrypt data between Micrsft Office Outlk and Micrsft Exchange Server. Fr Lgn netwrk security, ensure that Kerbers/NTLM Passwrd Authenticatin is selected. Figure 6 Cnnectin Tab (Figure 7) Chse Cnnect using my Lcal Area Netwrk (LAN). Figure 7 4

5 Yu need t enable RPC ver HTTPS by checking the Cnnect t my Exchange mailbx using HTTP ptin (Figure 8). Figure 8 Click n Exchange Prxy Settings. This will pen a new windw (Figure 9). Figure 9 Fr Use this URL t cnnect t my prxy server fr Exchange, enter mail.gsb.clumbia.edu. Ensure that the Cnnect using SSL nly ptin has been checked. Check On fast netwrks, cnnect using HTTP first, then cnnect using TCP/IP. Ensure that On slw netwrks, cnnect using HTTP first, then cnnect using TCP/IP is checked. 5

6 Under Prxy authenticatin settings, ensure that NTLM Authenticatin has been selected. Once all f these settings have been set, click OK. This will bring yu back t the previus windw. Click OK t clse that windw and cntinue n. At the next windw ensure that yur UNI is entered in the User Name field and then click n Check Name (Figure 10). Figure 10 Yu will be prmpted t cnfirm yur user name and mailbx. Fllw these steps (Figure 11): Yur User Name shuld be entered the fllwing way: gsb\<uni> Under Passwrd, enter yur passwrd. Press OK. 6

8 Click Yes. Launch Outlk In rder t access Outlk, yu will need t d ne f the fllwing: If applicable, duble-click the shrtcut icn n yur desktp. (The shrtcut lks like a small range clck ), r Navigate t Outlk thrugh the Start buttn in the Windws taskbar, and click n the applicatin. Each time yu pen the Outlk applicatin, yu will be prmpted t lgin. Yur username shuld be typed as fllws: gsb\<uni>. Lg in with yur passwrd. Yu must make sure that yur default mail delivery lcatin is set t yur Exchange inbx. T d s, select Tls then Accunts frm the tlbar (Figure 13). Figure 13 Select View r change existing accunts. 10 Clumbia University Directry (LDAP) T add the Clumbia University Directry (Clumbia LDAP) t yur Outlk address bks, please fllw these steps: Within Outlk g t Tls, then select Accunts frm the tlbar. This time, yu will select Add a new directry r address bk (Figure 16): Click Next. Figure 16 In the fllwing windw, select Internet Directry Service (LDAP) (Figure 17). Click Next. Figure 17 10

11 In the next windw, enter ldap.clumbia.edu where it says Server Name. (Figure 18): Figure 18 Click n Mre Settings. This will pen the fllwing windw (Figure 19). Click n the Search tab. Figure 19 11

12 In the Search Tab windw (Figure 20) enter the fllwing infrmatin in the Search Optins sectin under Search Base : Search Base: =Clumbia University,c=us (please ensure that there is n space between University,c=us). Figure 20 Click OK. This will take yu back t the first windw. Click Next, and then click Finish. Then clse ut f Outlk cmpletely. G t the Start buttn Run type regedit press OK (please be very careful f the changes yu make in the Registry Editr if yu dn t feel cmfrtable with making the fllwing changes please ask yur supprt specialist fr assistance). The Registry Editr windw will pen up nw navigate t: KEY_CURRENT_USER\Sftware\Micrsft\Office\11.0\Outlk Right click n Outlk New Key type LDAP. Right click n the newly created LDAP key New DWORD value -type NDisplayNameSearch duble click NDisplayNameSearch and set value t 1. Open Outlk 12

13 Address Bk Cnfiguratin T prperly cnfigure the rest f yur address bk, first, make sure yu have selected yur Cntacts flder in Outlk. Under My Cntacts, right click n the Cntacts flder, and select Prperties (Figure 21). Figure 21 13

14 This will pen a new windw. Click n Outlk Address Bk tab (Figure 22): Figure 22 Check the bx called Shw this flder as an Address Bk Under Name f Address Bk, type Cntacts n Exchange Server Click OK. T Remve Persnal Flders Cntact list frm address bk view Right-click n the Cntacts list in Persnal Flders, and select Prperties. Select the Outlk Address Bk tab as dne in the previus step. Uncheck the bx called Shw this flder as an Address Bk 14

15 Cnfigure Address Bk lkup rder Please set the rder f yur address bk by fllwing these instructins: In the tlbar, g t Tls > Address Bk (Figure 23). In this new windw, g t Tls > Optins frm the tlbar. 16 Outlk Warning Messages Once cnnected t Exchange frm Outlk, right click n the Outlk system tray icn, which lks like this: (The default lcatin f the system tray is in the bttm right hand crner next t the clck.)
